Dashboard overview

Check today's priorities, key numbers, tasks, and emails waiting for your approval.

Overview

The Dashboard is Broki's home page: it shows today's priorities, funded volume, key numbers, emails waiting for approval, your schedule, upcoming closings and subject removals, open tasks, pipeline and condition summaries, and recent activity. Most cards link straight to the page or file behind them, and you can filter the whole dashboard to one team member by selecting their avatar.

What you see depends on your access. If your role only lets you see your own files, the dashboard only counts your own files and tasks.

At a glance

These are the facts to remember about the dashboard.

  • You need permission to view the pipeline. Without it you see "Access Denied".

  • Selecting a teammate's avatar filters the dashboard. Selecting it again clears the filter. What you see still depends on your own file access.

  • Approve on an email waiting for approval sends it right away. Admins see the organization's queue; others see only their own.

  • The card layout is fixed. You can't add, remove, or rearrange cards.

Before you begin

Check these points before you use the dashboard.

  • Your role needs permission to view the pipeline. Without it you see "Access Denied" and "You don't have permission to access the dashboard."

  • Your organization needs an active subscription.

  • Numbers come from your mortgage files, conditions, tasks, commission entries, signing packages, and calendar. Cards stay empty until that data exists.

  • The dashboard layout is fixed. You can't add, remove, or rearrange cards.

Step-by-step instructions

Follow these steps to read the dashboard, filter it, and act on emails and tasks.

Read the top of the dashboard

Read the top of the dashboard for the date, your welcome line, and today's chips.

  1. Select Dashboard in the sidebar.

  2. At the top you see the date and time, and "Welcome back" with your first name. An Updating label appears while the numbers refresh.

The chips below show what needs attention today.

  • Closing today — files closing today.

  • Needs attention — conditions marked as needing attention.

  • Due today — tasks due today.

  • Email, SMS, DMs, Messenger, WhatsApp — unread messages. Select one to open the communications hub.

Filter the dashboard to one team member

Filter the dashboard to one team member by selecting their avatar.

  1. Select a team member's avatar. On a computer the avatars are in the header; on a phone they're at the top of the dashboard.

  2. The dashboard now shows that person's data. My Day becomes "Alex's Day" and the tasks card becomes "Alex's Tasks" (using their name).

  3. To clear the filter, select the same avatar again. Hover over an avatar to see "Filter by" or "Clear … filter" with their name.

What a filtered view shows still depends on your own access to files.

Review mortgage volume

Review mortgage volume for funded files in the current year.

Mortgage volume shows funded volume by month for the current year, with the year-to-date total. Hover over a month to see the amount. Below the chart you see YTD funded volume compared with last year (or "No funded volume last year") and Projected volume.

Review the key number cards

Review the key number cards under the volume chart.

  • New leads this month, with the change from last month. Select it to open Leads.

  • Revenue this month — commission entries created this month.

  • Pending commissions — how many commission entries are pending. Select it to open Commission.

  • YTD commission.

  • Closings (30 days) — files closing in the next 30 days.

  • E-sign approvals — completed signing packages, with "N waiting" or "All completed".

Approve, edit, or reject an email waiting for approval

Approve, edit, or reject an email waiting for approval on the Communications requiring approval card.

The card lists emails held for review before sending. Admins see every email waiting in the organization; other team members see only their own.

Before you continue: approving sends the email to the recipient right away.

  1. Find the email in the list. Unsubscribe links show as [unsubscribe link].

  2. Select Approve to send it. You see "Email sent".

  3. Or select Edit to open the email in a full-screen compose window so you can change it before sending.

  4. Or select Reject. Confirm "Reject this email to …?". You see "Email rejected" and it's not sent.

  5. Select Refresh to reload the list.

When the list is empty you see "Nothing waiting for approval".

Check My Day

Check My Day for today's calendar events.

My Day lists today's calendar events, showing the time or "All day". Cancelled events are crossed out. If there's nothing, you see "Nothing scheduled today".

Check upcoming closings and subject removals

Check upcoming closings and subject removals for every future date on your files.

Upcoming closings and Upcoming subject removals list every future date, soonest first, with the loan code, contact, date, stage, and amount. Select Open to go to the file, or Pipeline → to open the pipeline.

Check upcoming milestones

Check upcoming milestones for closings, subject removals, anniversaries, and birthdays.

Upcoming milestones groups closings and subject removals in the next 30 days, mortgage anniversaries in the next 90 days, and client birthdays in the next 30 days.

Work through tasks

Work through tasks on the Tasks or My Tasks card.

The card is titled Tasks if you can see all files, or My Tasks if you can only see your own.

  1. Tasks are listed soonest due first. Overdue dates are shown in red; tasks without a date show "No due date".

  2. Select the check mark (Mark complete) to finish a task. You see "Task completed".

  3. Select the pencil (Edit task) to change it.

  4. Select the task itself to open it where it lives — the mortgage file's Task Hub tab, the contact, or the global Task Hub.

When nothing is open you see "No open tasks".

Review the pipeline funnel

Review the pipeline funnel for how many active files are in each stage.

Pipeline funnel shows how many active files are in each stage, in the order of your default pipeline, and marks the largest stage. Switch between active, archived, and completed files. Select View pipeline → to open Pipeline.

Review conditions by status

Review conditions by status on the conditions chart.

The conditions chart shows conditions by status: Needs attention, Requested, Received from client, Sent to lender, and Approved, with a total.

Review activity, partners, and signing

Review activity, partners, and signing on the lower summary cards.

  • Live activity shows up to 12 recent events. Select View all → for more. If there's nothing yet, you see "No recent activity".

  • Top partners ranks partners who send you the most business, by category.

  • Lead pipeline and Partner funnel show how many leads and partners are in each stage.

  • The E-Sign card shows signing packages completed and waiting on signatures. Select View → to open E-Sign.

Read the quick stats

Read the quick stats along the lower part of the dashboard.

Quick stats show Total Portfolio Value, Active Files, Conversion Rate, Revenue Pipeline, and last, this, and next month's revenue.

Review the active pipeline table

Review the active pipeline table for stage, conditions, tasks, and advisor.

Active pipeline lists active files with their stage, condition counts (outstanding, pending, rejected, approved), tasks, and advisor. Filter by stage or advisor, and select Clear filters to reset. If there are none, you see "No active pipeline files".

Read dashboard notifications

Read dashboard notifications for your latest five alerts.

Notifications shows your latest five notifications and the unread count. Select Mark all read to clear them; you then see "All caught up".

Practical examples and other ways to use it

These examples show a morning check, a team check-in, and month-end.

  • Start of day. Alex Sample opens the Dashboard, checks Closing today and Due today, clears overdue tasks with Mark complete, and approves two emails in Communications requiring approval.

  • Team check-in. An admin selects Jordan Example's avatar to review "Jordan's Tasks" and Jordan's upcoming subject removals, then selects the avatar again to return to the team view.

  • Month-end. A broker compares YTD funded volume with last year and checks Pending commissions before opening Commission.

  • Suggestion: use Upcoming milestones to plan renewal and birthday outreach a few weeks ahead.

Common mistakes and how to avoid them

These mistakes send an email early, hide files behind a filter, or expect dates that were never entered.

  • Approving an email without reading it. It's sent to the client immediately. Open it with Edit first if you need to check the content. Make reviewing part of your routine before selecting Approve.

  • Forgetting a team filter is on. Numbers look lower than expected because you're seeing one person's data. Check whether My Day shows someone else's name, and select their avatar again to clear it.

  • Expecting files without dates to show in Upcoming closings. Only files with a closing or subject removal date appear. Add the dates on the file so they show up here.

  • Looking for a way to rearrange cards. The layout can't be customized. Use the sidebar and preferences for the parts of Broki you can personalize.

Troubleshooting

Use this section when the dashboard is blocked, counts look short, a task won't complete, or a card is empty.

"Access Denied" — "You don't have permission to access the dashboard."

This message appears when you don't have permission to access the dashboard.

Possible causes

  • Your role doesn't include permission to view the pipeline.

Check first

  • Ask your admin which role you have.

To fix

  1. Ask an admin to turn on pipeline viewing for your role in Settings > Roles & Permissions.

  2. Refresh the page.

Confirm it worked

  • The dashboard loads.

Contact support if

  • Your role already includes pipeline viewing and you still see this message.

The dashboard shows fewer files or tasks than my teammates see

Use this section when the dashboard shows fewer files or tasks than your teammates see.

Possible causes

  • Your role only lets you see your own files.

  • A team member filter is on.

Check first

  • See whether the tasks card says My Tasks (own files only) or someone else's name.

To fix

  1. Clear any team member filter by selecting the highlighted avatar.

  2. If you need to see everyone's files, ask an admin to review your permissions.

Confirm it worked

  • The cards show My Day rather than a teammate's name, and the counts match what your access allows.

Contact support if

  • Numbers still don't match after checking permissions and filters.

"Could not complete that task"

This message appears when a task could not be completed from the dashboard.

Possible causes

  • The task was changed or deleted by someone else.

  • A connection problem.

Check first

  • Refresh the page and see whether the task is still listed.

To fix

  1. Refresh the page.

  2. Select the task to open it and complete it there.

Confirm it worked

  • You see "Task completed" and the task leaves the list.

Contact support if

  • The same task fails every time. Include the task name, the loan code, and the time.

A card is empty

Use this section when a card is empty.

Possible causes

  • There's no matching data yet (for example, "No lead stages configured" or "No partner stages").

Check first

  • Read the empty message on the card.

To fix

  1. For lead or partner stages, set them up in Settings > Pipelines. See Pipeline stage configuration.

  2. For closings and subject removals, add the dates on your mortgage files.

Confirm it worked

  • The card fills in after the data is added.

Contact support if

  • The card stays empty even though matching data exists.

Tips and best practices

These tips make the daily cards and the approval queue useful.

  • Clear Needs attention first. These conditions are usually blocking a file, so dealing with them early keeps deals moving.

  • Check the approval queue several times a day. Emails waiting for approval aren't sent until someone acts on them.

  • Keep closing and subject removal dates up to date. Several cards rely on them, so accurate dates make the dashboard trustworthy.

  • Use the team filter for one-on-ones. It shows one person's day, tasks, and dates in one place.

Limitations and important behavior

These limits apply to layout, file access, and how many items some cards show.

  • The layout can't be customized, and there's no option to change a welcome image or hide cards.

  • If your role only shows your own files, all cards are limited to your own files and tasks.

  • The date and time at the top use your device's time zone.

  • Live activity shows up to 12 items; Notifications shows the latest five.

  • The pipeline funnel uses your organization's default pipeline.

  • Admins see the whole organization's approval queue; other team members see only their own.

Frequently asked questions

These questions are about cards, revenue wording, and the phone filter.

Can I choose which cards appear? No. Every user sees the same set of cards, filled with the data they can access.

Why does Revenue this month say "Awaiting close"? There's no commission revenue from entries created this month yet. Once there is, it shows "In progress".

Can I filter by team member on my phone? Yes. The avatars appear at the top of the dashboard on a phone.
