Build a report from your files, commissions, or contacts, then download it as a CSV.

Overview

Reporting lets you build row-by-row exports from your mortgage files, book of business, commissions, contacts, partners and tasks, then download them as CSV. You choose a report type, a date field and a date range, add filters and columns, run the report, and optionally save it to run again later.

Also called: report builder.

Brokers use it for weekly production, renewal lists and commission pay-period exports. Admins use the advisor scope to report on one team member or the whole team. For date-driven follow-up lists, see Analytics.

At a glance

Reporting builds a CSV from one of six report types. It does not email reports on a schedule.

  • Types are Pipeline, Portfolio, Production, Contacts, Partners and Operations. Start from a template or a blank report.

  • Every report needs a type, a date field and a range. You need the View Reporting permission, which is on by default.

  • Download CSV includes every row, up to 5,000. Stats is marked "Soon" and isn't available.

  • Saved reports and recent runs are private to you. Downloading a recent run runs the report again.

Before you begin

Before you run a report, you need a subscription, the View Reporting permission, a type with a date field and range, and room under the 5,000-row cap.

  • You need an active subscription.

  • You need the View Reporting permission. It's on by default for every role. See Roles and permissions.

  • Every report needs a type, a date field and a range. Columns are optional detail.

  • Exports are capped at 5,000 rows.

Step-by-step instructions

These steps cover starting from a template, setting the report in Builder, and reviewing, saving, or downloading the results.

Start from a template

Start from a template on the Library, or open a blank report, to land in Builder with settings filled in.

  1. In the left sidebar, select Reporting.

  2. On Library, review the summary cards for the selected report type.

  3. Under Start a report — pick a template, select a template and then Open →. Or choose Blank report.

Some cards show "—" until you run the related report.

The cards for each type are:

  • Pipeline: Open files, Volume in filter, Overdue tasks, Docs pending review.

  • Portfolio: Book size, Maturing ≤90d, Total current balance, Avg rate.

  • Production: Commission entries, Gross commission, Outstanding, Received.

  • Contacts: Active contacts, Leads, Clients, New this month.

  • Partners: Active partners, Core partners, At risk, Unassigned.

  • Operations: Open tasks, Overdue, Due today, Open conditions.

The available templates are:

  • Pipeline & deals: Weekly production, Lender mix, Pipeline snapshot.

  • Portfolio & renewals: Renewal pipeline, Book export.

  • Production & commission: Commission pay period.

  • Contacts & leads: Lead pipeline, New contacts, Client book.

  • Partners: Partner roster, Partners at risk.

  • Operations: Overdue backlog, Open tasks, Open conditions.

The template opens in Builder with its settings filled in.

Build or adjust a report

Build or adjust a report by choosing the type, dates, population, scope, filters, and columns, then running it.

The diagram repeats those builder choices through to the CSV download.

  1. In Builder, under Report definition, choose the Report type: Pipeline, Portfolio, Production, Contacts, Partners or Operations.

  2. Pick the Date field ("This date field decides which rows qualify.").

The date field options depend on the report type.

  • Pipeline: Created date, Closing date, Stage changed, Completed in pipeline.

  • Portfolio: Maturity date, Closing date, Created date.

  • Production: Commission created, Closing date, Paid date.

  • Contacts: Created date, Archived date.

  • Partners: Created date.

  • Operations: Due date, Created date.

  1. Under Which files count, pick the population.

The population options depend on the report type.

  • Pipeline: Active, Completed or Archived.

  • Portfolio: Active book or Completed.

  • Contacts: Active (not archived), Leads pipeline, Clients / VIP, Archived or All contacts.

  • Partners: Active partners or All partners.

  • Operations: Open, Overdue, Completed or All work items.

  1. Pick a Time range: This week, This month, This quarter, Last 90 days, Next 90 days, As of today or Custom…. For a custom range, enter From and To.

  2. Under Scope — advisors, keep All or select one team member. If you have more than eight team members, use More… to find others.

  3. Optionally enter a Report name, for example "Q4 renewals – team".

  4. Open Refine to add filters. The filters available depend on the report type.

Pipeline and Portfolio filters

  • Lender

  • Deal type (A, B, C)

  • Creation source: Manual, CSV import, Finmo sync, Velocity sync, Velocity update, Client journey, Contact property, Mortgage tracking or API.

  • File stage

  • Mortgage amount (Min $ / Max $)

Contacts filters

  • CRM status: Lead, Potential client, Client or VIP.

  • Contact type

  • Lead source

  • Lead stage

  • Has email

  • Has phone

  • Linked to a file

Partners filters

  • Partner type and Partner stage.

Operations filters

  • Work type: Tasks or Conditions.

  • Condition status: Needs attention, Requested, Received from client, Sent to lender or Approved.

  • Overdue only

  1. Under Output, keep Export (rows) and choose columns. Use Search fields to find them, including your custom fields.

  2. Check Estimated rows and the sample preview at the bottom.

  3. Select Run report.

To confirm it worked, you'll see "Report ready · N rows" and Results opens. If nothing matches, you'll see "No rows matched".

Review, save, and download results

Review, save, and download results after the report runs.

  1. On Results, check the summary cards. They vary by type, for example Total volume and Avg rate for file reports, or Gross commission, Received and Outstanding for production reports.

  2. Select a column header to sort.

  3. Select Download CSV. The CSV always contains every row, even when the screen shows only part of the list.

  4. Select Save to keep the definition. It appears under Saved in the left rail.

  5. Use Duplicate to start a variation ("Duplicated — save to keep a copy"), or Edit to go back to Builder.

Under Recent runs on Library, you can run a recent report again or download it. Downloading runs it again with current data.

Before you continue: deleting a saved report asks "Delete this saved report?" and can't be undone.

Practical examples and other ways to use it

These examples cover a weekly production export, a renewal list, a commission month, and a single-lender audit.

  • Weekly production meeting: open the Weekly production template, keep This week, run it and download the CSV.

  • Renewal pipeline: use Renewal pipeline with Next 90 days on Maturity date, filtered to one advisor, and save it as "Renewals – Alex Sample".

  • Commission pay period: use Commission pay period with Paid date and This month. The results summary shows gross, received and outstanding totals.

  • Lender audit: use Lender mix with a custom date range and the Lender filter set to one lender.

Common mistakes and how to avoid them

These mistakes come from the wrong date field, no columns selected, or exporting more contact details than you need.

  • Choosing the wrong date field. The report includes rows whose chosen date falls in the range. For example, Created date rather than Closing date pulls a different set of files. Read the line under the range ("Rows include records whose … falls between …") before you run the report.

  • Running a report with no columns. Run report stays disabled. Add at least one column under Output.

  • Exporting more than you need. Contact reports can include email and phone. The builder reminds you: "Email and phone are included. Only export what you need under CASL." Select only the columns you need.

Troubleshooting

Use this section when a report has no rows, hits the export cap, access is denied, or the save stays on this device.

"No rows matched. Widen the date range or clear filters."

This message means the current type, date field, range, population, or filters excluded every row.

Possible causes

  • The range is too narrow, the wrong date field is selected, or a Refine filter excludes everything.

Check first

  • The Definition summary panel: type, date field, range, population and scope.

To fix

  1. Select Edit definition.

  2. Widen the Time range or switch the Date field.

  3. Clear Refine filters and run the report again.

Confirm it worked

  • "Report ready · N rows" appears.

"Export capped at 5,000 rows for V1"

This message means the report matched more rows than the export allows.

Possible causes

  • The report matched more than 5,000 rows.

To fix

  1. Narrow the range or add a filter.

  2. Run it in smaller date windows and combine the CSVs.

"You don't have access to Reporting"

This message means your role cannot open Reporting.

Possible causes

  • The View Reporting permission is turned off for your role.

To fix

  1. Ask an admin to turn on View Reporting for your role.

"Report saved on this device"

This message means the report was saved in this browser only, not to your account.

Possible causes

  • The report couldn't be saved to your account, so it was saved in this browser only.

Contact support if

  • You keep seeing this message. Include the report name and the approximate time. Reports saved on this device don't appear on other computers.

Tips and best practices

These tips keep a repeating report on a moving date range and start you from a template instead of a blank definition.

  • Save reports you run every week or month. Saved definitions keep their filters, and a relative range such as This month moves forward automatically.

  • Start from a template, even for custom needs. Templates set a sensible date field and columns, and you can adjust them in Builder.

Limitations and important behavior

These limits cover CSV-only output, the row cap, private saved reports, and what a recent-run download does.

  • Output is CSV only. Stats under Output is marked "Soon" and isn't available yet.

  • Exports are capped at 5,000 rows.

  • Saved reports and recent runs are private to you. Teammates don't see them.

  • Downloading from Recent runs runs the report again, so results reflect current data rather than the original run.

  • The results table loads rows gradually, but Download CSV always includes every row.

Can I schedule a report to email automatically? No. Run saved reports manually.

Can I share a saved report with my team? No. Saved reports are per user. Share the downloaded CSV instead.

Do reports include custom fields? Yes. Custom fields can be added as columns under Output.
