Overview
The partner portal is a web page where realtors and other referral partners follow the mortgage files they're connected to, see their referrals, and upload purchase documents, without a Broki login. The mortgage team shares one link per partner, and the same link shows every current and future file.
Also called: realtor portal.
The portal has three tabs: My files, My referrals, and, for realtors, Feature sheet. Partners can switch the portal between English and French.

On a file, Realtor documents accepts uploads. Those uploads also appear on the file's Documents tab in Broki.
Refer a client opens the partner's form or copies the referral link.
Deleting the partner is what stops the link. The link doesn't expire.
Before you begin
Before a partner uses the portal, they need a link and at least one connected file.
For partners
You need the portal link from your mortgage team. It usually arrives in an email titled "Track Your {Company} Files".
You don't need an account or password.
For brokers
The partner needs a Partner category. Assign them on each mortgage file as the Realtor, or link them as a partner on the file, so the file appears in their portal.
Share the link from the partner's Shared clients tab with Copy Portal or Send Portal. See Partners page and portal.
Step-by-step instructions
These tasks cover opening the portal, checking a file, uploading documents, and referring a client.
Open the partner portal
Open the partner portal from the link your mortgage team sent. The same link covers future files.
Open the link from your mortgage team. The portal loads your files.
Bookmark the page. The link stays the same for all future files.
Check a file's progress
Check a file's progress from My files to see status, people, dates, and the property.
On My files, review the summary: Active files, Total files, Funded this year, and Volume this year. If you've earned commission, Commission earned also shows.
Under Files, filter by All, Active, or Funded.
Select a file to open it. You'll see Application status (percent complete, the current stage, and the list of stages), the clients and their contact details, Your mortgage team (team lead, mortgage advisor, and lawyer), your referral fee if one is set, Key dates (subject removal, closing date, days since application, and days in the current stage), and Property details (subject property and purchase price).
Select All files to go back.
Upload purchase documents
Upload purchase documents in Realtor documents on an open file. The mortgage team sees them on the file's Documents tab.
Open a file from My files and scroll to Realtor documents.
Upload a file for each item. Accepted Offer, Property Disclosure Statement, and MLS Feature Sheet are required. Form B and Other Document are optional.
Accepted file types are PDF, Word, JPG, and PNG. You can add more than one file per item.
Each upload shows a status: Pending, Approved, or Rejected. Select Remove to take an upload back.
Uploads are visible to you and the mortgage team only, and appear on the file's Documents tab in Broki.
Refer a client
Refer a client from Refer a client by filling in the form or copying your link.
Select Refer a client.
Choose Fill Out Form to enter the client's details yourself, or Copy Link to send your referral link to the client ("Referral link copied! Share it with your clients.").
You can also use the form on the My referrals tab.
Track your referrals
Track your referrals on My referrals to see counts and each client you sent.
Select My referrals.
Review Total referrals, Pre-deal, Active deals, and Completed.
In All referrals, each row shows the client's name, contact details, status, and the date referred. Select a row that has a mortgage file to open it.
Create a feature sheet
Create a feature sheet on the Feature sheet tab. This tab appears for realtors.
Select Feature sheet.
Follow the steps to build a co-branded PDF for a listing. Your mortgage advisor's details are filled in when the team has assigned one; otherwise, enter your advisor's details.
Practical examples and other ways to use it
These examples show a realtor checking dates, sending a referral link, and a broker previewing the portal.
Before subject removal. Jordan Example, a realtor, opens the portal to check the subject removal date on Alex Sample's purchase at 123 Example Street and uploads the accepted offer so the team has it.
Sending a buyer over. Jordan meets a buyer who needs pre-approval, selects Refer a client, and uses Copy Link to text the form to the buyer.
Broker preview. Before sending the link, the broker selects Open Portal to see exactly what Jordan will see.
Common mistakes and how to avoid them
These mistakes come up when a partner has no files, shares the link, or uploads to the wrong item.
Partner sees no files. The partner isn't assigned on any file yet. Brokers: assign them as Realtor on the file or link them as a partner.
Forwarding the link. Anyone with the link can view the partner's files. Partners should keep it private; brokers should send it only to the partner's own email.
Uploading to the wrong item. Check the document label before uploading. Use Remove and upload again under the right item.
Troubleshooting
Use this section when the portal link fails, files are missing, or Feature sheet isn't there.
"Access denied" — "This portal link is invalid or has expired."
You see "Access denied" and "This portal link is invalid or has expired." when the link doesn't open.
Possible causes
The link was cut off when it was copied or forwarded.
The partner record was removed.
Check first
Partners: open the link straight from the original email.
To fix
Select Try Again.
Ask your mortgage team to send the link again.
Contact support if
Brokers: a fresh link from Copy Portal also shows this. Include the partner's name.
"No files found"
You see "No files found" when My files has nothing to show.
Possible causes
No files are connected to the partner, or the filter excludes them.
To fix
Select All under Files.
Brokers: assign the partner on the mortgage file.
"Referral form is not set up yet. Ask your team admin to enable your referral link."
You see "Referral form is not set up yet. Ask your team admin to enable your referral link." when Refer a client has no form.
Possible causes
The partner's referral form hasn't been created.
To fix
Brokers: open the partner's Info tab and check the Referral card. Contact support if it says the form isn't ready.
The Feature sheet tab is missing
The Feature sheet tab is missing when the partner isn't set up as a realtor.
Possible causes
The partner isn't set up as a realtor.
To fix
Brokers: set the partner's category to your realtor category.
Tips and best practices
These tips help partners use one link and help brokers control what the portal shows.
Partners: bookmark the portal and check Key dates before subject removal and closing.
Brokers: use Send Portal for the first share, so the partner gets instructions along with the link.
Brokers: hide internal-only stages from clients in pipeline settings; those stages are also hidden in the portal's stage list.
Limitations and important behavior
These limits apply to portal access, what partners can change, and who sees Feature sheet.
The portal doesn't use a login and the link doesn't expire. Only deleting the partner stops the link.
Partners can't change file details, stages, or client information; the portal is view-only except for document uploads and referrals.
Stages hidden from clients don't appear in the portal's stage list.
Feature sheet appears only for realtors.
