Task Hub (global)

See every open task, condition, and checklist item across your files and complete or reassign them.

Overview

Task Hub is one page that shows every open task, lender condition, and checklist item across all your mortgage files and contacts, so you can see what's overdue, what's due today, and who's working on what. You can complete, edit, reassign, and reschedule work from here without opening each file.

Also called: global to-do.

Brokers use it to plan their day, processors to clear conditions and checklists, and admins to see the team's workload. Work is split into three sections — Tasks, Conditions, and Checklists — with a priority rail across the top for overdue, today, tomorrow, this week, your own items, and recently completed work.

At a glance

Task Hub is the cross-file list of open tasks, conditions, and checklist items.

  • The left sections are Tasks, Conditions, and Checklists. The priority rail counts all three, but a selected card filters only the section you have open.

  • Rail cards are Needs attention now, Due today, Due tomorrow, Rest of week (through Sunday), Assigned to me, and Completed (7d).

  • Saving a task that has an assignee asks "Notify assignee?". Send notification emails them. Bulk Assign does not ask.

  • You need View Global To-Do. With only View only to-dos assigned to them, you see items assigned to you.

Before you begin

Your role, subscription, and Task Hub preferences decide what this page shows when it opens.

  • Your role needs the View Global To-Do permission (Settings > Roles & Permissions). Without it you'll see "You do not have permission to view the task hub."

  • If your role has View only to-dos assigned to them but not View all to-dos, Task Hub only shows items assigned to you.

  • Conditions and checklist items you can see also depend on your role's condition and checklist permissions (for example View all conditions or View checklist items for files they own or advise).

  • Task Hub requires an active subscription.

  • Optional: set your defaults in Settings > Preferences. The Task Hub setting (card or list) decides whether Task Hub opens in By file or Flat list, and Task Hub assignee decides who's selected when you open it.

Step-by-step instructions

These steps open a section, filter it, complete or edit items, create a task, and act on several items at once.

Open Task Hub and pick a section

Task Hub opens on one of three sections: Tasks, Conditions, or Checklists.

  1. In the left sidebar, select Task Hub.

  2. Select Tasks for standalone tasks, mortgage file tasks, and contact tasks, grouped by when they're due.

  3. Select Conditions for outstanding lender conditions by file, with loan code and client.

  4. Select Checklists for open checklist items across your files.

Each section shows a count of open items.

Filter with the priority rail

The priority rail filters the section you are in. Select a card again to clear the filter.

  • Needs attention now — overdue tasks and checklist items, plus conditions with the status Needs Attention.

  • Due today, Due tomorrow — tasks and checklist items due on that day.

  • Rest of week — due after tomorrow through Sunday.

  • Assigned to me — items assigned to you.

  • Completed (7d) — work completed in the last seven days.

Group tasks by file, due date, or assignee

The Tasks section can group the same tasks by file, due date, assignee, or as a flat list.

  • By file — a card per mortgage file or contact with a progress bar, grouped into Overdue & needs attention, Due this week, and Later. Select Open file or Open contact to jump to it. Tasks with no file or contact are grouped under Unlinked tasks.

  • By due date — groups Overdue — do now, Things to do today, Do tomorrow, Do this week, and Later. Use Due on to see one date ("Tasks due …"), and Clear date to go back.

  • By assignee — file cards with items grouped under each assignee.

  • Flat list — every file's items in a full-width list.

Search and filter Task Hub

Search and the toolbar filters limit which items the open section shows.

  1. Type in the search box. It matches item titles, loan codes, and client names.

  2. Use Stage: Any to limit to files in one pipeline stage.

  3. Use Assignee to show one team member's items.

  4. Turn on My tasks only to show only your items.

  5. In Conditions or Checklists, turn on Required only to hide optional items.

Complete a task or checklist item

The check mark completes a task or checklist item, and selecting it again marks a task incomplete.

Select the check mark on the row (Mark complete). Select it again to undo (Mark incomplete). Completed checklist items leave the list.

Change a condition's status

The status menu moves a lender condition through Needs Attention, Requested, Received, Sent to Lender, and Approved.

Use the status menu on the row. Approved conditions leave the open list.

Edit an item

Edit changes the title, description, due date, notes, or assignee, and can email the assignee.

Select the item's title to open a preview. Select Edit (pencil) to change the title and description, the due date (tasks only), notes (conditions only), and the assignee. Select Save.

When you save a task that has an assignee, Broki asks "Notify assignee?". Select Send notification to email them about the update, or No thanks to skip.

Before you continue: Send notification emails the assignee.

Create a task

New task adds a task with medium priority and no description.

  1. Select New task.

  2. Enter a Title.

  3. Choose a File — General (not tied to a file) or a mortgage file (shown as loan code and client).

  4. Optionally set a Due date and Assignee.

  5. Select Create.

You'll see "Task created". New tasks are created with medium priority and no description; edit the task to add a description.

Update several items at once

The Actions panel applies one change to every row you tick.

  1. Tick the checkbox on each row, or use Select all in the section.

  2. In the Actions panel, choose an action from the list below.

The actions are:

  • Assign — set one assignee for all selected items.

  • Due date — set one due date (applies to tasks only; other items are skipped).

  • Duplicate — copy the selected items.

  • Mark complete — complete all selected items.

  • Delete (under "Danger zone") — confirm "Delete N item(s)? This cannot be undone."

Before you continue: Delete permanently removes the selected tasks, conditions, or checklist items from their mortgage files, and Assign changes who's responsible for them.

Practical examples and other ways to use it

These examples use the rail for a morning plan, reassignment, a condition sweep, or a quick reminder.

  • Morning plan. One way to use this: open Task Hub, select Needs attention now, and clear it before switching to Due today.

  • Covering for a colleague. A team member is away. Filter Assignee to them, tick their overdue items, and use Assign to move them to yourself.

  • Condition sweep for a processor. Open Conditions, turn on Required only, and move each received document's condition to Sent to Lender.

  • Quick reminder. Select New task, enter "Call Alex Sample about appraisal", pick their file, and set tomorrow's date.

Common mistakes and how to avoid them

These mistakes hide team items, skip conditions, or delete work you meant to complete.

  • Looking for conditions in the Tasks section. Conditions and checklist items only appear in their own sections, even when a priority rail card counts them. Switch sections on the left.

  • Leaving My tasks only on. Team items stay hidden and the list looks short. Check the toggle and the Assignee filter when items seem missing.

  • Expecting Due date in bulk to move conditions. Bulk Due date only changes tasks; you'll see "Due date only applies to tasks — select at least one task." Set condition and checklist dates on the mortgage file.

  • Deleting instead of completing. Delete removes the item and its history and can't be undone. Use Mark complete for finished work.

Troubleshooting

Use these checks when Task Hub is blocked, looks empty, or a bulk action fails partway.

"You do not have permission to view the task hub."

This message means your role does not have View Global To-Do.

Possible causes

  • Your role doesn't have View Global To-Do.

To fix

  1. Ask an admin to open Settings > Roles & Permissions and turn on View Global To-Do for your role.

  2. Reload Task Hub.

Confirm it worked

  • Task Hub opens with your sections.

I only see my own items

Task Hub shows only your items when a filter, a preference, or your role limits the list.

Possible causes

  • My tasks only or Assigned to me is on.

  • An Assignee filter or your Task Hub assignee preference is set to you.

  • Your role has View only to-dos assigned to them without View all to-dos.

Check first

  • The toolbar toggles and filters.

To fix

  1. Turn off My tasks only and clear the Assignee filter and rail card.

  2. If it's still limited, ask an admin to check your role's to-do permissions.

Confirm it worked

  • Team items appear.

"Some items failed (N). Refresh and try again."

This message means some selected items could not be changed.

Possible causes

  • Some selected items were changed or removed by someone else, or you don't have permission to change them.

To fix

  1. Reload Task Hub.

  2. Select the remaining items and repeat the action.

Contact support if

  • The same items keep failing. Include the loan codes, the action you used, the exact message, and the approximate time.

"Duplicated N; M failed (e.g. duplicate checklist template)."

This message means a checklist item could not be copied because that template item is already on the file.

Possible causes

  • A checklist item can't be duplicated because the same template item already exists on that file.

To fix

  1. Add a custom checklist item on the mortgage file instead.

Tips and best practices

These habits keep overdue work visible and tell assignees when a task changes.

  • Start each day from Needs attention now, because its number tells you at a glance how many overdue items and Needs Attention conditions are waiting; then open Tasks, Conditions, and Checklists in turn with the card selected.

  • Always set a due date on tasks you create; tasks without one only show under Later and never appear in the overdue, today, tomorrow, or rest-of-week cards.

  • Set Task Hub assignee in Settings > Preferences to yourself if you mostly work your own items, so the page opens filtered.

  • Use Send notification when you reassign or change a task someone else owns, so they know it changed.

Limitations and important behavior

These limits cover what the rail counts, which items you can create here, and checklist items you can't reopen.

  • The numbers on the priority rail count items across all three sections, but selecting a card filters only the section you're in. For example, with Tasks open, Needs attention now shows overdue tasks; switch to Conditions to see conditions flagged Needs Attention.

  • The Completed (7d) number includes checklist items only when no search, filter, or My tasks only is applied; otherwise it counts tasks only.

  • Task Hub groups tasks by due date only. There's no priority sorting or saved views.

  • New tasks from Task Hub can be linked to a mortgage file or left general; to create a task on a contact, use the contact's task list.

  • Conditions don't have due dates in Task Hub, so they appear in Needs attention now only when their status is Needs Attention.

  • Rest of week runs Monday to Sunday.

  • Checklist items can't be re-opened from Task Hub once checked; reopen them on the mortgage file.

Frequently asked questions

These questions are about which tasks appear here, whether assign sends email, and reordering.

Are tasks I created on a mortgage file shown in Task Hub? Yes. File tasks, contact tasks, and standalone tasks all appear in Tasks.

Does assigning a task email the person I assigned it to? Only if you choose Send notification after editing a task. Bulk Assign doesn't prompt.

Can I change the order of items in Task Hub? No. Order comes from the view and due dates.
