Overview
The Calendar shows your Broki events, file deadlines, and booked appointments in one place, and can sync two ways with Google Calendar or Outlook Calendar. You can create events, link them to a mortgage file or contact, add a Google Meet, Zoom, or Teams link, and switch between Day, Week, Month, Timeline, and Multi-day views.
Admins and team members with the right permission can also open a teammate's calendar. Booking calendars, which clients use to book time with you, are managed from the Calendar side panel and covered in Public booking and appointments.
At a glance
The Calendar is where you see events, deadlines, and appointments, and where Google or Outlook sync is turned on.
The Calendar shows your events, file deadlines, and booked appointments.
Connect Google Calendar or Outlook Calendar, one at a time, for two-way sync.
Open it from Calendar in the sidebar. Views are Day, Week, Month, Timeline, and Multi-day.
Admins, and people with View Team Calendars, can open a teammate's calendar.
Before you begin
You need an active subscription and calendar permission before the Calendar will open, and a connected calendar if you want sync or a video link.
Your workspace needs an active subscription. The Calendar is part of the paid workspace.
You need the View Team Calendars or View Team Bookings permission. Admins always have access. If you have neither, the page shows "Access Denied — You don't have permission to view the calendar."
To sync with an outside calendar, connect Google Calendar or Outlook Calendar first in Settings > Integrations > Connections, under Calendar. Only one calendar provider can be connected at a time.
Google Meet on a new event needs Google Calendar connected.
Teams on a new event needs Outlook Calendar connected.
Zoom on a new event needs Zoom connected under Video call platforms on the same Connections page.
To create or manage booking calendars, you need the Manage Team Bookings permission (admins always have it).
Step-by-step instructions
These steps cover opening the Calendar, connecting a provider, creating events, and filtering what you see.
Open the Calendar and change the view
Open the Calendar from the sidebar, then move the date or switch the view.
In the sidebar, click Calendar.
Use the arrows to move back or forward, or click Today to jump to the current date.
Pick a view: Day, Week, Month, Timeline (seven days in rows), or Multi-day (five days by default).
To search, type in Search events… in the toolbar.
To choose the view the Calendar opens in, go to Settings > My Account > Preferences and set Calendar under Display options.
Connect Google Calendar or Outlook Calendar
Connect Google Calendar or Outlook Calendar so the Calendar can sync with that account. Only one provider stays connected.
Go to Settings > Integrations > Connections.
Under Calendar, find Google Calendar or Outlook Calendar and click its connect button.
Sign in to your Google or Microsoft account in the window that opens and approve access. You never enter a password into Broki.
Go back to Calendar. A Sync button now appears in the toolbar.
If one provider is already connected, connecting the other shows Switch Calendar Provider. Switching disconnects the first provider. Your synced events stay in Broki, but they stop syncing.
Create an event
Create an event from the Calendar side panel or by clicking an empty time on the grid.
In the Calendar side panel, click Create event, or click an empty time on the grid.
Fill in Event title and Event type. The types are Client Call, File Submission, Internal Meeting, Deadline, Follow Up, and Other.
Set Start Time and End Time, or turn on All day event.
You can add a Location, link a Related Mortgage File and a Related Contact, add a Description, set the event to repeat, and set a Status of Confirmed, Tentative, or Cancelled.
Optional: under Video Conferencing, click Google Meet, Zoom, or Teams to add a meeting link. This is only available when you create a new event. Google Meet needs Google Calendar connected, Teams needs Outlook Calendar connected, and Zoom needs Zoom connected under Video call platforms.
If a calendar is connected, choose where the event is saved under Save to calendar: your Google Calendar, your Outlook Calendar, or Local Only (Broki only).
Click Create Event.
If the new event overlaps one you already have, Broki warns you about the conflict and the button changes to Save Anyway (Conflict).
Edit an event
Edit an event by opening it on the Calendar and saving your changes.
Click the event on the Calendar.
Click the edit icon, change the details, and click Update Event.
Only the person who owns the event, or an admin, can edit it.
Delete an event
Delete an event from the event details after you confirm the prompt.
Click the event on the Calendar.
Click Delete and confirm "Are you sure you want to delete this event?"
Only the person who owns the event, or an admin, can delete it.
Sync your calendar
Sync pulls the latest Google Calendar or Outlook Calendar changes into the Calendar.
In the Calendar toolbar, click Sync. The tooltip reads "Sync Google Calendar now" or "Sync Outlook Calendar now".
Wait for the events to refresh.
Filter events on the Calendar
Filter the Calendar to show or hide event types and deadline items.
In the side panel, under Event types, check or uncheck Birthdays, Closings, Deadlines, Appointments, Tasks, and Other.
To hide every deadline item, turn on Hide deadlines under Filters.
For finer deadline filters, click Filters in the toolbar. You can show or hide Tasks, Checklists, Closings, Maturities, Subject Removals, Birthdays, and Anniversaries, or turn on Overdue Only.
View a teammate's calendar
View a teammate's calendar by selecting their avatar under People.
In the side panel, under People, click a teammate's avatar.
The Calendar switches to their events. Click your own avatar to switch back.
You need the View Team Calendars permission to see teammates. You can view their events, but only the owner or an admin can edit them.
Practical examples and other ways to use it
These examples show ways to use events, filters, and Local Only on the Calendar.
Client call with a video link. Create a Client Call event, link the mortgage file and the borrower contact, click Google Meet, and save to Google Calendar. The meeting link and the file link stay together on the event.
Closing week check. Switch to Week view, uncheck everything except Closings and Deadlines, and review what is due.
Overdue review. Open Filters and turn on Overdue Only to see only past-due deadline items.
Team coverage. An admin opens a teammate's calendar from People before reassigning a file, to see their workload.
Private reminder. Save an internal event as Local Only so it never appears on your Google or Outlook calendar.
Common mistakes and how to avoid them
These mistakes affect which calendar stays connected, when events appear, and which appointments you see.
Connecting both Google and Outlook calendars. Only one can be connected, so connecting the second one disconnects the first. Reconnect the one you want in Settings > Integrations > Connections. To prevent it, pick one calendar provider per person.
Expecting events to sync in the background. Broki pulls changes when you open the Calendar, when you come back to the browser tab, or when you click Sync. An event added in Google an hour ago won't appear until one of those happens. Click Sync before you rely on what you see.
Changing a synced event to Local Only by accident. Broki asks "Switch to Local Only?" and then deletes the copy on your Google or Outlook calendar if you click Delete Remote & Switch. To get it back, edit the event and choose your calendar again under Save to calendar. Read that dialog before you confirm.
Trying to add a video link to an existing event. The Video Conferencing buttons only appear on new events. Paste the link into Location or Description instead, or recreate the event.
Unchecking a booking calendar to hide its appointments. The checkboxes under Booking calendars don't filter the grid. Use Event types > Appointments instead.
Troubleshooting
Use this section when the Calendar shows an error, a video button is unavailable, or outside events are missing.
"Access Denied — You don't have permission to view the calendar."
This message appears when you open the Calendar without permission to view it.
Possible causes
Your role doesn't include View Team Calendars or View Team Bookings.
Check first
Ask an admin which role you have.
To fix
An admin goes to Settings > Team & Access > Roles & Permissions.
They turn on View Team Calendars for your role.
You refresh the page.
Confirm it worked
Clicking Calendar in the sidebar opens the Calendar.
Contact support if
The permission is on and you still see the message. Send the page name, the exact message, the time, and a screenshot.
"Saved in Broki, but Google Calendar did not get this event"
This message appears when the event saved in Broki but did not reach Google Calendar.
Possible causes
Your Google connection expired or was revoked.
Google was briefly unavailable.
Check first
Look at Settings > Integrations > Connections > Calendar to see whether Google Calendar shows as connected and when it last synced.
To fix
If Google Calendar isn't connected, click Connect and sign in again.
Open the event, keep your Google Calendar selected under Save to calendar, and click Update Event.
Click Sync in the Calendar toolbar.
Confirm it worked
The event appears in Google Calendar.
Contact support if
It keeps failing after you reconnect. Send the event title, the time you saved it, the exact message, and a screenshot.
"Failed to save event. Please try again."
This message appears when Broki could not save the event.
Possible causes
A required field is missing.
There was a temporary connection problem.
Check first
Make sure Event title, Event type, Start Time, and End Time are filled in, and that the end is after the start.
To fix
Correct the fields.
Click Create Event or Update Event again.
Confirm it worked
The event appears on the grid.
Contact support if
The error repeats with valid fields. Send the time, the event details with personal data hidden, and a screenshot.
Events from Google or Outlook are missing
Outside events are missing when Broki has not pulled them, or when the provider is no longer connected.
Possible causes
No sync has happened since the change.
The provider was disconnected or switched.
Check first
Make sure the Sync button shows in the toolbar. If it doesn't, no calendar is connected.
To fix
Click Sync.
If there's no Sync button, connect your calendar in Settings > Integrations > Connections.
Confirm it worked
The outside event appears on the grid.
Contact support if
A connected calendar never shows outside events. Send the provider name, an example event time, and a screenshot.
The Google Meet, Zoom, or Teams button is greyed out
The video button is greyed out when the connection that button needs is missing.
Possible causes
The matching connection is missing. The tooltip says "Connect Google Calendar first", "Connect Zoom first", or "Connect Outlook first".
To fix
Connect the service shown in the tooltip in Settings > Integrations > Connections.
Create the event again.
Confirm it worked
The button is clickable and a meeting link is added.
Contact support if
The service is connected and the button stays disabled.
Tips and best practices
These tips keep file-linked events, your default view, and outside calendars up to date.
Link events to a mortgage file whenever you can, so the appointment is easy to find from the file.
Set your default view in Settings > My Account > Preferences so the Calendar opens the way you work.
Click Sync before you book something important, so outside events are up to date.
Use Local Only for internal reminders you don't want on your personal calendar.
Limitations and important behavior
These limits describe sync timing, video links, and what you can change on a teammate's calendar.
Only one calendar provider (Google or Outlook) can be connected per person.
There is no background sync. Changes are pulled when the Calendar opens, when you return to the browser tab, or when you click Sync.
When Google Calendar is connected, opening the Calendar also sends up to 20 Broki events from the past week and next 60 days that haven't synced yet.
Busy times from your connected calendar are also used to hide booked slots on your public booking pages.
Video links can only be added when you create an event.
Recurring events show a 🔄 symbol before the title.
You can see teammates' events but can't edit them unless you're the owner or an admin.
Frequently asked questions
These are questions people ask about connecting calendars, deleted events, and deadlines.
Can I connect both Google Calendar and Outlook Calendar? No. One provider at a time. Connecting the other one disconnects the first.
Will deleting an event also remove it from Google or Outlook? Yes. Deleting a synced event in Broki also asks Google or Outlook to delete their copy, and deletes a linked Zoom meeting. If the outside calendar can't be reached, the event is still deleted in Broki, so check the outside calendar if the copy is still there.
Why do I see deadlines I didn't create? The Calendar shows deadline items from your files and tasks, such as closings, maturities, and subject removals. Turn on Hide deadlines to hide them.
Can clients book time on my Calendar? Yes, through a booking calendar. See Public booking and appointments.
Does Broki store my Google or Microsoft password? No. You sign in with Google or Microsoft directly, and Broki receives permission to access your calendar.
