Overview
Analytics lists upcoming and recent dates across your book: mortgage maturities, mortgage anniversaries, subject removals, closings, post-funding follow-ups and client birthdays. Each list can be filtered by time window and team member, exported to CSV, and in some cases turned into tasks in bulk.
Brokers use it to plan renewal outreach, stay ahead of subject-removal and closing deadlines, and send milestone touches. Admins use the team filter to review each broker's upcoming dates. For production totals and custom exports, use Reporting.
At a glance
Analytics is a set of date lists, not charts or production totals.
Lists are Mortgage maturities, Mortgage anniversaries, Subject removals, Closing soon, Post funding, Birthdays, and Move-in anniversaries.
Records appear only when the file or contact has the date that list uses.
Every list can be exported to CSV. Bulk tasks are only on maturities, birthdays, and mortgage anniversaries.
Move-in anniversaries currently shows the same records as Mortgage anniversaries.
The diagram is that same path: pick a list, set the window, then export or create tasks where that is available.
Before you begin
Before you use Analytics, you need a subscription and the dates filled in on the files and contacts you expect to see.
You need an active subscription.
Every list is driven by dates on your mortgage files and contacts: maturity date, closing date, subject removal date, term, and date of birth. Records without the relevant date don't appear.
Step-by-step instructions
These steps cover opening a list, exporting it, and creating tasks from maturities, birthdays, or mortgage anniversaries.
Open a list
Open a list in Analytics to see one set of dates, then narrow it by time, search, or team member.
In the left sidebar, select Analytics.
In the left rail, pick a section. Badges show how many items each list has, and red or amber badges flag urgent ones.
Use the time dropdown in the toolbar to change the window.
Use Search name, contact, property… to narrow the list, and the team avatars to show one team member's records.
Renewals & dates
Mortgage maturities: Next 30, 60, 90 or 120 days.
Mortgage anniversaries: This Month, Next Month, any month January–December, or All Year. The anniversary is the closing date plus the term in years.
Subject removals: Next 7, 14, 21, 30 or 60 days.
Closing soon: Next 7, 14, 21, 30, 60 or 90 days.
Post funding: Past 7, 14, 21, 30, 60 or 90 days, counted from the closing date.
Client milestones
Birthdays: by month, using the same options as anniversaries.
Move-in anniversaries.
To see the latest data, select Refresh. You'll see "Analytics refreshed", and the "Updated {time}" label changes.
Export a list to CSV
Export a list to CSV after you set the filters you want in the file.
Open the list and set the filters.
Select Export CSV.
The CSV columns depend on the list.
Mortgage maturities: Contact Name, Loan Code, Maturity Date, Months Remaining, Mortgage Amount, Interest Rate, Property Address, Advisor, Lender.
Birthdays: Contact Name, Birthday, Age, Days Until Birthday, Email, Phone, Address, Associated Files.
Mortgage anniversaries: Contact Name, Loan Code, Anniversary Date, Term (Years), Interest Rate, Mortgage Amount, Advisor.
Subject removals: Contact Name, Loan Code, Subject Removal Date, Days Until Removal, Property Address, Stage, Mortgage Amount, Advisor, Estimated.
Closing soon and Post funding: Contact Name, Loan Code, Closing Date, Days Until (or Since) Closing, Property Address, Stage, Mortgage Amount, Advisor, Lender.
Create tasks from a list
Create tasks from a list on Mortgage maturities, Birthdays and Mortgage anniversaries.
The diagram shows the same creation path, including that each assignee gets a copy of each selected item.
Check the rows you want, then select Create from N selected.
In Create from Analytics, choose what to create: Checklist (on the file or standalone) or Todo list (standalone tasks).
Enter a Title.
Choose who to assign it to under Assign to.
Pick a due date: 30, 14 or 7 days before the event, on the event date, 7 days after the event, or a custom date.
Check Preview (first 5). The total is the number of items multiplied by the number of assignees.
Before you continue: each assignee gets their own copy of each task.
Select Create checklist or Create todos.
To confirm it worked, open the Task Hub (global) and look for the new tasks.
Practical examples and other ways to use it
These examples cover renewal outreach, a weekly subject-removal check, birthday touches, and post-funding calls.
Renewal outreach: open Mortgage maturities, set Next 120 days, select every file, and create a todo list due 30 days before each maturity, assigned to the broker who will make the calls.
Subject-removal check: each Monday, open Subject removals for the next 7 days and confirm conditions are on track.
Birthday touches: at the start of each month, open Birthdays for This Month and export the CSV for cards or calls.
Post-funding follow-up: open Post funding for the past 30 days to call clients after closing.
Common mistakes and how to avoid them
These mistakes come from missing dates, too many assignees, or looking for charts on this page.
Missing dates on files. Files without a maturity or closing date never appear in the lists. Fill in those dates in File details tab.
Assigning several people to the same tasks. With three assignees and ten items, you get 30 tasks. Check the Preview (first 5) count before you create them.
Looking for charts or production KPIs. Analytics is date lists only. Use Reporting for volume and commission totals.
Troubleshooting
Use this section when a file is missing from maturities, or task creation asks for an assignee or a custom date.
A file I expect isn't in Mortgage maturities
A file is missing from Mortgage maturities when it has no maturity date, the date is outside the window, or a team filter is hiding it.
Possible causes
The file has no maturity date, or the date is outside the selected window.
A team-member filter is hiding it.
Check first
The time dropdown and the selected team avatars.
To fix
Widen the window, for example to Next 120 days.
Clear the team filter.
Add the maturity date on the file.
Confirm it worked
Select Refresh. The file appears.
"Please select at least one assignee"
This message means the task form has no one under Assign to.
Possible causes
Assign to is empty.
To fix
Choose at least one team member, then create the tasks again.
"Please select a custom date"
This message means you chose a custom due date but did not pick the date.
Possible causes
You chose a custom due date but didn't pick a date.
To fix
Pick the date or choose one of the preset options.
Contact support if
Counts in the left rail don't match the list after Refresh. Include the section name, the time window and a screenshot.
Tips and best practices
These tips give each task its own date and give you a file you can sort before a meeting.
Set the task due date relative to the event (for example "30 days before event"). Each task then gets its own date, matching its maturity or birthday.
Export before a team meeting. The CSV includes the advisor and lender, so you can sort and divide work.
Limitations and important behavior
These limits cover what Analytics does not chart, which lists can create tasks, and how anniversaries are dated.
Analytics shows date-based lists only. There are no charts, conversion rates or production KPIs.
Export is CSV only.
Bulk task creation is available on Mortgage maturities, Birthdays and Mortgage anniversaries only.
Move-in anniversaries currently shows the same records as Mortgage anniversaries.
Anniversary dates are calculated from the closing date plus the term. Files missing either date are left out.

Is there a PDF export? No. Export is CSV only.
How do I see one broker's dates? Select that team member's avatar in the toolbar. The list then shows only records they own.
