Overview
You add, edit, and remove the people in your Broki organization on Settings > Members. From there you can send invitations by email, resend or cancel pending invitations, update a member's details, change their login email, and remove someone who has left.
Every invited person joins as a Team Member. To make someone an admin or change what they can access, see User roles and permissions.

Every invited person joins as a Team Member. Full name and Phone on the invite form are not saved.
Invitations expire after 30 days. Resending an expired invitation extends it for another 30 days. Your subscription updates when they accept.
Changing a login email is immediate, signs the person out everywhere, and sends no email to either address.
You cannot remove a member who still owns files or contacts. There is no deactivate option.
Before you begin
You need a subscription and the right permissions before you can invite, edit, or remove people on Members.
Members needs an active subscription. Without one, the page shows Subscription Required.
To see Members, you need the Team Management Settings permission. To invite, edit, or remove people, you also need Manage Team, which team members don't have by default. Admins have both.
Only admins can change a member's role, change their login email, or remove members.
Adding a member changes your subscription. Check your plan on Billing and subscription before inviting.
Step-by-step instructions
These steps invite someone, manage a pending invitation, edit a member, change a login email, and remove someone.
Invite a team member
Invite a team member by email from Settings > Members. Also called: team invite.
Go to Settings > Members.
In Invite team member, enter the person's Email address. Full name and Phone are also on the form, but the person enters their own name when they create their account.
Select Send invitation.
Before you continue: A BILLING UPDATE NOTICE shows your current and new monthly cost per user. Selecting OK sends an email to the person; your subscription updates when they accept.
Select OK to continue, or Cancel to stop.
You see "Invitation sent to [email protected]! They will receive an email to join your team."
Confirm it worked: The person appears in Team members with the Pending status.
If the email couldn't be sent, you see "Invitation created but email failed to send to … Please copy this link manually: …". Copy the link from that message and send it to the person yourself. The message closes after about 10 seconds.
See what the invited person does
The invited person uses the email link to create an account or sign in, and then joins your organization.
The invitee opens the link in the invitation email.
They create their Broki account (or sign in, if they already have one) and join your organization.
Their status changes from Pending to Active.
Invitations expire 30 days after they are sent. See Team signup and collaborator access.
Find a team member
Find a team member by name, email, or role on the Members page.
Use Search members… to search by name or email.
Use the role filter to show All roles, Admin, or Team Member.
The table shows Member, Role, Phone, and Status (Active, Pending, or Deactivated). If nothing matches, you see "No members match your filters."
Resend or cancel a pending invitation
Resend or cancel a pending invitation from the icons on a Pending row.
Hover over a Pending row to see its icons.
Resend invitation sends the email again. If the invitation had expired, it is extended for another 30 days. You see "Invitation resent to …".
Cancel invitation withdraws it. You see "Invitation to … cancelled". If the person opens the old link, they see "Invitation has already been used or cancelled".
Fix if user already has account but isn't showing as team member repairs an invitation where the person already signed up but doesn't appear as an active member. You see "Fixed invitation for … - they should now be a team member".
Edit a team member's details
Edit a team member's details to update their name, phone, or profile photo.
Hover over the member's row and select Edit member.
Update Full name or Phone. The email is shown read-only.
Optional: set Role, Default display title, Executive assistant for, or Organization team lead. These are explained in User roles and permissions.
Optional: select the photo circle to Upload profile photo. It saves straight away.
Select Save. You see "Team member updated successfully".
Members manage their own bio and client-facing details on Settings > Profile. See Profile and team visibility.
Change a team member's login email
Change a team member's login email when their work email changes and they can't change it themselves. Only admins can do this.
Select Edit member for the person, then Change email… next to the email.
The dialog Change email for … opens: "Admin override — takes effect immediately, no verification email sent."
Enter the new email, type the confirmation text shown, and tick the confirmation box.
Before you continue: The change is immediate. The person is signed out on every device, the old email can no longer be used to sign in, and no email is sent to either address.
Select Change email now.
You see "Email changed to …. … has been logged out of all devices. Notify them through another channel — no email was sent."
Tell the person their new sign-in email by phone or chat.
Remove a team member
Remove a team member when they have left and you have already moved their files and contacts to someone else.
Reassign the person's files and contacts to someone else first. Broki won't remove a member who still owns them.
Hover over the member's row and select Remove member.
Confirm "Are you sure you want to remove this team member? They will lose access to this organization and, unless they belong to another one, will no longer be able to sign in."
Before you continue: Removal is immediate and changes your subscription seat count.
You see "Team member removed successfully".
Confirm it worked: The person no longer appears in Team members.
Practical examples and other ways to use it
These examples show when to invite, resend, remove, or change an email.
A new advisor starts Monday. Invite them with their work email on Friday. After they accept, set their display title and permissions.
An invitee lost the email. Use Resend invitation on their pending row rather than sending a new invite.
An advisor leaves. Reassign their files and contacts, then use Remove member.
An assistant's email domain changes. Use Change email…, then call them with the new sign-in email.
Common mistakes and how to avoid them
These mistakes send an invite to the wrong place or block a removal.
Inviting the wrong address. The invitation goes to that address and only that address can accept it. Use Cancel invitation and invite the correct email.
Expecting the name and phone from the invite form to appear on the member. They aren't kept. Edit the member after they join to add a phone number.
Removing someone who still owns files. Removal is blocked. Reassign their files and contacts first.
Changing someone's email without telling them. They are signed out and get no email. Contact them directly.
Looking for a Deactivate button. There isn't one. Use Remove member, or restrict their permissions on Roles & Permissions if they're on leave.
Troubleshooting
Use this section when an invitation or a removal doesn't go through.
"This email is already a team member"
You see "This email is already a team member" when that address already belongs to someone in your organization.
Possible causes: The address already belongs to someone in your organization.
Check first: Search for the email with Search members….
To fix: If they're listed, edit them instead of inviting. If they aren't listed but signed up before, use Fix if user already has account but isn't showing as team member on their pending row.
The invitee didn't get the email
The invitee didn't get the email when sending failed, the message went to spam, or the address is wrong.
Possible causes: The email failed to send, went to spam, or the address has a typo.
Check first: Look for the "Invitation created but email failed to send…" message and check the address on the Pending row.
To fix:
Ask the person to check spam or junk.
Select Resend invitation.
If it still doesn't arrive, send them the link shown in the failure message yourself.
Confirm it worked: Their status changes to Active after they accept.
Contact support if: Resending fails repeatedly. Include the invitee's email and the time you tried.
The invitation link says it has expired
The invitation link says it has expired when more than 30 days passed since it was sent.
Possible causes: More than 30 days passed since it was sent.
To fix: Select Resend invitation on their row. Broki extends it for 30 days and emails them again.
"Reassign this member's files and contacts first"
You see "Reassign this member's files and contacts first" when the member still owns files or contacts.
Possible causes: The member still owns files or contacts.
To fix:
Open their files and contacts and change the owner to another member.
Try Remove member again.
"You cannot remove the last admin of the organization" or "You cannot remove yourself from the organization"
You see one of these messages when you try to remove the only admin, or yourself.
Possible causes: You tried to remove the only admin, or yourself.
To fix: Make another member an admin, then have that admin remove you or the other admin.
"The member was removed, but their login could not be disabled. Contact support."
You see "The member was removed, but their login could not be disabled. Contact support." when removal succeeded but sign-in could not be turned off.
Possible causes: The removal succeeded but their sign-in couldn't be turned off.
Contact support if: You see this message. Include the member's email so support can disable their login.
"You do not have permission to manage the team."
You see "You do not have permission to manage the team." when you don't have Manage Team, or your browser still has older permissions.
Possible causes: You don't have Manage Team, or you joined recently and your browser has older permissions.
To fix:
Reload Broki.
If it still appears, ask an admin to turn on Manage Team for you on Settings > Roles & Permissions.
Limitations and important behavior
These limits apply to invitations, billing, removal, and login email changes.
New members always join as Team Member. Change the role after they accept.
Invitations expire after 30 days. Resending an expired invitation extends it.
Sending a second invite to someone with a live pending invite resends the existing one instead of creating a duplicate.
The cost shown in the BILLING UPDATE NOTICE is an estimate. Your actual charges are on your billing page.
There is no deactivate option and no bulk reassignment tool.
Changing a login email doesn't send a verification email.
Frequently asked questions
These are questions about invites, billing, and removed members.
Why can't I invite someone as an admin? Invite them, then change their role to Admin after they accept. New members always join as Team Member.
Does a pending invite count toward my bill? Your subscription updates when the person accepts.
Can a removed member still sign in? Not to your organization. If they don't belong to another Broki organization, they can't sign in at all.
