Overview

Broki is a CRM for mortgage brokers that keeps leads, contacts, mortgage files, client applications, documents, compliance, e-sign, tasks, communications, and reporting in one workspace. A typical deal moves from a lead on the Leads page, to a mortgage file on the Pipeline, through conditions, documents, and signing, to a funded mortgage you follow in Portfolio.

These are the facts to remember about how Broki is organized.

  • A typical deal moves from a lead on Leads, to a mortgage file on Pipeline, to a funded mortgage in Portfolio.

  • Clients use the Broki application and the client portal. They do not use the staff pages.

  • Team members belong to your organization. Collaborators are other Broki organizations you share selected work with.

Before you begin

Check these points before you tour Broki.

  • Your organization needs an active subscription to use the staff pages.

  • What you see depends on your role. Admins see everything; other team members see the pages and files their permissions allow.

  • New organizations can set things up with the Getting Started setup wizard. See Onboarding wizard.

Step-by-step instructions

Follow these steps to get oriented, follow a deal, and find the other areas.

Get oriented

Get oriented on the dashboard, the sidebar, and the setup wizard.

  1. Sign in. You land on the Dashboard, which shows today's priorities and key numbers. See Dashboard overview.

  2. Use the sidebar on the left to move between areas, and the header search (Ctrl+K or ⌘K) to find files, contacts, partners, documents, and tasks. See Navigation, sidebar, and customizing.

  3. If you're setting up a new organization, open Getting Started and continue the setup wizard.

Follow a deal through Broki

Follow a deal through Broki from the first lead to a funded mortgage.

  1. Capture the lead. Track prospects on the Leads page. Marketing tools such as Web Forms (embeddable lead capture forms) and Lead Magnet quizzes help you capture new leads from your website. See Leads pipeline and application link.

  2. Send the application. Send your client an application link so they can complete the Broki application. See Client journey and application links and Filling out the Broki application.

  3. Work the mortgage file. Each deal is a mortgage file on the Pipeline, moving through your stages. Inside the file, tabs such as Mortgage Summary, Application, Documents, Compliance, E-Sign, Task Hub, Communications, and Notes hold everything about the deal. See Opening a mortgage file and Pipeline board and moving deals.

  4. Collect documents and clear conditions. Track what's needed with conditions and checklists. Clients see what's outstanding in the Documents section of the client portal. See Documents tab and Checklists and conditions.

  5. Handle compliance and signing. Send required disclosures and consents, then send signing packages from E-Sign. See Compliance tab and E-sign overview for brokers.

  6. Keep everyone updated. Stage updates and partner updates can notify clients and referral partners as the file moves. See Stage updates and partner updates.

  7. After funding. Completed stages group funded files by time to renewal (for example, 12+ months out or Under 6 months), and Portfolio gives an overview of your mortgage portfolio. See Portfolio and renewals.

Practical examples and other ways to use it

These examples show how different brokerages use the main areas together.

  • Solo broker. Alex Sample captures leads with a web form, sends an application link, works each file on the Pipeline, and reviews funded files by time to renewal.

  • Brokerage with assistants. Sample Mortgage Group's admin invites assistants as team members, limits what they can change through roles, and uses stage updates so clients hear about progress automatically.

  • Working with another brokerage. Jordan Example connects with a partner brokerage as a collaborator to share one pipeline without adding them as team members.

  • Suggestion: walk new staff through the "Follow a deal" steps above on a sample file before they work on live clients.

Common mistakes and how to avoid them

These mistakes come up when leads, files, personal preferences, and collaborators get mixed up.

  • Treating leads and mortgage files as the same thing. They live on different pages with different stages. Check whether a client is on Leads or Pipeline before looking for their details.

  • Changing organization settings to fix a personal preference. Sidebar order, default views, and file tabs are personal and live in Settings > My Account > Preferences. Organization settings (pipelines, branding, compliance) affect everyone.

  • Adding an outside brokerage as team members. They'd join your organization. Use collaborators instead to share only selected work.

Tips and best practices

These tips help a new team settle on one way of working.

  • Finish the setup wizard early. It sets up branding, stages, client updates, and integrations in one place, so later steps work as expected.

  • Use the dashboard as your starting point each day. It brings together what's due, closing, and waiting on you.

  • Agree on stage names as a team. Stages appear on the pipeline, dashboard, and client updates, so consistent names avoid confusion.

Limitations and important behavior

These limits apply to what you can see in Broki.

  • Staff pages need an active subscription.

  • Pages appear based on your role's permissions.

  • Communications is hidden from the sidebar by default; turn it on in Settings > My Account > Preferences > Sidebar items.

  • Stage names are configurable, so your organization's stages may differ from the examples here.

Where do I start as a new admin? Open Getting Started and follow the setup wizard.

Can clients see the staff pages? No. Clients use the Broki application and the client portal, not the staff pages.

Where are the calculators? Use the Calculators button in the footer bar. Embeddable calculators for your website are under Marketing.
