Overview
The file details tab is labelled Mortgage Summary in a mortgage file. It shows the deal's key numbers, the loan and property details, custom fields, the file's contacts, and a timeline of payment events.
Also called: Mortgage Summary.
Brokers and processors use it to check and update the terms of a deal: the amount, rate, term, lender, closing date, and conditions. Once a closing date is set, Broki also calculates projected payments and balances here, so the file stays useful after funding.

The tab is labelled Mortgage Summary.
The cards show mortgage amount, payment, rate, closing, and subject to financing. Edit details opens Edit Mortgage Summary.
Saving recalculates the estimates. Payment, balance, and timeline estimates appear once the file has a Closing Date.
Remove from file has no confirmation. Delete event asks you to confirm, then recalculates the estimates.
Before you begin
Before you edit Mortgage Summary, check edit permission and whether the file has a closing date.
Editing requires the Edit Mortgage File permission.
Payment, balance, and timeline estimates only appear once the file has a Closing Date.
Custom fields come from your organization's setup under Settings > Custom Fields.
Collaborators from another organization can view this tab only if the file owner granted Mortgage Summary. They don't see Broker Fee, and they can't see contact details.
Step-by-step instructions
These steps cover the summary cards, editing details, contacts, and the event timeline.
Review the summary
Review the summary on Mortgage Summary to see the main numbers and the loan breakdown.
Open the mortgage file and select Mortgage Summary in the file tabs.
Read the cards across the top: Mortgage amount, Payment (monthly, shown as interest only or amortized), Rate (the effective rate and the term), Closing (days until closing, or "Set a closing date"), and Subject to financing.
Scroll to Loan details for the full breakdown. The sections are Loan, Property & payment, Prime rate (variable rates only), Dates & conditions, Performance & balance, and Locks & appraisal.
Edit the mortgage details
Edit the mortgage details in the Edit Mortgage Summary window.
Select Edit details. The Edit Mortgage Summary window opens with Basic Information, Mortgage Terms, and Custom Fields.
Update the fields you need. Mortgage Amount is required.
To add lender file numbers, type each one in Lender File IDs and press Enter. Each ID needs 4 to 10 digits. You can add a label, for example
Scotia-1234. You can add up to four IDs.
Before you continue: if you change fee amounts, Broki may create a commission entry from them. When it does, it shows "Commission entry created from mortgage fees".
Select Save Changes.
Broki shows "Mortgage details updated successfully" and recalculates the estimates from the new figures.
Recalculate estimates
Recalculate estimates when the file has a closing date and you want the payment and balance figures refreshed.
Make sure the file has a closing date.
Select Recalculate.
Broki shows "Estimates recalculated", and the payment and balance figures update.
Manage contacts on the file
Manage contacts on the file from the Contacts card.
In the Contacts card, select Add contact to link a contact to this file.
On a contact's row, select Email to write to them, Call to phone them, or the row itself to open the contact.
Before you continue: Remove from file takes effect right away, with no confirmation. Broki shows "Contact removed from mortgage file". This removes the contact from this file only.
To take a contact off the file, select Remove from file.
Review the event timeline
Review the event timeline to see recalculations, payment changes, and prepayments on this file.
Scroll to Event timeline. It lists recalculations, payment changes, and prepayments on this file.
Delete an event or clear the log
Delete an event or clear the log when you need to clean up Event timeline.
To remove one event, select Delete event and confirm "Delete this event? This will recalculate the estimates."
To clear the automatic recalculation history, select Clear log (it shows the number of entries) and confirm. Your prepayment and frequency-change events are kept.
Practical examples and other ways to use it
These examples show other ways to use Mortgage Summary.
Rate hold expiring. Enter the Rate Hold Expiry for Alex Sample's file so the date shows under Dates & conditions whenever someone opens the file.
Variable-rate file. For a variable mortgage, check Prime rate for the prime basis, the variance, and the current source rate. If Broki shows "Trigger rate reached." or "Prime basis needs review.", select Review.
Lender references. One way to keep lender references handy: add the lender's file numbers, such as
Scotia-1234, in Lender File IDs so anyone on the file can quote them.After funding. Keep the closing date and terms accurate. Performance & balance then projects the balance over the amortization for renewal conversations.
Common mistakes and how to avoid them
These mistakes come up on Mortgage Summary, along with what happens and how to avoid them.
Entering a dollar amount as a lender file ID. Broki rejects it with "Need 4–10 digits (e.g. Scotia-1234). $ amounts are not file IDs." Enter the lender's reference number instead.
Removing the wrong contact. There's no confirmation. If you remove someone by mistake, use Add contact to link them back.
Expecting estimates without a closing date. First payment shows "Not available until closing date is set", and the timeline stays hidden. Add the Closing Date in Edit details or in the file header.
Troubleshooting
Use this section when a save, a lender file ID, or Recalculate fails on Mortgage Summary.
"Invalid term value" or "Invalid amortization value"
This covers the messages "Invalid term value" and "Invalid amortization value".
Possible causes: the term or amortization is outside 0 to 40 years.
To fix:
Enter a value between 0 and 40.
Select Save Changes.
Confirm it worked: Broki shows "Mortgage details updated successfully".
"Max 4 lender file IDs" or "That ID is already added"
This covers the messages "Max 4 lender file IDs" and "That ID is already added".
Possible causes: the file already has four IDs, or this ID is already in the list.
To fix:
Remove an ID you no longer need.
Add the new one.
"Update failed: …"
This covers a message that starts with "Update failed:".
Possible causes: the save was rejected. The text after "Update failed:" gives the reason.
To fix:
Check the fields named in the message.
Select Save Changes again.
Contact support if: the message repeats. Include the loan code, the exact message, and the approximate time.
The Recalculate button is missing
This covers the case when the Recalculate button is missing.
Possible causes: the file has no closing date, or estimates aren't being tracked for this file.
To fix:
Add a Closing Date and save.
Confirm it worked: Recalculate appears next to Edit details.
"Recalculation failed"
This covers the message "Recalculation failed".
Possible causes: the estimate couldn't be recalculated from the current figures.
To fix:
Check that the amount, rate, term, and amortization are filled in.
Select Recalculate again.
Contact support if: it still fails. Include the loan code and the approximate time.
Tips and best practices
These tips turn on the estimates and keep the summary easy to scan.
Set the Closing Date as soon as you know it. It turns on First payment, Performance & balance, Recalculate, and Event timeline.
Use custom fields for details your team always asks about. They show in their own card, so nobody has to dig through notes.
Check the summary cards before sending a client update. They show the amount, payment, rate, and closing countdown at a glance.
Limitations and important behavior
These limits apply to Mortgage Summary.
Saving details triggers an automatic recalculation of the estimates.
Deleting a timeline event also recalculates the estimates.
On a file shared with you by another organization, contacts are managed by the owning organization, and Add contact isn't shown.
Broker Fee isn't visible to collaborators.
Payments and balances are estimates calculated by Broki, not lender statements.
