Action plans

Action plans are not available yet. Use Automations for follow-up sequences and Task Hub for manual steps.

Overview

Action plans — reusable sequences of follow-up emails and tasks that you enroll clients in — aren't available in Broki yet. There's no Action plans page in the sidebar, and you can't enroll a client or mortgage file in a plan.

Also called: drip campaign, follow-up sequence.

Until action plans are released, you can build automated follow-ups with Automations and track the manual steps in Task Hub.

At a glance

Action plans are not available. Use Automations and Task Hub for the same follow-up work.

  • There is no Action plans page, and you can't enroll a client or mortgage file in a plan.

  • Build the sequence in Automations. New workflows are Active when saved, and Send Email sends unless Require approval before sending is on.

  • Create each manual step in Task Hub with a due date, then work Due today and Rest of week.

Before you begin

You need permissions for Automations or Task Hub before you replace an action plan with either one.

  • To build follow-ups with Automations, your role needs the Manage Automations permission (Settings > Roles & Permissions).

  • To work tasks in Task Hub, your role needs View Global To-Do.

Step-by-step instructions

Until action plans exist, these steps build the follow-up in Automations or as tasks.

Build a follow-up sequence with Automations

A follow-up sequence is a workflow with a trigger, email or task actions, and an optional delay.

  1. In the left sidebar, select Automations.

  2. Create a workflow with a trigger (for example, a mortgage file moving to a stage) and actions such as Send Email, Create Task, and a delay between them.

  3. Turn on Require approval before sending on any email step you want to review first.

  4. Select Save workflow.

Before you continue: New workflows are Active when saved, and email steps send automatically unless approval is required. See Automations and workflows overview for the full setup.

Track manual follow-up steps in Task Hub

Manual follow-up steps are tasks you create in Task Hub and work from the due-date cards.

  1. In the left sidebar, select Task Hub.

  2. Select New task, enter a title, pick the mortgage file, and set a Due date.

  3. Repeat for each step, then work them from Due today and Rest of week.

Practical examples and other ways to use it

These examples replace an action plan with an automation for check-ins or a new lead.

  • Post-funding check-ins. Create an automation that triggers when a file moves to your funded stage and creates tasks for 30-, 90-, and 365-day check-ins with Alex Sample.

  • New lead nurture. Create an automation for new leads that sends a welcome email (with approval turned on) and creates a call task for the next day.

Common mistakes and how to avoid them

These mistakes come from looking for a page that isn't released, or saving a workflow while it is already running.

  • Searching for an Action plans page. It isn't in the product yet. Use Automations for sequences.

  • Saving an automation before it's ready. Workflows run as soon as they're saved as Active. Turn Active off in Workflow settings until you've checked every step.

Troubleshooting

Use this check when you can't find action plans in the sidebar.

I can't find Action plans in the sidebar

Action plans aren't in the sidebar because they aren't released yet.

Possible causes

  • Action plans aren't released yet.

To fix

  1. Use Automations for automated sequences and Task Hub for manual steps.

Contact support if

  • You were told action plans are enabled for your account. Include your company name and where you expected to find them.

Tips and best practices

These habits make an Automations follow-up easy to pause and keep personal notes as tasks.

  • Keep one automation per follow-up goal (for example, "Post-funding check-ins") so it's easy to pause.

  • Use task steps rather than email steps for anything that needs a personal touch.

Limitations and important behavior

Action plans stay unavailable, and workflows you build in their place can't enroll one client by hand.

  • Action plans, plan enrollment, and plan templates aren't available.

  • Automations run from triggers; you can't manually enroll a single client in a workflow.
