Filling out the Broki application

What to fill in on each step of the Broki application, what is required, and the message you see if something is missing.

Overview

The Broki application is the online mortgage application your client fills out from an application link. It collects the goal, each borrower's details, income, assets, debts, other properties, consents and signatures, then submits everything to the mortgage file. This article goes through each step, what is required, and the exact messages shown when something is missing.

Clients use it to complete their application. Brokers and processors use it to coach a client through the form or to understand where a submitted answer came from. Submitted answers appear on the mortgage file's Application tab.

At a glance

These are the required pieces before Submit Application will send the form.

  • Required: a goal, how many people, an estimated price or value, and for each borrower a first name, last name, date of birth, email, cell phone, and one income source.

  • Consent & Compliance is answered once: I Agree, I Authorize, and a PEP answer. The marketing opt-in is optional.

  • Up to four people can be on one application. Answers stay in this browser until you submit.

Before you begin

These are the details to have ready before the first step.

  • You need an application link from your broker. For how the link reaches the client and what happens after submission, see Broki application client flow.

  • Have each borrower's legal name, date of birth, email, phone, current address, income details and employment start date ready.

  • If anyone started their current job or business within the last three years, have their previous employer's name and dates.

  • Use one browser for the whole application. Answers are saved in that browser as you go.

Step-by-step instructions

The steps below follow the form from the consent cover through Submit Application.

Agree on the consent cover

The consent cover is the Start your mortgage journey agreement you tick before Get started.

  1. Tick "I confirm I have read and agree to the Application Terms, Privacy Policy, and Consent to Use Electronic Signatures and Records." Select Application Terms or Privacy Policy to read them.

  2. Select Get started.

Choose the goal

The Goal step records Purchase, Refinance or Renewal, the property figures, and how many people are on the application.

  1. Under What would you like to do?, choose Purchase, Refinance or Renewal.

  2. Fill in the property details for the goal you chose. For Purchase, answer Have you found a property? If yes, enter Property Address, Purchase Price, Down Payment and Expected Closing Date. If not, enter Desired Purchase Price and Available Down Payment. Answer Are you a first-time home buyer? For Refinance or Renewal, under Your current mortgage, enter Current lender, Approximate Mortgage Balance, Approximate Property Value and Renewal / Maturity Date.

  3. Under How many people will be on this application?, choose Just me or the number of people (up to 4).

  4. Optionally, add notes under Anything else we should know?

  5. Select Continue.

Required here: a goal, the number of people, and an estimated purchase price (Purchase) or approximate property value (Refinance or Renewal).

Enter each borrower's details

Borrower details are entered once per person, and the same required fields apply to every borrower.

  1. Enter the details as they appear on government-issued ID: First name, Middle name, Last name, Preferred name (optional), Date of birth, Marital status and Dependents (0–20).

  2. Under Contact, enter Email and Cell phone. Home phone and Work phone are optional.

  3. Under Current residence, enter Current address and Housing status (Own, Rent, With Parents or Other). If you own, describe the current home and any mortgage on it.

  4. Select Continue.

Required for every borrower: first name, last name, date of birth, email and cell phone.

Enter income and employment

Income & Employment needs at least one income source per borrower, and a previous employer when employed or self-employed income started within the last three years.

  1. Add at least one income source. Choose a Type (for example Employed, Self Employed, Pension, CPP, OAS or Retired) and enter the Annual income.

  2. For employed or self-employed income, enter the Start date (month/year) and the employer or business details (for example Company name, Employment status, Pay structure).

  3. If the start date is within the last three years, the form shows "Employment started within the last 3 years — previous employer required". Enter Previous employer name with its Start date and End date.

  4. Select Continue.

Enter assets

The Assets step lists what each borrower owns, and Used for down payment marks anything going toward the down payment.

  1. Add each asset with Asset type (for example Savings, Investments, Gift from Family, Vehicle), Asset value and an optional Asset description.

  2. Mark Used for down payment for any asset going toward the down payment.

Enter debts and liabilities

The Debts & Liabilities step lists each borrower's debts. Income, assets and debts each repeat for every borrower.

  1. Add each debt with Type of debt (for example Credit Card, Line of Credit (HELOC), Car Loan, Student Loan), Creditor / lender name, Balance and Monthly payment.

The Income, Assets and Debts steps repeat for each borrower.

Enter owned properties

Owned Properties is where you list other real estate, including Plan to sell and Has mortgage.

  1. List any other real estate you own. Use Plan to sell and Has mortgage to describe each property.

Complete consent and compliance

Consent & Compliance is answered once for the whole application: electronic communications, the credit check, an optional marketing opt-in, and the PEP question.

  1. Under Electronic Communications Consent, select I Agree or Decline.

  2. Under Credit Check Authorization, select I Authorize or Decline. The authorization is valid for 90 days from signing.

  3. Optionally, tick the box to receive market updates, rate alerts and occasional offers. It is optional, and you can unsubscribe at any time.

  4. Under Politically Exposed Person (PEP) Declaration, answer Are you, or any borrower on this application, a Politically Exposed Person? with No or Yes, I am a PEP. If yes, fill in Please provide details.

This step is answered once for the whole application, not once per borrower. Both I Agree and I Authorize are required to continue, and the PEP question must be answered.

Sign the documents

The Signatures step is where each person signs, or a co-borrower is marked to sign later by email.

Review and submit

Review & Submit is where you check the consent summary and select Submit Application.

  1. Check the summary. It shows each consent as Agreed / Not agreed, Authorized / Not authorized, and the PEP answer.

  2. Select Submit Application.

Before you continue: submitting sends the application to your broker and emails you a confirmation.

The mortgage file's Application tab is where brokers read the answers after submit.

Open the mortgage file and select the Application tab. If the file wasn't created from the online application, the tab shows "No application data available. This file was not created via the online application." See Application tab.

Practical examples and other ways to use it

These examples show a first-home purchase, a renewal, a recent job change, and coaching by phone.

  • Couple buying their first home. Alex Sample chooses Purchase, enters 123 Example Street at $450,000 with 2 people, then completes details, income, assets and debts for Alex and then for Jordan Example.

  • Renewal. A client renewing chooses Renewal and enters their current lender, approximate balance, approximate value and maturity date. No purchase price is needed.

  • Recent job change. A borrower who started a new job 18 months ago gets the previous-employer fields and must fill them before continuing.

  • Coaching by phone. One way to help a client: stay on the phone while they fill it out, using the step names in this article so you're both looking at the same thing.

Common mistakes and how to avoid them

These mistakes cover legal names, the previous employer, declined consent, and income entered under the wrong borrower.

  • Mistake: entering a nickname as the first name. Documents use the legal name. Fix: go Back and correct it. Prevent: use Preferred name for the nickname.

  • Mistake: leaving out the previous employer. You can't continue past Income & Employment. Fix: add the previous employer's name and dates.

  • Mistake: choosing Decline for electronic communications or the credit check. You can't continue without agreeing to both. Fix: select I Agree and I Authorize. If you don't want to consent, talk to your broker before continuing.

  • Mistake: one person's income entered under another. Each borrower has their own income, assets and debts steps. Check the borrower name in the step title before adding items.

Troubleshooting

Each heading below is the message on the step, or a disabled Submit Application button, with the fix under it.

"Please select a goal (Purchase, Refinance, or Renewal)."

This message means the Goal step has no goal selected.

To fix

  1. On the Goal step, choose one of the three goals.

"Please select how many people will be on this application."

This message means the number of people on the application has not been chosen.

To fix

  1. Choose Just me or the number of people.

"Please enter an estimated purchase price before continuing." or "Please enter an approximate property value before continuing."

These messages mean the purchase price or the property value is empty.

Possible causes

  • The price (Purchase) or value (Refinance or Renewal) is empty.

To fix

  1. Enter an estimate. You can refine it with your broker later.

"Please enter Primary borrower's first name." (or last name, date of birth, email, phone number)

This message means a required field is empty for the borrower named in the message.

Possible causes

  • A required field is empty for the borrower named in the message.

To fix

  1. Fill in the named field for that borrower and select Continue. "Phone number" means the Cell phone field.

"Please add at least one income source with type and amount for …"

This message means that borrower has no income source with both a type and an amount.

To fix

  1. On that borrower's Income & Employment step, add an income source with a Type and Annual income.

"Employment started within the last 3 years. Please add previous employer name and dates."

This message means employed or self-employed income started within the last three years and the previous employer is missing.

To fix

  1. Fill in Previous employer name, Start date and End date.

"Please agree to CASL and Credit Authorization (I Agree / I Authorize) before continuing."

This message means I Agree or I Authorize has not been selected on Consent & Compliance.

To fix

  1. Select I Agree and I Authorize on the Consent & Compliance step.

"Please answer the PEP (Politically Exposed Person) declaration before continuing."

This message means the PEP question on Consent & Compliance has not been answered.

To fix

  1. Answer Yes, I am a PEP or No.

The Submit Application button is disabled

A disabled Submit Application button shows a tooltip naming the step that is still incomplete.

Possible causes

  • Its tooltip explains why: "Complete Consent & Compliance (CASL, Credit Authorization, and PEP) first" or "Complete the Signatures step first".

To fix

  1. Go back to the named step and complete it.

Tips and best practices

These tips keep names, earlier answers, and estimates in a form the broker can use.

  • Enter names exactly as on ID. They are used on the signed consent documents.

  • Use Back rather than Reset to change earlier answers. Reset clears everything saved in this browser.

  • Round estimates are fine for prices and balances. Your broker confirms the figures with documents.

Limitations and important behavior

These limits cover how many people fit, where answers are saved, and which income needs a previous employer.

  • Up to four people can be on one application.

  • Answers are saved in the browser as you go, not on the server, until you submit.

  • On a computer, you can only jump to steps you've already reached.

  • The previous-employer check applies to employed and self-employed income that started within the last 36 months.

  • The marketing opt-in is separate from the required electronic communications consent.

Frequently asked questions

These questions cover co-borrower emails, skipping assets or debts, and French.

Does each co-borrower need their own email? Yes. Email is required for every borrower.

Can I skip Assets or Debts if I have none? Yes. Only the goal, borrower details, one income source per borrower, consents and signatures are required.

Can I switch to French partway through? Yes. Use the EN / FR switch in the header. Your answers stay.
