Overview
Lender Hub is a directory of lenders that shows how much business your organization has done with each one, plus the lender contacts (BDMs, underwriters and others) your team works with. Volume, file counts and active files come from your own mortgage files. Contacts are added automatically from lender emails in your inbox, or by hand.
Brokers and processors use it to find the right contact at a lender, to see past and active files with that lender, and to review volume by lender. Lender Hub doesn't show rates or lender policies.
At a glance
Lender Hub is a shared lender directory with your organization's volume, files, and lender contacts.
You can't add lenders. Map unrecognized spellings so those files count toward volume.
Contacts can be added by hand or created from email that matches a lender domain in a connected inbox.
You can edit contacts, domains you add, and name variations. Seed domains can't be removed.
There are no rates, rate sheets, or lender policies.
The diagram is that same path from the directory to a lender's volume, files, and contacts.
Before you begin
Before you rely on Lender Hub numbers, you need a subscription, a mapped lender name on your files, and a connected inbox if you want contacts created from email.
You need an active subscription.
The lender list is a shared Broki directory. You can't add new lenders.
Volume and file numbers only count files that match a lender. If your files came from Finmo, Velocity or manual entry with a different spelling, map those names so the files count toward the right lender.
Contacts are created automatically only for email received in your connected inbox. See Integrations setup.
Step-by-step instructions
These steps cover finding a lender, mapping unrecognized names, reviewing a lender, managing contacts, and adding a domain or name variation.
Find a lender
Find a lender from the directory, which lists your volume and file counts for each one.
In the left sidebar, select Lender Hub. A badge shows unread lender emails.
Use Search lenders… to find a lender, and Rows (25, 50, 100 or All) to change how many show at once.
Read the directory columns below. The list is sorted by volume, highest first.
Select a lender to open its detail page.
The directory columns are:
Lender, with its category.
Contacts.
Total Volume (CAD).
Files, which shows how many are completed.
Avg Volume.
Active Files.
Map unrecognized lender names
Map unrecognized lender names so files that use a different spelling count toward the right lender.
The diagram shows the same mapping: pick the directory lender once, and files that use that spelling then count toward it.
If some files use lender spellings that don't match the directory, an Unrecognized lender names panel appears: "These spellings from Finmo / Velocity / manual entry don't match the directory. Map them once so volume stats and email matching work."
Next to a spelling, select Map to lender.
In Map lender name, search for the correct lender and select it.
Before you continue: the mapping is saved as a name variation for that lender, and every file using that spelling then counts toward it.
To confirm it worked, you'll see "Mapped "X" → Lender" and the spelling disappears from the panel.
Review a lender
Review a lender on its detail page to see volume, contacts, communications, domains, names, and files.
On the lender page, the top cards show Total volume, Total files, Active files and Avg / file. The tabs are:
Contacts: the lender's contacts.
Communications: emails matched to this lender's contacts and domains.
Domains: email domains that belong to this lender.
Names: alternate spellings that should count as this lender.
Files: your files with this lender. Columns: Loan code, Stage, Address, Mortgage amount. Search with "Search loan code, stage, address…". The footer shows the Total on page.
Volume: pick YTD, T12M or All-time. Shows total funded volume (with year-over-year change on YTD), total files, average per file, deal size, active pipeline, deal mix, and your rank and share.
Add or edit a lender contact
Add or edit a lender contact to store their role, name, email, phone, and notes.
On the lender page, open Contacts and select Add contact.
In Add lender contact, choose a role: BDM, Underwriter, Document Specialist, Manager or Other.
Enter First name and/or Last name (at least one is required), plus Email, Phone and Notes.
Save. You'll see "Contact added".
Contacts in the list show their Source: Auto (created from an email) or Manual, along with the date they were last seen.
Select a contact to open their page. It has Info, Shared clients, Notes and Communications tabs, and Call, Email and Text actions. Select Edit to change details or move the contact to another lender, then Save. You'll see "Contact updated".
The diagram shows how a matching inbox email creates a contact with source Auto. You can still add a contact by hand, which is source Manual.
Delete a lender contact
Delete a lender contact to remove that contact for your whole team.
Open the contact.
Delete the contact and confirm.
Before you continue: deleting asks "Delete {name}?". It removes the contact for your whole team. You'll see "Contact deleted".
Add an email domain
Add an email domain so mail from that domain creates contacts under the lender and can be matched to files.
On the lender page, open Domains.
Add the lender's own domain, for example "examplebank.com".
Confirm you see "Added @examplebank.com".
Mail from these domains creates contacts under the lender and can be matched to files. Domains marked Seed come with the directory and can't be removed. Domains marked Your domain can be removed. You'll see "Removed @…".
Add a name variation
Add a name variation so an alternate spelling counts as this lender.
On the lender page, open Names.
Add the variation, for example "Example Bank Mortgage Centre".
You'll see "Name variation added".
Practical examples and other ways to use it
These examples cover finding a BDM, a year-end volume review, imported spellings, and files open with one lender.
Finding the BDM: search the lender, open Contacts, and look for the BDM role in the Role column before you send a deal.
Year-end lender review: open Volume, choose YTD, and compare funded volume and deal mix across your top lenders.
Cleaning up imported data: after a Velocity or Finmo import, map every entry in Unrecognized lender names so volume totals are complete.
Checking open deals: open Files on a lender to see every file and its stage before a call with the underwriter.
Common mistakes and how to avoid them
These mistakes come from adding a personal email domain, leaving spellings unmapped, or expecting rates and policies.
Adding a personal email domain. Broki blocks it: "@gmail.com is a personal e-mail provider, not a lender domain. Add the bank's own domain (e.g. scotiabank.com)." Add only the lender's corporate domain.
Leaving spellings unmapped. Files with unmatched lender names don't count toward any lender, so volume looks low. Clear the Unrecognized lender names panel after each import.
Expecting rates or policies. Lender Hub doesn't contain rate sheets or policy documents. Keep those wherever your brokerage stores them, for example the Document library.
Troubleshooting
Use this section when volume looks too low, a lender has no contacts, a domain is rejected, or an email is already used.
A lender shows $0 or fewer files than expected
A lender shows $0 or fewer files than expected when your files use another spelling or have no lender filled in.
Possible causes
Your files use a different spelling of the lender name.
The files have no lender filled in.
Check first
The Unrecognized lender names panel on the directory.
The lender field on one of the missing files.
To fix
Map each unrecognized spelling with Map to lender, or add it under the lender's Names tab.
Fill in the lender on files that don't have one.
Confirm it worked
Total Volume (CAD) and Files update for that lender.
"No contacts yet. They'll appear automatically when emails arrive from this lender's domains."
This message means no contact has been created yet for this lender.
Possible causes
No email from the lender's domains has arrived in a connected inbox.
The lender's domain isn't on the Domains tab.
To fix
Add the lender's domain on Domains.
Or add the contact by hand with Add contact.
Confirm it worked
The contact appears with source Auto (after the next email arrives) or Manual.
"Enter a valid domain (e.g. scotiabank.com)"
This message means the domain you entered is not just the lender domain.
Possible causes
The domain includes extra characters, such as a full email address or a web address.
To fix
Enter only the domain, for example "examplebank.com".
"That email is already used by another lender contact"
This message means that email already belongs to a lender contact.
Possible causes
A contact with that email already exists, possibly under another lender.
To fix
Search for the existing contact and edit it there.
Contact support if
A lender you work with is missing from the directory. Include the lender's name and its email domain.
Tips and best practices
These tips make later lender email create contacts on its own, and make the BDM easy to spot.
Add each lender's domain once. All future email from that domain then creates contacts and matches to the lender automatically.
Set a role on every contact. The role is the quickest way to tell the BDM from the underwriter.
Limitations and important behavior
These limits cover the shared directory, missing rates, where the numbers come from, and which domains you can remove.
The lender directory is shared across Broki. You can't add, rename or remove lenders.
Lender Hub doesn't fetch or show live rates, rate sheets or lender policies.
Volume and file figures come only from your organization's mortgage files.
Contacts, domains you add and name variations are shared across your organization.
Seed domains can't be removed.
Frequently asked questions
These questions cover missing lenders and what Shared clients includes.
Can I add a lender that isn't in the list? No. Contact support with the lender's name and domain.
What does Shared clients on a contact show? Your organization's mortgage files with that contact's lender. It isn't limited to files the contact personally handled.
