Overview
Settings > Applications is where you set up the links that send clients to a mortgage application and the client journey invite email they receive when you create a mortgage file. You can use the built-in Broki application, your own titled links to an external application (for example Velocity or Finmo), or both, and pick which one is your default.
Also called: welcome email.
When you start a client journey, Broki creates the mortgage file with document requests and emails the client. That one email contains two buttons: one opens your application link, and one opens the file's client portal, where the client uploads documents. The client portal is a private link for that file. Clients don't create a login, and you can turn their access off at any time.

Before you begin
Before you set up Applications, confirm you can open the page and, for BC links, that a BC brokerage licence is saved.
You need the Pipeline Configuration or Company Settings permission to open Applications. Both are on by default for every role, and admins always have access.
Application links are personal. Each team member generates their own Broki application link and adds their own external links.
The invite email design is shared by your whole organization. A change made by one team member applies to everyone's invites.
The BC agency links (BC Form 1A) need a BC brokerage licence saved in Settings > Compliance Documents. Until then they appear greyed out with "Add a BC brokerage licence under Settings › Compliance documents › Identity & licences to enable these links." See Compliance documents settings.
Your company logo and colours come from Settings > Company Profile.
Step-by-step instructions
These steps cover application links, the shared invite email, and starting a client journey on a new file.
Open Applications settings
To open Applications settings, go to Settings and choose Application Links or Client Journey Email.
Open Settings.
Under Client Experience, select Applications.
In the left column, choose Application Links or Client Journey Email.
Applications has Application Links for your personal links and Client Journey Email for the shared invite.
Turn on the Broki application
To turn on the Broki application, switch on Show Broki application tab & link for yourself.
The Broki application is off until you turn it on for yourself.
In Application Links, find Show Broki application tab & link near the bottom.
Turn the switch on.
What happens: the Application tab appears on your mortgage files and your Broki application links become visible. The setting is personal, so each team member turns it on for themselves.
Generate your Broki application links
To generate your Broki application links, select Generate link under Broki application links.
In Application Links, under Broki application links, select Generate link.
Broki creates your personal links. Application URL is your unique client application link. Mortgage track landing is a page homeowners use to submit their mortgage details to you. Broki creates a mortgage file and marks it complete on their side. See Adopt a Mortgage (mortgage track). BC · Designated agency (Form 1A) and BC · Brokerage agency (Form 1A) are the Broki application with BC Form 1A included, using your brokerage defaults and your saved signature (or your name in script if you have none).
Use the copy icon next to a link to copy it, or the open icon to preview it in a new tab.
The BC Form 1A links stay greyed out until a BC brokerage licence is saved. After that, BC · Designated agency and BC · Brokerage agency can be selected.
Confirm it worked: "Link copied to clipboard" appears and the link opens the application.
Add external application links
To add external application links, enter a title and URL, then save.
In Application Links, under Full application URL (Velocity / external), select Add link.
Enter a Title (for example, "Velocity") and the full URL.
Repeat for any other external application you use.
Select Save application links.
What happens: each titled link appears next to the Broki options when you start a client journey or send an application. Select Remove on a link to delete it, then save.
Choose your default application link
To choose your default application link, select Broki Native, a BC agency option, or one of your titled links.
In Default application link, choose Broki Native, BC · Designated agency, BC · Brokerage agency, or one of your titled external links.
The choice saves when you select it. Default appears next to the matching external link.
Your default is preselected when you start a client journey on a new mortgage file.
Customize the client journey invite email
To customize the client journey invite email, edit the shared design and save. The change applies to every team member's future invites.
Before you continue: this email design is shared across your organization. Changes apply to every team member's future invites.
Select Client Journey Email.
Edit the Email subject. The default is "Welcome To Your Mortgage Journey".
Edit the header (Header title, Header subtitle).
Edit Step 1: the application step, with CTA button text (default "Start Application").
Edit Step 2 — Documents: it introduces the list of documents you requested.
Edit Step 3 — Upload: the client portal step, with Upload button text (default "Upload Documents").
Edit the Call to action block, the Footer, and the background, border and button colours for each step.
Select Preview email to check the result.
Select Save settings.
Start a client journey on a new mortgage file
To start a client journey on a new mortgage file, leave Client journey on and choose the application link. Broki emails each contact who has an email address.
Before you continue: with Client journey turned on, creating the file emails each contact who has an email address.
Create a mortgage file as usual (see Creating a new mortgage file) and add the client's contact details, for example Alex Sample, [email protected].
Leave Client journey on. The description reads "Welcome email with app link and document list".
In Application link, choose which application to send. Your default is preselected.
Choose the documents to request, then finish creating the file.
What happens: Broki creates the file and its document requests and sends the invite. You'll see "Mortgage file created with … document requests and Client Journey email sent successfully!"
The client receives one email. The Start Application button opens the application link you chose. The email includes the list of requested documents. The Upload Documents button opens the file's client portal.
When the client submits the Broki application, it updates the existing mortgage file rather than creating a duplicate.
Practical examples and other ways to use it
These examples show using Velocity plus the portal, BC Form 1A, a website link, and a shared invite design.
You use Velocity for applications but want Broki's document collection. Add a titled Velocity link, make it your default, and leave Show Broki application tab & link off. Your invites send clients to Velocity and to the client portal for documents.
You're licensed in BC. Save your BC licence in Settings > Compliance Documents, then use the BC · Designated agency link so BC Form 1A is part of the application. If you need to draw a signature or adjust lender concentration for one client, send the application from the mortgage file instead of the standalone link.
You want a link for your website or email signature. Copy your Application URL and add it to your site. One way to do this: set it as the Apply Now URL (override) in Settings > Email Branding so it appears under your photo in campaign emails.
You want a fresh look for your invites. Change the colours and button text in Client Journey Email, preview, then save. The next invite anyone in your organization sends uses the new design.
Common mistakes and how to avoid them
These mistakes cover personal links, a shared invite template, unsaved external links, BC licences, and turning Client journey off.
Expecting teammates to see your links. Application links and the Broki application switch are per user. Each broker needs to generate their own links and turn on the switch.
Editing the invite email for one client. The template is shared by the whole organization. Write client-specific messages separately, for example from the mortgage file's Communications tab.
Forgetting to save external links. Adding a link doesn't save it. Select Save application links (or Save settings).
Trying to use the BC links without a licence. They stay greyed out until a BC brokerage licence is saved in Settings > Compliance Documents.
Turning off Client journey and expecting an email. With the toggle off, the file is created with its contacts only, and no invite is sent.
Troubleshooting
Use this section when BC links are greyed out, the Broki link is missing, the invite fails to send, or the portal says access was revoked.
The BC agency options are greyed out
The BC agency options are greyed out when no BC brokerage licence is saved.
Possible causes
No BC brokerage licence is saved for your organization.
To fix
Go to Settings > Compliance Documents and add the BC brokerage licence under Identity & licences.
Return to Settings > Applications and reload the page.
Confirm it worked: BC · Designated agency and BC · Brokerage agency can be selected.
I can't see my Broki application link or the Application tab
Use this section when you can't see your Broki application link or the Application tab.
Possible causes
Show Broki application tab & link is off for your account.
You haven't generated your links yet.
To fix
Turn on Show Broki application tab & link in Application Links.
Select Generate link if the links section is empty.
"Mortgage file and document requests created, but Client Journey email failed to send"
"Mortgage file and document requests created, but Client Journey email failed to send" means the file exists but the invite email did not go out.
Possible causes
The contact's email address is invalid.
Your email sending connection had a problem when the file was created.
Check first
The contact's email on the mortgage file.
Settings > Connections for a disconnected email account (see Integrations setup).
To fix
Correct the email address on the file.
Send the client the application link and the portal link again from the mortgage file. The portal link is in the file's Actions menu under Copy portal link.
Contact support if sending keeps failing. Include the file's loan code, the exact message and the time.
The client says the Upload Documents button shows "Access has been revoked"
The client says the Upload Documents button shows "Access has been revoked" when Portal access is off on that file.
Possible causes
Portal access is turned off on that mortgage file.
To fix
Open the mortgage file and go to the Documents tab.
Turn Portal access back on.
Confirm it worked: the toggle shows "Client can access the portal" and the client's link opens the portal again.
Tips and best practices
These tips help the new-file form use your default, and keep invite wording checked before a client sees it.
Generate your links and set your default before your first client journey. The new-file form uses your default, so you won't need to change it each time.
Preview the invite after every design change. The preview shows exactly what clients receive, so you can catch colour or wording problems before they reach anyone.
Name external links clearly. Titles such as "Velocity – purchase" make the right choice obvious on the new-file form.
Limitations and important behavior
These limits describe which settings are personal, how the portal link works, and when the invite is sent.
Application links, the default link and the Broki application switch are per user. The invite email template is per organization.
The client portal link is tied to the mortgage file. There is no client login. Anyone with the link can open that file's portal until you turn off Portal access.
Turning off Portal access shows clients "Access has been revoked". Turning it on again restores the same link. There's no way to issue a different portal link for the file.
The standalone BC links use your saved defaults. To change signature or lender concentration for one client, send the application from the file.
The invite is sent only when you create the file with Client journey on.
Frequently asked questions

Do clients need an account to use the client portal? No. The portal link from the invite opens that file's portal directly.
