Track commission on each file, see what you are owed, and mark entries as paid.

Overview

The Commission module tracks the commission on each mortgage file: gross, the brokerage and franchise splits, the net to you, and how much has been paid or is still outstanding. Entries are created automatically when a file is completed in the pipeline (if auto-create is on), or added by hand. You record payouts yourself.

Also called: commission dashboard.

Brokers use it to see what they are owed and to mark entries paid. Admins use it to view any team member's commissions and to confirm each broker has a split structure saved.

At a glance

Commission tracks gross, brokerage and franchise splits, net, and what is still outstanding on each file.

  • Save your own brokerage and franchise split. Until you do, totals use 100% pass-through.

  • Auto-Create is organization-wide. A completed file creates an entry only when gross is more than $0, the file has an owner, no entry exists yet, and that owner has a saved structure. Gross is broker fee plus finder's fee.

  • You record payouts yourself. Mark as paid sets the paid amount equal to the net and moves the entry to Paid History.

  • The CSV export includes only your own entries and ignores the dashboard filters.

Before you begin

Before you use Commission, you need a subscription, the dashboard permission, and a saved split for each broker.

  • You need an active subscription.

  • You need the Access Commission Dashboard permission. It is on by default for every role, and admins always have access. See Roles and permissions.

  • Each broker saves their own commission structure (brokerage and franchise split). Until a structure is saved, totals use 100% pass-through (0% brokerage and 0% franchise).

  • Auto-created entries use the file's broker fee and finder's fee. Fill those in on the mortgage file before it is completed.

Step-by-step instructions

These steps cover the commission structure, the math, automatic and manual entries, payouts, and CSV export.

Set up your commission structure

Set up your commission structure so brokerage and franchise splits apply to your totals.

  1. In the left sidebar, select Commission.

  2. In the left rail, select Configuration ("Your commission structure").

  3. Enter Brokerage Name and Brokerage Split Percentage (both required; the split defaults to 50).

  4. If you pay a franchise, enter Franchise Name and Franchise Split Percentage.

  5. To calculate the franchise share on what's left after the brokerage share, check Calculate franchise split from net (after brokerage deduction).

  6. Check the preview, which uses a $10,000 example, then save.

To confirm it worked, open Dashboard. The banner "No commission structure for this view…" should no longer appear.

Before you continue: the Auto-Create toggle on this page applies to the whole organization. It shows Auto or Manual. Turning it off stops automatic entries for everyone.

The same settings are available under Settings > Commissions (in the Pipeline & Workflow group). The page there is titled Commission settings and has a Commission splits section. You need pipeline settings access to open it.

Calculate the commission amounts

Commission amounts are calculated from the gross, the brokerage split, the franchise split, and any referral or team split.

  • Brokerage = gross × brokerage %.

  • Franchise = gross × franchise %. If the "from net" option is checked, it is (gross − brokerage) × franchise % instead.

  • Net = gross − brokerage − franchise.

  • A partner referral fee is taken off the gross for the file.

  • When you split with teammates, each teammate gets either a percentage of the remaining amount or a flat dollar amount. The primary broker keeps the rest.

See how automatic entries are created

Automatic entries are created when a mortgage file is completed in the pipeline and Auto-Create is on.

  • Gross = broker fee + finder's fee.

  • The entry starts as pending with $0 received.

  • The entry is for the file owner.

  • No entry is created if the gross is $0, the file has no owner, the file already has an entry, or the owner hasn't saved a commission structure.

The diagram repeats those skip rules and the pending entry that is created when they do not apply.

Add an entry manually

Add an entry manually from the Commission dashboard or from the file's Commission tab.

  1. On the Commission Dashboard, select Add entry.

  2. In Add commission entry, search for the file by loan code, borrower name or address, then select it.

  3. Choose Standard or Custom breakdown.

Custom lets you add revenue lines. Each line can be in dollars or basis points (BPS). Mortgage Ins lines have no brokerage or franchise deduction.

  • Volume bonus

  • Mortgage Ins

  1. Optionally add teammates to split with, and a partner referral fee.

  2. Save.

You can also open a mortgage file, go to its Commission tab and select + Create your first entry. Only admins and the file owner can create entries there.

Record a payout

Record a payout by editing the paid amount or by marking the entry fully paid.

The diagram shows the same two ways an outstanding entry reaches Paid History.

  1. On the Dashboard, find the entry. Use the search ("Search by loan code, client, or advisor...") or the year filter.

  2. Record a partial payment or mark the entry fully paid.

To record a partial payment, edit the paid amount. You'll see "Amount paid updated to $X". For custom entries, edit the paid amount on each revenue line in the breakdown.

To mark it fully paid, select Mark as paid in the row's actions and confirm.

Before you continue: marking an entry as paid sets the paid amount equal to the net and moves it to Paid History.

To confirm it worked, you'll see "Entry marked as paid and moved to Paid History", and the entry now appears under Paid History. An entry is also marked paid automatically once its paid amount reaches the net.

Export commission entries

Export commission entries to download a CSV of your own entries.

  1. On the Dashboard, select the export icon (Export Commissions).

  2. Under Select Fields to Export, choose fields from the groups below.

  3. Select Export CSV.

The groups you can include are:

  • Basic: Loan Code, Client Name, Advisor Name, Stage, Status, Created Date.

  • Financial: Mortgage Amount, Loan Amount, Broker Fee, Finders Fee, BPS Rate.

  • Commission: Gross Commission, Net Commission, Amount Received, Amount Outstanding.

To confirm it worked, you'll see "Successfully exported N commission entries!" and a CSV file downloads.

Practical examples and other ways to use it

These examples cover a month-end payout, a team split, a partner referral fee, and an admin review.

  • Month-end payout: when the brokerage pays you, open Dashboard, filter by year, and select Mark as paid on each paid file. Outstanding goes down and Paid goes up.

  • Team deal: on a file shared with a junior broker, create a custom entry and split 30% of the remaining amount with them. The primary broker keeps the rest.

  • Referral partner: add a partner referral fee to the entry so it comes off the gross before the splits.

  • Admin review: admins can use the team avatar strip on the Dashboard to view each broker's outstanding commissions.

Common mistakes and how to avoid them

These mistakes come from a missing split structure, blank fees, the export scope, or deleting an entry you meant to edit.

  • No commission structure saved. Auto-created entries are skipped, and the dashboard totals use 0% brokerage and 0% franchise. Save your Configuration first.

  • Broker fee and finder's fee left blank. The auto-created gross is $0, so no entry is created. Fill in both fees on the file before you complete it.

  • Expecting the export to follow your filters. The CSV contains all of your own entries, whatever your search, year or team-member selection. Filter the CSV in your spreadsheet instead.

  • Deleting instead of editing. Deleting an entry removes it ("Commission entry deleted successfully"). To correct an amount, edit the paid amount instead.

Troubleshooting

Use this section when the dashboard is empty, access is denied, you cannot create an entry on a file, or the export finds nothing.

"No commission files found"

This message means the dashboard has no commission entries to show.

Possible causes

  • No file has been completed in the pipeline yet, and no entry was added manually.

  • Auto-Create is off (Manual).

  • The completed file had no owner, a $0 gross, or an owner without a saved structure.

Check first

  • The Auto-Create setting on Configuration.

  • The broker fee and finder's fee on the file.

To fix

  1. Save a commission structure for the file owner.

  2. Add the entry manually with Add entry.

Confirm it worked

  • The file appears in the dashboard table.

"Access Denied — You don't have permission to access the Commission Dashboard."

This message means your role cannot open the Commission dashboard.

Possible causes

  • Access Commission Dashboard is turned off for your role.

To fix

  1. Select Back to Dashboard.

  2. Ask an admin to turn the permission back on for your role.

Confirm it worked

  • Commission opens normally.

"Assign a file owner or ask an admin to create commission entries."

This message means you are not allowed to create an entry on that mortgage file.

Possible causes

  • You aren't the file owner or an admin.

To fix

  1. Ask an admin to set you as the file owner, or to create the entry for you.

"No commission entries found to export"

This message means the export has no entries of your own to download.

Possible causes

  • You have no entries of your own. The export doesn't include other team members' entries.

Contact support if

  • Entries are visible on your dashboard but the export says none were found. Include the loan code and a screenshot.

Tips and best practices

These tips stop missed automatic entries and keep multi-source deals easier to reconcile.

  • Save your structure before your first completed file. Auto-create skips files when no structure exists, and it won't go back later and create the missed entries.

  • Use Custom breakdown when a deal pays from more than one source. You can then track each revenue line's paid amount separately.

Limitations and important behavior

These limits cover who owns the split, how payouts work, what the dashboard shows, and what the export includes.

  • Your commission structure is per user. Each broker saves their own.

  • Auto-Create is organization-wide.

  • There are no pay periods, tiers or payout batches. Payouts are recorded one entry at a time.

  • Broki does not receive payments from lenders or brokerages. Every paid amount is entered by hand.

  • The Dashboard shows outstanding and in-progress entries only. Paid entries are under Paid History.

  • The year filter covers the last 12 years. It uses the closing date, or the entry date when there is no closing date.

  • The export includes only your own entries and ignores the dashboard filters.

  • The empty dashboard mentions the "funded stage". In practice, entries are created when a file is completed in the pipeline.

Frequently asked questions

These questions cover admin visibility, the revenue-line strip, and basis points.

Can an admin see everyone's commissions? Yes. Admins can choose a team member from the avatar strip on the Dashboard.

What do the Outstanding and Paid amounts by revenue line show? They total outstanding (on Dashboard) or paid (on Paid History) amounts by revenue line, such as Finder's fee and Volume bonus. Entries without a custom breakdown are grouped as "Standard (simple)".

Can I enter commission in basis points? Yes. Each line in a Custom breakdown can be in dollars or BPS.
