Overview
This glossary defines the words Broki uses on screen — such as mortgage file, lead, contact, pipeline, stage, team member, collaborator, and signing package — and links each one to the article that explains it in detail. Use it when training new staff or writing internal procedures so everyone uses the same labels as the product.

At a glance
These are the terms people mix up most often.
A mortgage file is one deal on Pipeline. A lead is a prospect on Leads. A contact is a person record.
A team member belongs to your organization. A collaborator is another Broki organization you share selected work with.
Smart Docs are rules that request document templates when a Broki application matches. They are only available with the Broki application.
Stage names can be changed, so your stages may differ from the defaults listed here.

Look up people and organization terms
People and organization terms name the users, clients, and brokerages Broki shows on screen.
Organization — your brokerage's Broki workspace. Settings such as pipelines, branding, and compliance documents apply to the whole organization.
Team member — a person in your organization with their own Broki login. Admins invite team members from Settings > Members. See Team members and invites.
Admin — a team member with full control of the organization, including billing, members, and roles. See Roles and permissions.
Role and permissions — what a team member can see and do, such as viewing all files or editing settings. Admins manage these in Settings > Roles & Permissions.
Collaborator — another Broki organization you've connected with using its collaborator code, so you can share access to selected pipelines and file tabs. Managed in Settings > Collaborators. See Team signup and collaborator access. Also called: collaborator organization.
Contact — a person record (for example, a borrower or a client's family member) with name, email, and phone. See Contacts — add, edit, and dedupe.
Contact review queue — contacts Broki flagged for a person to check, such as possible duplicates. See Contact review queue.
Borrower / co-borrower — the people applying for the mortgage on a file.
Partner — a referral source or industry contact, such as a realtor or lawyer, managed on the Partners page. See Partners page and portal.
Advisor — the team member responsible for a file. The dashboard's Active pipeline table can be filtered by advisor.
Look up deal and workflow terms
Deal and workflow terms cover mortgage files, pipelines, stages, leads, conditions, and tasks.
Mortgage file — one mortgage deal, with tabs such as Mortgage Summary, Application, Documents, Compliance, E-Sign, Task Hub, and Notes. See Opening a mortgage file.
Loan code — the unique code that identifies a mortgage file. Use it when searching or contacting support.
Pipeline — your mortgage files arranged by stage, shown as a Kanban board or a List. See Pipeline board and moving deals.
Stage — a step in a pipeline, such as New lead, Application, Documents in, Submitted to lender, Approved, and Funded (the defaults offered during setup). Admins edit stages in Settings > Pipelines. See Pipeline stage configuration.
Completed stages — stages for funded files, grouped by how many months remain until renewal (for example, 12+ months out, 6–12 months out, Under 6 months).
Lead — a contact tracked as a prospect on the Leads page. Lead stages offered during setup are New, Warm, Application sent, and Not ready; In deal and Archived are fixed columns. See Leads pipeline and application link.
Condition — an item needed to complete a file, tracked with a status: Needs attention, Requested, Received from client, Sent to lender, or Approved. See Checklists and conditions.
Task — a to-do with an optional due date, linked to a file, a contact, or nothing. Tasks appear on the file's Task Hub tab and on the global Task Hub page, which brings together tasks, conditions, and checklists across your files. See Task Hub (global).
Action plan — a reusable set of tasks. See Action plans.
Stage updates / partner updates — automatic messages to clients or partners when a file changes stage. Set up in Settings > Stage Updates. See Stage updates and partner updates.
Automation — a workflow that runs actions when something happens. See Automations and workflows overview.
Look up client-facing terms
Client-facing terms are the pages and links your clients and partners use.
Broki application — the online mortgage application your client fills out. See Filling out the Broki application.
Application link — the link you send a client to start the Broki application. See Client journey and application links.
Client journey — the steps a client goes through from application to signing and beyond. See Broki application client flow.
Client portal — where your client signs in to see sections such as Documents, Application Status, and Your Team. Which sections show is controlled by your portal settings. Set up in Settings > Client Portal. See Client portal for borrowers.
Homeowner Hub — homeowner resources for your clients, such as videos. Set up in Settings > Homeowner Hub. See Homeowner hub and portal resources.
Presentation Hub — a mortgage file tab for "Scenarios, offers, and client qualification", with sections Scenarios, Offers, Client Qualification, and Success Kit. See Presentation Hub.
Partner portal — where referral partners sign in and see My referrals. See Partner portal for referral partners.
Look up document and signing terms
Document and signing terms cover e-sign, compliance documents, Smart Docs, and stored files.
E-Sign — Broki's electronic signature feature, on the E-Sign page and the file's E-Sign tab. See E-sign overview for brokers.
Signing package — one or more documents sent together for signature. See Creating and sending a signing package.
Recipient — a person who receives a signing package.
Signing link — the link a recipient opens to sign. See Client signing experience.
Compliance documents — the disclosure and consent documents your organization requires, set in Settings > Compliance Documents. See Compliance documents settings.
Smart Docs — rules that automatically request document templates from a client when their application matches ("Auto-request document templates when applications match your rules"). Only available with the Broki application. Set up in Settings > Smart Docs. See Smart Docs, Vault, and Media Library.
Vault — secure storage for sensitive files, in Settings > Vault. See Vault secure storage.
Media Library — your organization's images and media, in Settings > Media Library.
Look up workspace areas
Workspace areas are the main pages in the sidebar and footer.
Getting Started — the setup page with the step-by-step setup wizard. See Onboarding wizard.
Dashboard — your home page with today's priorities and key numbers. See Dashboard overview.
Portfolio — an overview of your mortgage portfolio and its analytics. See Portfolio and renewals.
Lender Hub — your lender directory and lender contacts. Its sidebar item shows a count of unread lender emails. See Lender Hub.
Communications — the unified email and SMS hub. Hidden from the sidebar by default; turn it on in your sidebar preferences. See Unified communications hub.
Commission — commission tracking and payments. See Commission module.
Templates — reusable document templates. See Email and document templates.

These examples show ways to use the glossary with a team.
Onboarding a new assistant. Jordan Example shares this glossary so the assistant knows a lead lives on Leads while a mortgage file lives on Pipeline.
Writing an internal procedure. An admin at Sample Mortgage Group uses the exact labels (for example, Stage Updates and Compliance Documents) so steps match the screen.
Suggestion: link specific glossary terms from your own training material instead of redefining them.
Common mistakes and how to avoid them
These mistakes come up when people use the wrong Broki word.
Mixing up team members and collaborators. Team members belong to your organization; collaborators are separate Broki organizations you share selected work with. Invite each from the right place: Members or Collaborators in Settings.
Calling a lead a file. Leads and mortgage files are on different pages with different stages. Check which page a record is on before giving instructions.
Using labels from a previous CRM. Staff look for buttons that don't exist. Use the terms in this glossary.
Tips and best practices
These tips keep your team's language aligned with Broki.
Use loan codes in conversations. They're unique, so there's no confusion between clients with similar names.
Keep stage names short and clear. They appear on the pipeline, dashboard, and client updates, so everyone reads them the same way.
