Onboarding wizard

Finish setup for your brokerage, stages, branding, team invites, and imported files.

Overview

The setup wizard walks you through getting Broki ready for your first client — your brokerage details, profile, integrations, pipeline stages, branding, client portal, client and partner update emails, team invites, and importing your existing files. Your progress saves as you go, and you can close the wizard and pick up where you left off from the Getting Started page.

The wizard opens automatically right after a new organization completes payment, and once per browser session until you finish or dismiss it. Most steps can be skipped and revisited later; the settings you choose here are the same ones you'll find in Settings.

At a glance

These are the facts to remember about the setup wizard.

  • Progress saves per person. Company settings you change here apply to the whole organization.

  • Skip this step moves on without saving. Save & close or I'll do this later stops the wizard opening automatically.

  • Only Velocity and Finmo can be connected as a point of sale. Only Twilio can be connected for SMS. The others are shown as Coming soon.

  • Importing creates mortgage files. Velocity sync waits until Velocity approves your API connection.

Before you begin

Check these points before you start or resume the wizard.

  • Your organization needs an active subscription. The wizard doesn't open automatically while payment is outstanding.

  • Have these ready to move quickly: your company name, business address, website, business hours, a photo of yourself, your logo (a light-mode and a dark-mode version), and your brand colors.

  • To connect Gmail, Outlook, or an Outlook calendar you'll sign in to that service in a pop-up window, so allow pop-ups for Broki. If they're blocked you see "Popup was blocked. Allow popups for this site and try again." Messenger and Instagram take you away from the wizard to sign in, then bring you back.

  • To connect Velocity or Finmo you'll need your API key from that system. For Finmo you'll also need your Team ID. For Twilio you'll need your Account SID, auth token, and Twilio phone number. You paste these directly into Broki — never send them to anyone, including support.

  • To import files, export a CSV of your deals from Velocity, Finmo, or your current CRM first.

  • Some steps change settings for your whole organization (company details, pipeline stages, branding, client and partner update emails). If several people go through the wizard, agree on who owns those steps.

Step-by-step instructions

Follow these steps to open the wizard and complete each section.

Open or resume the wizard

Open or resume the wizard from the Getting Started page.

  1. Select Getting Started in the sidebar. The page shows "Let's get your broker CRM ready", how many steps are done, and the next step.

  2. Select Continue step-by-step setup to resume where you left off.

  3. Or select any step in the list below the banner to jump straight to it. Each step shows Done, Skipped, Current, or To do.

You can also open the Getting Started page from Help & Support > Getting started.

The banner also shows a progress ring for each team member, so admins can see how far each person has got.

Move around inside the wizard

Move around inside the wizard with the section list, Back, Skip this step, and Save & close.

  • The section list on the left (titled Navigation) shows every part of setup. Select a step to go to it. On a phone, open the section list from the top of the screen.

  • Back returns to the screen you were on before.

  • Skip this step (or a more specific label such as Skip for now) moves on without saving. Steps with required fields can't be skipped.

  • Save & close saves your progress and closes the wizard. It also stops the wizard from opening automatically again — reopen it any time from Getting Started.

  • On the first screen, I'll do this later closes the wizard and stops it from opening automatically.

Complete the Brokerage steps

Complete the Brokerage steps for your company details, hours, and profile.

  1. Welcome — select Start setup.

  2. Appearance — pick Light, Dark, or Mixed (light during the day, dark from 6pm to 6am). This also becomes your account setting.

  3. Company name — enter your Company name. It appears on emails, PDFs, and your client portal. Required.

  4. Time zone — choose your brokerage Timezone. Due dates, reminders, the calendar, and booking all use it. Required.

  5. Company contacts — Business address and Website (recommended), Phone and Contact email (optional). These appear in client portal footers and some client emails.

  6. Hours — set opening and closing times for each day, or turn Open off for days you're closed. Shown on your client portal. You can skip this.

  7. Your name — confirm your Full name and pick the Title / role clients see on your portal card.

  8. Your photo — upload a Profile photo (a square JPG or PNG works best). You can skip this.

  9. Your contact — Work phone and Booking link, both optional. Shown only if you choose to display your contact info on your profile.

Connect integrations

Connect integrations for inbox, calendar, video, social, and SMS. Every integration step can be skipped and connected later from Settings > Integrations > Connections.

  1. Inbox — Connect Gmail or Connect Outlook so emails send from your own address and are logged on the client's file. Only one personal inbox can be connected at a time.

  2. Calendar — Connect Google Calendar or Connect Outlook Calendar for two-way sync. Only one personal calendar can be connected at a time.

  3. Video calls — Connect Zoom, Connect Microsoft Teams, or Connect Google Meet so Broki can add meeting links.

  4. Social — Connect Facebook Messenger or Connect Instagram DM. Broki leaves the wizard to sign you in, then brings you back to this step.

  5. SMS — Connect Twilio. Quo and RingCentral are shown as Coming soon and can't be selected. If you choose Twilio, the next three screens ask for your Account SID, Auth token, and Phone number (include the country code, for example +1). You see "Twilio connected" when it's saved.

  6. Connect POS — choose Connect Velocity, Connect Finmo, or Skip for now. Filogix, Scarlett, and BOSS are shown as Coming soon.

Connect Velocity

Connect Velocity when you choose Connect Velocity on the point-of-sale step.

Velocity must approve the web address Broki connects from before it issues an API key; the screen shows the address to give them under Give Velocity this domain. Paste your Velocity API key twice and select Connect Velocity. You see "Velocity connected — webhook ready". On the next screen, copy Your Broki webhook URL into Velocity's webhook settings and select I've added the webhook.

Connect Finmo

Connect Finmo when you choose Connect Finmo on the point-of-sale step.

Paste your Finmo API key twice and select Connect Finmo ("Finmo API key saved"). Enter your Finmo Team ID and select Continue. Copy Your Finmo REST hook URL into Finmo, optionally paste the REST hook public key (PEM), and select I've added the REST hook.

Before you continue: the API key, auth token, and SID steps save credentials that let Broki act on your account in those systems. Enter them yourself, and don't paste them into chat, email, or a support request.

Set pipeline stages

Set pipeline stages for mortgage files, renewals, and leads.

  1. Pipeline video — a short overview of how pipelines work.

  2. Active stages — review the default mortgage-file stages (New lead, Application, Documents in, Submitted to lender, Approved, Funded). Select Looks good to keep them, or I'll customize to edit them one at a time.

When customizing, each stage has a Stage name, Color, Internal description (your team only), Client-facing description (shown in the client portal status view), and the option "Hide this stage from the client portal". Use Next stage to move through them, or Add another custom stage.

  1. Renewals video — explains how funded files move onto a renewal timeline. Select Got it.

  2. Renewal stages — review the completed-file stages (Just funded, 12+ months out, 6–12 months out, Under 6 months, Unknown term). Customizing lets you set Min months until renewal and Max months until renewal for each.

  3. Leads video — explains lead stages. Select Got it.

  4. Lead stages — review the default lead stages (New, Warm, Application sent, Not ready).

Before you continue: stage changes apply to your whole organization's pipeline. See Pipeline stage configuration.

Set branding and the client portal

Set branding and the client portal for logos, colors, the welcome message, and portal tabs.

  1. Branding video — shows where your logo and colors appear.

  2. Logo — upload a Light-mode logo (a dark-colored logo shown on light backgrounds; recommended) and a Dark-mode logo (a light-colored logo shown on dark backgrounds; optional).

  3. Colors — pick a Primary color and Secondary color, or select Skip — use Broki defaults.

  4. Signature — enter a Signature name, paste Your signature, and leave "Set as my default signature" ticked if you want it used automatically. You can skip this.

  5. Portal intro — set the Portal title and Welcome message borrowers see when they open the client portal.

  6. Portal tabs — for each client portal tab (Documents, Status, Team, Scenarios, My qualification, Mortgage offers, Resource center) choose Always, When available, or Never. "When available" means the tab only appears once you've published something to it.

  7. Portal colors — set the colors clients see in the portal (tab gradients, section headings, review banner, team cards), or select Skip — use company colors.

  8. Reviews — add a Google / review link and a Review ask message so Broki can prompt clients for a review after funding. You can skip this.

  9. Client app — optionally show an app download banner in the client portal with a Banner title, iOS App Store link, and Google Play link. You can skip this.

Set client and partner update emails

Set client and partner update emails that can send when a file changes stage.

  1. Updates video — explains automatic stage-update emails to clients and realtors.

  2. Client style — pick a style for client update emails (Classic, Timeline, Formal, or Partner-style) and preview it.

  3. Stage videos — choose Admin-defined videos only, The file owner's videos, or No stage-update videos.

  4. Client stages — turn off any stage that shouldn't email the client. All are on by default.

  5. Client messages — edit the message for each stage you left on, one at a time. You can paste a Loom or YouTube link to include a video.

  6. Partner updates — leave "Send automatic partner update emails" ticked to email the realtor on the file. Set the Send delay (minutes) — the default of 1 minute gives you time to move a file back if you dropped it in the wrong stage. Tick "Draft partner emails on my dashboard instead of sending them automatically" if you want to review each one first.

  7. Partner style — pick a layout (Classic, Timeline, Formal, or Original).

  8. Partner stages — choose which stages email the realtor. Approved and Funded are on by default; Submitted to lender is off.

  9. Partner messages — for each stage you turned on, decide whether to "Require my approval before sending", and set an optional Subject line and the Message.

Before you continue: once these are on, moving a file between stages sends email to borrowers and realtors automatically. Review the messages before you start moving real files. See Stage updates and partner updates.

Invite a teammate from the wizard

Invite a teammate from the wizard when you want to add a billable seat.

  1. Choose Invite a team member or Skip for now.

  2. Enter the teammate's Email (required), and optionally Full name and Phone.

  3. Tick "I understand this adds a billable seat to my account".

  4. Select Send invite. A billing notice shows the new monthly total; confirm it to send.

  5. You see Invite sent. Select Add another invite or Continue.

Before you continue: the teammate receives an invite email immediately, and your subscription increases when they accept.

Import your files

Import your files from Velocity, Finmo, or a CSV from another CRM.

  1. Import video — select Continue.

  2. Choose source — pick Import from Velocity, Import from Finmo, or From another CRM (CSV). Filogix, Scarlett, and BOSS are shown as Coming soon. Or select Skip importing for now.

  3. Follow the screens for your source. The next sections describe Velocity, Finmo, and another CRM.

  4. On Review and import, fix any problem rows. You see "Fix problem rows before importing" if any remain.

  5. Select Import files.

Before you continue: importing creates mortgage files in your pipeline. Check the preview counts carefully — the review screen shows how many files will import and how many need a fix.

Import from Velocity

Import from Velocity by uploading one deals report and matching statuses to stages.

Export one deals report from Velocity, upload it, map the four fields (loan code, name, email, status), match each Velocity status to one of your pipeline stages, then review.

Import from Finmo

Import from Finmo by uploading the deal report, and the borrower report when names and emails are on a separate export.

Upload the reports, pick the matching columns if you uploaded two files, map loan code, name, email, and status, match statuses to stages, then review.

Import from another CRM

Import from another CRM by uploading up to two CSV files.

Export up to two CSV files, upload them, map the required fields (loan code, client name, email), then optionally map additional borrowers, mortgage details, rate and terms, tracking fields, and a file note. Choose the pipeline stage for each status, then review.

Sync files and finish setup

Sync files and finish setup after the import, based on the source you used.

What you see after importing depends on your source:

  • Finmo: select Continue to sync to pull the full details for the files you just imported. If Finmo isn't connected, the button becomes Finish setup instead. Import more files returns to the source choice.

  • Velocity or CSV: Velocity has to approve your API connection before syncing — the screen says this usually takes about an hour. Select Velocity has approved my API. Let's sync now. when they have, or I'll pull them later myself.

  • The Syncing your files… screen shows a live feed of loan codes. Wait for it to finish, then select All done — take me to the finish.

On the final screen, "You're all set up and ready to go":

  • Go to my pipeline opens your pipeline.

  • Watch more tutorials opens the video library.

  • Book an onboarding call opens Broki's demo booking page in a new tab.

Any of these marks the wizard as complete.

Practical examples and other ways to use it

These examples show ways to complete setup in more than one sitting.

  • Solo broker, one sitting. Alex Sample completes the Brokerage and Branding sections, skips integrations, keeps the default stages, and imports a Velocity CSV. They come back the next day to connect Gmail from Getting Started.

  • Admin setting up for a team. The admin at Sample Mortgage Group completes company details, stages, branding, and update emails, then invites three teammates from the wizard. Each teammate opens Getting Started later to fill in their own name, photo, and integrations, and the admin watches the progress rings.

  • Migrating from Finmo. Jordan Example connects Finmo, imports both Finmo reports, and uses Continue to sync so amounts and other details are pulled into each new mortgage file.

  • Suggestion: turn on "Draft partner emails on my dashboard instead of sending them automatically" for your first week, so you can see every realtor email before it goes out.

Common mistakes and how to avoid them

These mistakes happen while finishing setup or importing files.

  • Selecting I'll do this later and losing track of setup. The wizard won't reopen automatically after that. Open Getting Started from the sidebar to continue, and keep it visible in the sidebar until you're done.

  • Teammates redoing company-wide steps. Each person who changes company name, stages, branding, or update emails changes them for everyone. Agree that one admin owns those sections; teammates should focus on their profile and integrations.

  • Leaving automatic client emails on before reviewing messages. Moving a test file can email a real borrower. Review Client messages and Partner messages first, or use a test contact with your own email.

  • Mapping every status to the fallback stage. Imported files all land in one column. On the stage-matching screen, pick the matching Broki stage for each status (for example, Submitted → Submitted to lender).

  • Trying to sync Velocity right after import. Velocity hasn't approved the connection yet, so nothing is pulled. Wait for their approval, then sync.

Troubleshooting

Use this section when the wizard won't open, a connection fails, or import rows need a fix.

The wizard doesn't open after I sign in

Use this section when the wizard doesn't open after you sign in.

Possible causes

  • You already finished or dismissed it (with Save & close or I'll do this later).

  • It already opened once in this browser session.

  • Your organization doesn't have an active subscription.

Check first

  • Open Getting Started from the sidebar and look at the step list.

To fix

  1. Select Continue step-by-step setup on the Getting Started page.

  2. If Getting Started isn't in the sidebar, turn it back on — see Navigation, sidebar, and customizing.

Confirm it worked

  • The wizard opens on your next step.

Contact support if

  • The Getting Started page won't open the wizard at all.

"Could not save" or "Could not connect"

This message appears when a step could not save or could not connect.

Possible causes

  • A network interruption.

  • The sign-in to the other service was cancelled or didn't finish.

Check first

  • Make sure your connection is stable.

To fix

  1. Select the button again.

  2. For integrations, try connecting from Settings > Integrations > Connections instead.

Confirm it worked

  • The step shows Connected or moves on to the next screen.

Contact support if

  • The same step fails repeatedly. Include the step name, the exact message, and the approximate time.

"Webhook URL isn't ready yet — go back and connect your API key first"

This message appears when the Velocity webhook URL isn't ready yet.

Possible causes

  • The Velocity API key step wasn't completed successfully.

Check first

  • Select Back and check whether you saw "Velocity connected — webhook ready".

To fix

  1. Go back to the Velocity API step.

  2. Paste the key in both fields and select Connect Velocity.

Confirm it worked

  • Your Broki webhook URL shows a value you can copy.

Contact support if

  • Velocity has issued your key and connecting still fails.

"REST hook URL isn't ready yet — finish connecting Finmo first"

This message appears when the Finmo REST hook URL isn't ready yet.

Possible causes

  • The Finmo API key or Team ID step wasn't completed.

Check first

  • Go back and confirm you saw "Finmo API key saved".

To fix

  1. Complete the Finmo API and Finmo Team ID steps.

  2. Return to the REST hook step.

Confirm it worked

  • Your Finmo REST hook URL shows a value you can copy.

Contact support if

  • Both earlier steps succeeded and the URL still isn't shown.

"Connect Finmo first — then we can pull the rest of the details"

This message appears when Finmo needs to be connected before details can be pulled.

Possible causes

  • You imported from Finmo without connecting your Finmo account.

Check first

  • Look at the Connect POS step status.

To fix

  1. Open the Connect POS step from the section list and connect Finmo.

  2. Return to the import-complete screen and select Continue to sync.

Confirm it worked

  • The Syncing your files… screen starts listing loan codes.

Contact support if

  • Finmo is connected and you still see this message.

"Fix problem rows before importing"

This message appears when problem rows must be fixed before importing.

Possible causes

  • Some rows are missing a required field, such as loan code, name, or email.

Check first

  • Problem rows are listed first on the review screen.

To fix

  1. Go Back to the mapping step and check the required fields are mapped to the right columns.

  2. Or correct the rows in your CSV and upload it again.

Confirm it worked

  • Import files becomes available.

Contact support if

  • Rows that look correct are still flagged. Include the source system and a screenshot with personal data hidden.

"This stage already exists by default"

This message appears when a custom stage name already exists by default.

Possible causes

  • You gave a custom stage the same name as an existing stage.

Check first

  • Compare the name with the stage list.

To fix

  1. Rename the stage to something unique.

Confirm it worked

  • Next stage saves without the message.

Contact support if

  • The name is unique and the message persists.

Tips and best practices

These tips keep dates, logos, partner emails, and Velocity sync on track.

  • Set the time zone first if you skip everything else. Due dates, reminders, the calendar, and booking all depend on it.

  • Upload both logo versions. The dark-mode logo keeps your brand readable on dark backgrounds instead of disappearing.

  • Use a 1-minute partner send delay or longer. It gives you a window to undo an accidental stage move before the realtor is emailed.

  • Ask Velocity for API approval early. The import can be done right away, but syncing waits on their approval.

Limitations and important behavior

These limits apply to wizard progress, connections, and imports.

  • Progress saves per person. Company settings you change in the wizard apply to the whole organization.

  • The wizard opens automatically at most once per browser session, and never after you finish or dismiss it.

  • Only Velocity and Finmo can be connected as a point of sale from the wizard. Filogix, Scarlett, and BOSS are coming soon.

  • Only Twilio can be connected for SMS from the wizard. Quo and RingCentral are coming soon.

  • One personal inbox and one personal calendar can be connected at a time.

  • Importing from another CRM accepts up to two CSV files.

  • Velocity syncing after import only works once Velocity has approved your API connection.

Frequently asked questions

These questions are about changing wizard answers, skipping steps, and API keys.

Can I go back and change something I set in the wizard? Yes. Reopen the step from Getting Started, or change the same setting in Settings.

Does skipping a step delete anything? No. Skipping moves on without saving changes on that screen.

Do my teammates have to complete the wizard too? Each person has their own progress. Teammates mainly need the profile and integration steps; company-wide steps are usually done once by an admin.

Where do I find the videos later? Select Watch more tutorials on the final screen, or the video library button in the header.

Should I send my API key to support so they can connect it for me? No. Paste API keys, tokens, and SIDs into Broki yourself. Support will never ask for them.
