Overview
The Homeowner Reporting tab on a mortgage file builds a branded homeowner report for your client, showing their mortgage, equity, rates, and a comparison scenario, and can email it to them every month after funding. It keeps you in front of past clients between deals and gives them a reason to call you at renewal or refinance time.
Also called: Homeowner Reporting.
Brokers use the tab on funded files. Admins manage the related libraries in settings: Settings > Homeowner Hub for homeowner videos, and Settings > Client Portal for the document and video resources clients see in the client portal. Clients receive the report by email and open it from a secure link.
At a glance
The Homeowner Reporting tab builds a client report and can email it on a schedule.
Report readiness checks 10 items plus a primary borrower email before you can send.
Save changes writes override values onto the mortgage file.
Send report now emails the report when readiness checks pass. Monthly auto-send stays paused until the file owner sets obtainable rates in Portfolio, then emails each month on the closing date's day until the term ends or the file is marked expired.
Portal document and video resources are in Settings > Client Portal. Homeowner videos in Settings > Homeowner Hub are for the Success Kit, which is not available yet.
Before you begin
Check these requirements before you send a report from the Homeowner Reporting tab.
The file needs a primary borrower with an email address. Without one you see "Link a primary borrower with an email on this file to enable monthly reports."
The report needs these details, shown under Report readiness: Client name, Property address, Estimated home value, Current balance, Interest rate, Payment & frequency, Maturity / renewal date, Lender, Mortgage type, and Obtainable rates (Portfolio). The primary borrower also needs an email address.
The file owner must set up obtainable rates in Portfolio. Until then, monthly reports are paused.
Managing Homeowner Hub and Client Portal settings requires permission to manage files or company settings.
Collaborators from another organization cannot use homeowner reporting.
Step-by-step instructions
Use these steps to prepare, preview, send, and share a homeowner report, and to manage the related settings.
Prepare the report
Prepare the report when you need the inputs, overrides, and readiness checks filled in.
Open the mortgage file and select Homeowner Reporting in the file sidebar.
Review Report inputs. Each row shows the Field, the value On file, the value used On report, and an Override box.
Fill in or correct values in Override. If the maturity date is missing, you see "Missing: Maturity / renewal date" and need to enter it.
Optional: enter a Manual penalty override if you know the actual prepayment penalty.
Before you continue: saving writes these values to the mortgage file permanently ("edit a field and Save to update the file permanently").
Select Save changes. You see "Saved to file".
Check Report readiness. Every item should show a check mark, and the counter should read "10 / 10".
Below the inputs you can review At a glance, Charts & rate detail (equity breakdown, rate comparison, savings and penalty math), and Comparison scenario, where you edit the proposed interest rate, monthly payment, amortization, and principal balance.
Preview the report
Preview the report when you want to see the client version before anyone is emailed.
Select Preview client report.
Review the "Client report preview" exactly as the client will see it.
Send the report now
Send the report now when the primary borrower should get the report by email once.
Before you continue: this emails the report to the primary borrower, and to co-borrowers if CC co-borrowers is on.
Make sure readiness checks pass and there are no unsaved changes.
Select Send report now.
You see "Report email sent". Manual sends do not need the monthly toggle, but readiness checks must pass.
Turn on monthly reports
Turn on monthly reports when the client should get the report by email every month.
Before you continue: the client will get an email every month until the term ends or the file is marked expired.
Under Monthly delivery, turn on Monthly auto-send. It sends each month on the closing date's day.
Optional: turn on CC co-borrowers to copy the file's other borrowers on every report.
You see "Added to monthly report send list". The card shows "N reports sent so far" once reports go out.
Share the client report link
Share the client report link when someone should open the report from the link Broki keeps up to date.
When monthly reports are on and the file is ready, Broki creates a client report link and keeps it up to date.
Under Client report link, select Open client report to view it, or Copy link to share it ("Link copied").
The link updates automatically when the balance, rate, or penalty changes. You see "Last synced {date}".
Add a homeowner video
Add a homeowner video when you are managing the video library in settings.
Go to Settings > Homeowner Hub.
Select Videos ("Homeowner videos").
Select Add video, enter the details, and save. Use the edit or delete icons on a video to change it.
Add client portal resources
Add client portal resources when clients should browse documents or videos in the client portal.
Go to Settings > Client Portal.
Select Document resources ("Categories & library") or Video resources ("Folders & YouTube").
Add or organize the resources clients can browse in the client portal.
See Client portal and homeowner resources for the full settings.
Practical examples and other ways to use it
These examples show ways to use the Homeowner Reporting tab on a funded file.
Just funded. On Alex Sample's file at 123 Example Street, confirm the maturity date and lender, save, turn on Monthly auto-send, and turn on CC co-borrowers so Jordan Example also gets it.
Renewal conversation. One way to use this: enter today's rate in Comparison scenario, preview the report, then select Send report now before a renewal call.
Updated home value. Override Estimated home value with a recent estimate such as $650,000 so the equity numbers are current, then save.
Common mistakes and how to avoid them
If one of these happens on the Homeowner Reporting tab, use the fix under that mistake.
Overriding values you did not mean to change on the file. Save changes updates the mortgage file itself. Clear an override with the x before saving if you only wanted to try a number.
Turning on monthly reports without rates set up. Reports are paused until the file owner configures obtainable rates in Portfolio. Set those up first.
Leaving unsaved edits. Send report now is blocked with "Save changes to file first". Save, then send.
Troubleshooting
Use this section when a report will not send or the monthly email did not arrive.
"Complete readiness checks and add a borrower email first"
You see "Complete readiness checks and add a borrower email first" when a readiness item or the borrower email is missing.
Possible causes: a readiness item shows a warning, or the primary borrower has no email.
Check first: Report readiness for items marked with a warning.
To fix:
Fill in the missing values in Override and select Save changes.
Add an email to the primary borrower.
Confirm it worked: Send report now becomes available.
"Monthly reports are paused — …"
You see "Monthly reports are paused — …" when obtainable rates are not set up in Portfolio.
Possible causes: the file owner has not configured obtainable rates in Portfolio.
To fix: the file owner sets up obtainable rates in Portfolio. See Portfolio and renewals.
Confirm it worked: the warning is gone and Obtainable rates (Portfolio) shows a check mark.
"Nothing to save — enter an override first"
You see "Nothing to save — enter an override first" when you select Save changes with no override entered.
To fix: enter a value in an Override box before selecting Save changes.
The client did not receive the monthly report
The client did not receive the monthly report when auto-send is off, stopped, paused, or the email is wrong.
Possible causes: Monthly auto-send is off, the term has ended, the file is marked expired, reports are paused, or the borrower's email is wrong.
Check first: the Monthly delivery card and the borrower's email.
To fix:
Correct the email or readiness items.
Select Send report now to send one immediately.
Contact support if sends still fail. Include the file's loan code, the borrower name, and the time of the send.
Tips and best practices
Use these practices when you prepare a report on the Homeowner Reporting tab.
Check Report readiness before funding day. It is easier to fix missing details while the file is fresh.
Preview before the first send. It shows exactly what the client gets with your branding.
Use Comparison scenario to show a refinance or renewal option. It gives the client a concrete reason to reach out.
Limitations and important behavior
These limits apply to monthly sending, saved overrides, and settings that are not available yet.
Monthly reports stop when the term ends or the file is marked expired.
Save changes overwrites the mortgage file's values, such as home price, mortgage amount, and rate.
Homeowner videos in Settings > Homeowner Hub are used by the homeowner Success Kit, which is not available yet. Utilities, trades, and seasonal checklists are also not available yet.
Organization-wide homeowner report settings are not available yet.
