Overview
The Task Hub tab on a mortgage file brings the file's tasks, lender conditions, and checklists into one place. Use it to assign work with due dates, track every lender or underwriting condition to approval, and make sure required checklist steps are done before the file moves forward.
Brokers and processors use it daily on active files. It has three sections in the left rail: Tasks ("To-dos & due dates"), Conditions ("Lender conditions"), and Checklists ("File checklist items"). The Task Hub badge in the file sidebar shows pending tasks plus open conditions, and turns red when any condition is open.
At a glance
The Task Hub tab holds tasks, lender conditions, and checklists for one mortgage file.
Tasks, Conditions, and Checklists replace the older To Do, Checklists, and Conditions tabs.
The assignee email is sent only when you check Send email notification to assignee on a new task.
You set each condition to Needs Attention, Requested, Received, Sent to Lender, or Approved.
A stage-gate checklist blocks a stage move. A closure checklist shows a reminder and does not block closing.
Before you begin
Check these requirements before you use the Task Hub tab.
To assign tasks, teammates must be team members in your organization.
Task and condition templates, and checklist templates, are set up in settings. See Checklists and conditions.
Collaborators from another organization can use Task Hub if the file owner granted them the Task Hub module.
Step-by-step instructions
Use these steps to create tasks, track conditions, and add checklists on the Task Hub tab.
Create a task
Create a task when someone on the file has work to do by a due date.
Also called: to-dos.
Open the mortgage file, select Task Hub, then select Tasks.
Select Create Task.
Enter a Title, optional Description, and Priority (Low, Medium, or High).
Optional: choose Assign to. The file owner is marked "(file owner)".
Optional: set a Due Date. Check Set specific time? to add a time in your organization's time zone.
Before you continue: if you check Send email notification to assignee, the assignee gets an email. This option appears only on new tasks with an assignee.
Select Create Task.
The task appears in the right due-date group: Overdue, Today, Tomorrow, This week, or Later.
Add tasks from a template
Add tasks from a template when you want a saved set of tasks on this file.
Select Templates.
In "Task Templates", choose a template and apply it.
Find and update tasks
Find and update tasks when you need to filter the list or change several tasks at once.
Use the priority rail: Needs attention now (overdue tasks), Due today, Due tomorrow, Rest of week, Assigned to me, and Completed (7d).
Filter by assignee with the Assignee: avatars, or search with "Search tasks...".
Switch views: By due date, By assignee, or Flat list.
Select several tasks to Assign, change Due date or Priority, Complete, or Delete them in bulk.
Before you continue: deleting tasks cannot be undone. You confirm "Delete N tasks? This cannot be undone." for bulk deletes, or "Are you sure you want to delete this task?" for one task.
Track lender conditions
Track lender conditions when you need each lender or underwriting item moved to a status.
Select Conditions ("Track lender and underwriting conditions").
Select Add condition to add conditions from your templates, or Custom condition to add a one-off item ("Add a one-off item to this file"). For a custom condition, choose Add to list, enter a Title and optional Description, Category, and Needed from.
Set each condition's status: Needs Attention, Requested, Received, Sent to Lender, or Approved. You see "Status updated".
Optional: on a condition, set an Assignee and Needed from, add notes with @mentions, or select Add to document requests to create a matching request on the Documents tab ("Document request created successfully").
The top of the section shows Overall progress and "X of N conditions approved", with counts for Need attention, Requested, Received, Sent, and Approved.
Organize conditions by lender
Organize conditions by lender when you want a separate list for each lender.
Condition lists work like columns, one per lender.
Select Add another lender list.
Enter a name such as "TD, RBC, First National…" and choose a colour label.
Use Move to list on a condition, or a list's options to rename it, delete it, or move all its conditions to another list.
A file always needs at least one list ("At least one list is required.").
Filter and update conditions in bulk
Filter and update conditions in bulk when you want to change the status, assignee, or delete several at once.
Filter by All, Needs attention, Requested, In progress (received or sent), or Approved.
Sort by status, name, or last updated.
Use Select all visible, then Update status, Assign all, or Delete all.
Before you continue: deleting a condition asks you to type DELETE and cannot be undone.
Add a checklist to the file
Add a checklist to the file when you want template items tracked on that file.
Select Checklists, then Add Checklist.
In "Add checklist to file", pick a template and select Add to File. You see "Checklist attached successfully".
Tick items as you complete them. You see "Item completed by {email}".
Optional: add, edit, or delete your own items on the checklist.
Each checklist shows a progress ring, "X of N complete · N required items remaining", and a status of Complete, In progress, or Not started. A checklist can be marked "· Stage gate" or "· Closure".
Archive a checklist
Archive a checklist when you want it off the file but still able to come back.
To remove a checklist, select Archive and confirm "Archive this checklist? You can restore it later if needed." Archived checklists can be restored ("Checklist restored successfully").
Practical examples and other ways to use it
These examples show ways to use tasks, conditions, and checklists on the Task Hub tab.
Commitment conditions. Create a lender list for "First National", use Add condition to add income and down payment conditions, then Add to document requests so Alex Sample sees them in the client portal.
Processor hand-off. Create a task "Order appraisal for 123 Example Street", assign it to Jordan Example, set a due date, and check Send email notification to assignee.
Stop files skipping compliance. One way to use this: attach a stage-gate checklist with required compliance items. The file cannot move stage on the Application Status tab until they are done.
Two lenders at once. Keep a list per lender so you can compare what each still needs.
Common mistakes and how to avoid them
If one of these happens on the Task Hub tab, use the fix under that mistake.
Expecting a closure checklist to block closing. Closure checklists show the banner "Required checklist items must be completed before file closure." but Broki does not block closing. Use a stage-gate checklist if you need enforcement.
Expecting an assignee email by default. The email only goes out if you check Send email notification to assignee when creating the task.
Deleting a list you still need. Use Move all to another list first so you keep the conditions.
Troubleshooting
Use this section when a stage is blocked, a document request will not start, or filters hide your tasks.
"Complete required checklist items before moving stages: {names}"
You see "Complete required checklist items before moving stages: {names}" when a stage-gate checklist still has required items open.
Possible causes: a stage-gate checklist has required items open.
To fix:
Open Task Hub > Checklists.
Complete the required items on the checklists named in the message.
Move the stage again.
Confirm it worked: the stage move succeeds.
"No borrowers found for this file. Add contacts first."
You see "No borrowers found for this file. Add contacts first." when you try to create a document request from a condition and the file has no borrowers.
Possible causes: you selected Add to document requests on a file with no borrower contacts.
To fix:
Add a borrower to the mortgage file.
Select Add to document requests again.
"No tasks match these filters."
You see "No tasks match these filters." when the current task filters hide every task.
To fix: select Clear filters.
"All Checklists Added"
You see "All Checklists Added" when every checklist template is already on this file.
Possible causes: every available checklist template is already on this file.
To fix: create a new template in settings, or restore an archived checklist.
Tips and best practices
Use these practices when you work in the Task Hub tab.
Use Needs attention now at the start of each day. It shows overdue tasks on the file first.
Save common conditions as templates. Adding them with Add condition keeps wording consistent across files.
Link conditions to document requests. The client gets a clear request, and the condition and document stay connected.
Limitations and important behavior
These limits apply to checklists, unavailable tools, and deletes on the Task Hub tab.
Stage-gate checklists are enforced when moving stages. Closure checklists are a reminder only.
AI Extract Conditions and AI Generate are not available yet.
Deleting tasks or conditions cannot be undone. Archived checklists can be restored.
These sections replace the older To Do, Checklists, and Conditions tabs.
