Overview
A signing package is a set of documents, the recipients who sign them, and the fields each recipient fills in. You build it on a mortgage file's E-Sign tab (or in Send packages on the E-Sign page), place fields in the field editor, and send it. Each recipient gets an email with their own signing link.
This article covers building the package, placing fields, saving drafts and templates, and managing the package after it's sent: reminders, new links, voiding, and downloading the signed documents.

At a glance
A signing package is the documents, recipients, and fields you email out for signature.
Start on a mortgage file's E-Sign tab, or in Send packages on the E-Sign page.
Place fields, then select Send package. Each recipient gets their own signing link.
After sending, use Send reminder, Resend, or Send new links. Send package sets the status to Sent, and the package shows Completed when every recipient has signed.
Signing links expire after 30 days. You can't edit documents, recipients, or fields after sending.
Before you begin
Before you build a signing package, have PDFs, recipient names, and email addresses ready.
Each recipient needs a full name and an email address.
Documents must be PDFs. On a mortgage file, the list shows documents marked Approved on the Documents tab and compliance documents generated for that file. You can also upload PDFs directly.
For the best results, upload a fresh copy or use "Print to PDF". Avoid password-protected or pre-certified files. These can fail when Broki creates the signed copy.
Your organization needs an active Broki subscription.
Step-by-step instructions
These steps take a signing package from the first document through sending and downloading.
Start a signing package
Start a signing package from the mortgage file or from the E-Sign page, then choose the documents.
Open the mortgage file and select the E-Sign tab, then select Send documents.
Alternative: in the left sidebar, select E-Sign, then Send packages. Use Mortgage file (optional) to attach a file, which pulls in its documents and contacts and links the package to it. Leave it empty to send uploaded PDFs to any contact.
Under Select documents, tick the documents to include. Compliance documents show a Compliance badge.
To add a new PDF, drag it onto Drag and drop PDFs here, or browse to upload. Only PDF files are accepted.
Use the up and down arrows to set the document order. Optionally choose a document type for each document (for example Commitment / lender form or Broker disclosure).
Add recipients
Add recipients from contacts or by typing a name and email, and give each person a role.
Under Add recipients, select Add from contacts to pick people from the file or your contacts. Only contacts with an email address are listed.
To add someone manually, select Add recipient and enter Full name and Email.
Choose a role for each recipient, for example Borrower 1, Borrower 2, Guarantor, Investor, Broker, Witness or Lawyer / Notary.
Optionally add a Note for signer (not on final PDF).
Write the signing email
Write the signing email under Package details: the title, subject, and message the recipients see.
Under Package details, check the Package title. On a mortgage file it's filled in from the file.
Edit Email subject if needed. Use the variable picker to insert merge fields. If you leave it blank, the subject is "Signature request: " followed by the package title.
Add a Message to signers. If you leave it blank, the email says "Please review and sign the documents linked below."
Check the Package readiness list. When every item is ticked, it shows "Ready — audit certificate will be included."
Place signing fields
Place signing fields in the Place signing fields editor for each recipient.
Select Send for signature. The Place signing fields editor opens.
Under Signers, select the recipient you're placing fields for. Each signer has a field color, shown under Field colors.
Drag fields onto the page. Fields are grouped as Signature (Signature, Initials, Date signed), Form fields (Text, Date, Checkbox, Note (signer only)) and Signer info (Full name, First name, Last name, Email, Phone, Company, Title).
Select a placed field to edit it under Field properties: Assigned to, Field type, Label (shown to signer), Required, Read-only, size, and Pre-fill text or Pre-checked where available.
To give a signer a choice of where to sign, select a field and choose Link alternate placements, then Add another placement. The signer fills any one of the linked boxes and the others hide.
Use the document tabs along the top to move between documents. Each tab shows how many fields it has.
Send a signing package
Send a signing package when the fields are in place. Before you continue: selecting Send package emails every recipient their signing link immediately. You can't edit documents, recipients or fields after sending.
Check the summary at the bottom of the editor (for example "6 fields placed across 2 documents · 2 signers").
Select Send package.
You'll see "E-sign package sent. Recipients will receive an email with a signing link." The package appears in the history with the status Sent.
Save a draft
Save a draft when you want to leave the field editor and finish later.
In the field editor, select Save as draft.
You'll see "Draft saved. You can continue from History."
To pick it up later, open History on the mortgage file's E-Sign tab and select Continue placing fields.
Save a field template
Save a field template when you want to reuse the same field layout on a later package.
In the field editor, select Save as template.
Enter a Name, choose Positions only or Document + positions, and choose which signers' fields to include.
Next time, use Apply template in the field editor, or Add from document template under Select documents.
Saved templates are listed under Field templates on the E-Sign page, where you can Edit the name and description or Delete them.
Choose a follow-up on a sent package
Choose a follow-up on a sent package from History on the mortgage file's E-Sign tab. Send reminder emails everyone who hasn't signed and their existing link keeps working. Resend next to a recipient sends the same email again, the link they already have keeps working, and its expiry is extended. Send new links replaces the link for everyone who hasn't signed, and any link sent earlier stops working. Void package can't be undone.

Select Send reminder.
Resend a signing link
Resend a signing link to send the same email to one recipient again. The link they already have keeps working, and its expiry is extended.
On the mortgage file's E-Sign tab, select History and expand the package.
Select Resend next to that recipient.
Send new signing links
Send new signing links to replace the link for everyone who hasn't signed. Before you continue: any link sent earlier stops working.
On the mortgage file's E-Sign tab, select History and expand the package.
Select Send new links.
Void a signing package
Void a signing package when you need to stop it. Before you continue: this can't be undone. Broki asks you to confirm "Void this package? Signing links will no longer work. This cannot be undone."
On the mortgage file's E-Sign tab, select History and expand the package.
Select Void package and confirm.
Download the signed documents
Download the signed documents after every recipient has signed.
When every recipient has signed, the package shows Completed and "All signatures complete".
Under Signed documents, select Download for one document or Download combined (PDF) for all of them in one file.
Select Download certificate (PDF) for the certificate of completion.
Practical examples and other ways to use it
These examples show a compliance package, two borrowers, and a reused lender form.
Compliance documents from the Compliance tab. Tick the generated documents on the Compliance tab and select Send for signing. The E-Sign tab opens with them loaded as one package. If you haven't added recipients yet, Broki creates one for each party the forms need (borrowers, guarantor, investor, broker) from the file's contacts, and pre-places the signature and date fields. You'll see a notice saying how many fields will be pre-placed. Review everything in the field editor before sending.
Two borrowers, one commitment. Add Alex Sample as Borrower 1 and Jordan Example as Borrower 2. Place a Signature and a Date signed field for each, then send. Each gets their own link and can sign from their own device.
Same lender form every time. One way to save time: after placing fields once, select Save as template with Document + positions. Next time, use Add from document template, and the document arrives with its fields already placed.
Common mistakes and how to avoid them
These mistakes leave a signer without their own fields, treat auto-placed fields as final, or use the wrong follow-up.
Leaving a recipient without fields. A recipient with no fields of their own is shown the package's other fields when they open the link. Before sending, check that every signer in the Signers list shows a field count above zero.
Assuming auto-placed fields are final. Pre-placed fields follow the signature lines Broki drew on its own forms. Extra signers can be stacked on the last page. Scroll every page and move or resize fields as needed.
Sending reminders to an expired link. Send reminder doesn't extend the link's expiry. If a link has expired, use Resend or Send new links instead.
Voiding instead of reminding. Voiding ends the package for good. If the recipient just hasn't signed, use Send reminder.
Troubleshooting
This troubleshooting section covers blocked sends, missing documents, unreadable PDFs, failed emails, and missing signed copies.
"Select at least one document, add recipients, and add a package title"
The message "Select at least one document, add recipients, and add a package title" means the package isn't ready to open the field editor.
Possible causes
No document is ticked, no recipient is added, or Package title is empty.
To fix
Check the Package readiness list and complete each unticked item.
Select Send for signature again.
A document isn't in the list
A document isn't in the list when it isn't approved on the mortgage file or hasn't been generated as a compliance document.
Possible causes
The document isn't approved on the mortgage file.
The compliance document hasn't been generated for this file.
To fix
Approve the document on the Documents tab, or generate it on the Compliance tab.
Return to the E-Sign tab. Alternatively, upload the PDF directly.
"Please select PDF files only."
The message "Please select PDF files only." means the file you tried to upload is not a PDF.
Possible causes
You tried to upload a Word file, an image or another non-PDF file.
To fix
Save or print the file as a PDF.
Upload the PDF.
"This PDF could not be opened: …" in the field editor
The message "This PDF could not be opened: …" in the field editor means Broki couldn't read that PDF.
Possible causes
The PDF's internal structure is damaged or uses features Broki can't read.
To fix
Open the original file on your computer and use "Print to PDF" to make a clean copy.
Upload the new copy and remove the old one from the package.

"Package sent, but 1 email(s) failed." or "Package created, but no email could be sent."
The message "Package sent, but 1 email(s) failed." or "Package created, but no email could be sent." means at least one signing email did not go out.
Possible causes
A recipient's email address is wrong, or the email service rejected the message.
Check first
The recipient's email address in the package history.
To fix
If the address is right, select Resend next to that recipient.
If the address is wrong, void the package and send a new one with the correct address.
Contact support if resending keeps failing. Include the loan code or borrower name, the package title, the exact message, and the approximate time.
Signed documents don't appear after everyone signed
Signed documents don't appear after everyone signed when the copies are still being prepared or a document couldn't be processed.
Possible causes
The signed copies are still being prepared ("Preparing signed documents…").
A document couldn't be processed. You'll see a message starting "One or more documents could not be processed (encrypted, password-protected, or invalid)."
To fix
Select Generate signed documents.
If the message about encrypted or password-protected documents appears, the certificate is still saved. Send a new package with a clean copy of that document (made with "Print to PDF").
Contact support if a clean copy also fails. Include the loan code, the package title, and the exact message.
Tips and best practices
These tips keep signing dates consistent and match auto-placed fields to the right person.
Use Date signed rather than a plain text field for signing dates. The signer taps it once to fill in today's date, so you don't get dates in mixed formats.
Keep each recipient's role accurate (Borrower 1, Borrower 2 and so on). Auto-placed compliance fields are matched to recipients by role.
Mark optional fields as not Required. The signer can't finish while any required field is empty.
Limitations and important behavior
These limits cover signing order, link expiry, what you can edit after sending, and how the E-Sign page differs from a mortgage file.
All recipients are emailed at once and can sign in any order.
Signing links expire after 30 days.
Preview as signer in the field editor isn't available yet.
Documents, recipients and fields can't be edited after sending. Drafts can be edited.
Approved image files on a mortgage file can be selected and are shown as a single page, but Broki can only create a signed copy from a PDF. Convert images to PDF on the Documents tab before adding them. New uploads in the composer must be PDFs.
On the E-Sign page, Packages works differently from a mortgage file's History: Resend there issues a new link (the previous one stops working), and Continue placing fields opens the linked mortgage file.
Frequently asked questions
These answers cover signing order, deleting a package, and who can see the signed documents.
Can I change who signs first? No. The order of recipients doesn't control who signs first. Everyone receives their link at the same time.
Can I delete a signing package? In the package history, select the trash icon, type "delete" to confirm, then select Remove package.
Who can see the signed documents? Team members in your organization who can open the mortgage file's E-Sign tab or the E-Sign page. Recipients don't get a download of the signed documents from the signing page. The recipient who signs last can download the certificate.
