How to add, fill, and send compliance documents on a mortgage file, and see what the client already signed.

Overview

The Compliance tab on a mortgage file is where you prepare, fill and track the file's compliance documents, check the consent documents the client signed with the Broki application, send compliance documents for e-signature as one package, and tick off your brokerage's compliance checklist. Its progress ring shows how many documents are ready.

Brokers and processors use it before submission and before closing to keep a file audit-ready. Nothing is added automatically except the documents signed with the Broki application. You pick exactly what each file needs.

This is how documents get onto the tab, out for signature, and onto the checklist.

  • Add documents with Prepare compliance documents, then Fill & generate or issue them.

  • Send for signing (N) opens the E-Sign tab with the ticked generated PDFs as one package.

  • Application documents shows what was signed with the Broki application. The compliance checklist is a separate list on the same tab.

Before you begin

These are the file details and the access you need before you prepare documents.

  • Open a mortgage file you have access to and select the Compliance tab.

  • The province comes from the subject property. If it is missing or wrong for compliance purposes, use Province override.

  • For figures pulled into documents (for example the mortgage amount), make sure the file's details are filled in first.

  • Collaborators can view the tab, but Package documents and Prepare compliance documents are hidden for them.

  • Checklist items come from Settings > Compliance Documents. See Compliance documents settings.

Step-by-step instructions

The steps below cover reading the tab, adding and generating documents, sending them for signing, and the checklist.

Read statuses and filters

The Compliance documents card is the list of documents on the file, with a progress ring and filters for All, To do and Ready.

The Compliance documents card shows "Everything required to keep this file audit-ready before closing." with chips for Province, Lender type and Transaction, and a progress ring ("{ready} of {total} ready").

  • Use All, To do and Ready to filter the list.

  • Documents are grouped under "Required for all applications" and "{Province} only" (marked Provincial).

  • Each card shows a status: Not started, In progress, Reviewed, Ready, Official PDF issued, Sent for signature, Partially signed, Signed, Refused or Superseded.

  • Each card also shows where it came from: From set, From application or Added manually, with "· Official PDF" for official regulator forms.

Add documents to the file

Prepare compliance documents is how you pick the templates for this file. They land on the tab as Not started.

  1. Select Prepare compliance documents.

  2. In the Prepare compliance documents window, check the Province. The province detected from the subject property is marked "· property".

  3. On BC files, use the BC MSA packet (official BCFSA PDFs) section to pick the Mortgage Services Act forms. See BC compliance, MSA, and consent docs.

  4. Under Compliance documents (or Other compliance documents on BC files), tick the templates you need. They are grouped by province and Canada-wide. If saved sets exist, use Tick from a saved set… to tick a group at once.

  5. Select Prepare N documents.

The documents appear on the tab as Not started. In the window, documents already on the file are marked as complete or in progress. A completed one can be ticked again to add another copy, for example one per borrower (in the BC packet list this checkbox is labelled Add another). One still in progress is skipped until you finish it.

Fill and generate a document

Fill & generate is where you check the values pulled from the file, preview the document, and generate or issue the PDF.

  1. On a document card, select Fill & generate (or Continue editing for one in progress).

  2. On 1. Complete fields, review the values pulled from the file and fill in the rest.

  3. Select Preview to check the result on 2. Preview.

  4. Select Save draft to come back later, or select the main button for that document. Generate PDF is for standard templates, and you see "PDF generated — available in this file's e-sign tab". Issue official PDF is for official regulator forms, and you see "Official form issued — fields locked, signature boxes left for e-sign". Download official PDF is for official forms with no fillable fields, and you see "Official form downloaded — it has no fillable fields". Issue for signature or Sign & store is for a Client Consent Form or PEP Declaration (see below).

Remove a document you don't need

Remove deletes a Not started document from the file. You can add it back from Prepare compliance documents.

Before you continue: this removes the document from the file. You can add it back from Prepare compliance documents.

  1. Open the card's menu and select Remove. Only Not started documents can be removed.

  2. Confirm "Remove "…" from this file? You can add it back anytime."

Send documents for signing as one package

Send for signing (N) loads the ticked generated documents on the E-Sign tab as one signing package.

  1. Tick the generated documents you want signed. Only documents with a generated PDF can be ticked. Unticked ones show "Generate the PDF first".

  2. The bar reads "{n} of {N} generated documents selected — they go out as one signing package." Use Select all or Clear as needed.

  3. Select Send for signing (N).

The E-Sign tab opens with those documents loaded as one package. You see "N compliance documents loaded as one package. N signature/date fields will be pre-placed — review recipients and send." Recipients are added for the parties the documents need (Borrower 1, Borrower 2, Guarantor, Investor, Broker) from the file's contacts, if the package has no recipients yet. Review them, adjust fields, and send from the E-Sign tab. See E-sign tab.

Check the documents signed with the application

The Application documents card lists each borrower's Form 1A, Client Consent and PEP Declaration with Signed, Awaiting signature or Refused.

The Application documents card ("Signed by the client and the broker when the online application is submitted — Form 1A, Client Consent, PEP Declaration") lists each borrower's documents with Signed, Awaiting signature or Refused. From here you can View a document, Copy signing link, Send signing link, record a refusal with Refused, or issue documents for a borrower who has none. Issue a Client Consent Form or PEP Declaration manually

Issue for signature on a Client Consent Form or PEP Declaration creates a 30-day signing link that you send yourself.

  1. Select Prepare compliance documents and add the Client Consent Form or PEP Declaration.

  2. Select Fill & generate on it and pick the borrower the copy is for.

  3. For consent, the client must have agreed to the credit check. For PEP, answer the Yes / No question.

  4. Select Issue for signature. You see "Issued — send the client the signing link". A Signing link bar appears with Copy. "You send it — nothing goes out automatically. Expires in 30 days."

Bundle documents to download

Package documents downloads the files you pick as a ZIP or merges them into one PDF.

  1. Select Package documents.

  2. In Prepare Compliance Documents, upload new files or pick existing ones, put them in order, then export them as a ZIP or merge them into a single PDF.

Complete the compliance checklist

The Compliance checklist is the sign-off list you tick on the file. Items come from Settings > Compliance Documents.

  1. Scroll to Compliance checklist ("Required sign-offs before this file can be marked compliant.").

  2. Click an item to mark it done. Click again to undo. The pill shows "{done} / {total} done".

If no items exist, you see "No checklist items configured for this org." with Set up checklist in settings →.

Practical examples and other ways to use it

These examples show an Ontario purchase, two consent copies, a province override, and a pre-closing review.

  • Ontario purchase. Select Prepare compliance documents, keep ON, tick the Canada-wide templates your brokerage uses, then Fill & generate each. Tick them all and select Send for signing (3) so the borrowers sign once in one package.

  • Two borrowers, one consent each. Add the Client Consent Form and issue it for the first borrower. Then open Prepare compliance documents again, tick it a second time, and issue the new copy for the second borrower.

  • Property outside the detected province. Use Province override so the provincial templates match where the deal is regulated.

  • Pre-closing review. Filter by To do to see what's left, then work the checklist with your compliance lead.

Common mistakes and how to avoid them

These mistakes cover sending before a PDF exists, a missing mortgage amount, documents that are not added for you, and removing a started document.

  • Mistake: trying to send a document that isn't generated. Its checkbox is disabled. Fix: select Fill & generate and generate or issue it first.

  • Mistake: generating before the file has the mortgage amount. You see "Mortgage amount is missing on this file — add it in Mortgage Summary first". Fix: add the amount on the file, then generate.

  • Mistake: expecting documents to appear automatically. Only application documents are added for you. Prevent: run Prepare compliance documents on every new file.

  • Mistake: removing a started document. Only Not started documents can be removed. Prevent: remove unneeded documents before filling them.

Troubleshooting

Each heading below is a message from the Compliance tab, with the fix under it.

"Nothing prepared yet. Use "Prepare compliance documents" to pick exactly what this file needs for {Province}."

This message means no compliance documents have been added to this file yet.

Possible causes

  • No documents have been added to this file.

To fix

  1. Select Prepare compliance documents and tick what the file needs.

"No templates match this province and file. Add templates under Settings → Compliance documents."

This message means no templates are available for the province and transaction selected in the window.

Possible causes

  • No templates are available for the selected province and transaction.

Check first

  • The Province selected in the window and the Province override on the tab.

To fix

  1. Pick the correct province.

Contact support if

  • The province is right and still no templates appear. Include the loan code, the province, and a screenshot.

"Only not-started documents can be removed"

This message means the document is past Not started, so Remove is not available.

To fix

  1. Leave the document on the file. If it isn't needed, don't send it for signing.

"Pick the borrower this copy is for", "The client must consent to the credit check for this document to be issued" or "Answer the PEP question (Yes / No) first"

These messages mean the consent or PEP copy is missing the borrower, the credit consent, or the PEP answer.

To fix

  1. Choose the borrower, record the credit consent, or answer the PEP question, then issue again.

"Failed to load compliance checklist" or "Failed to update compliance status"

These messages mean the checklist could not be loaded or the tick could not be saved.

To fix

  1. Reload the file and try the item again.

Contact support if

  • It keeps failing. Include the loan code, the checklist item, and the time.

"Cannot resend a … copy"

This message means a new signing link was requested for a document that is already signed, refused or replaced.

Possible causes

  • A new signing link was requested for a document that is already signed, refused or replaced.

To fix

  1. Check the document's status. Only documents waiting for signature can get a new link.

Tips and best practices

These tips keep the progress ring useful and send documents as one package.

  • Prepare documents right after the file is created so the progress ring reflects real work from day one.

  • Fill in the file details first. Documents pull values from the file, so fewer fields are left to type.

  • Send compliance documents together with Send for signing (N). Borrowers sign once in one package instead of several.

Limitations and important behavior

These limits cover what is added for you, which PDFs can be sent, and who can prepare documents.

  • Documents are not added automatically, apart from the ones signed with the Broki application.

  • Only documents with a generated or issued PDF can be sent for signing.

  • Signature and date fields are pre-placed only where the document has known positions. Anything else is placed by hand on the E-Sign tab.

  • Recipients are created automatically only when the e-sign package has none yet.

  • Signing links created here expire after 30 days and are not sent automatically.

  • Collaborators can't prepare or package documents.

Frequently asked questions

Where do I track the package after I select Send for signing? Signing happens on the E-Sign tab. Track the package there.

Can I add the same template twice? Yes, once the first copy is complete. In Prepare compliance documents, tick it again to add another copy.

What does Province override change? It switches which provincial templates and groups apply to this file.
