Check what you pay, fix an out-of-sync seat count, update your card, or resubscribe.

Overview

Your Broki subscription is billed per active team member, every month, through Stripe. Settings > Account > Billing shows your team size, how many users Stripe is billing for, your monthly cost and next payment date, and opens Stripe's secure billing portal where you manage payment details and invoices.

Also called: seats.

Use this article to check what you're paying for, fix a seat count that's out of sync, update a card after a failed payment, or resubscribe after a cancellation. Your login email and password are covered separately in Account, security, and billing.

At a glance

At a glance, Billing shows your monthly charge, seat count, and how to restore access after a payment problem.

  • Billing is monthly, one seat per active team member, with a minimum of one seat. Pending invites are not billed.

  • Open Settings > Account > Billing, then Manage billing, to update your card and see invoices in Stripe.

  • If team size and the Stripe count disagree, you see Billing out of sync. Select Refresh, then Sync now if the banner remains.

  • A failed payment shows Payment Issue — Update Required. A cancelled subscription shows Your Subscription Has Ended. Your data is kept.

With no subscription, Broki shows Complete Your Subscription. After a failed payment, update the card. After cancellation, resubscribe. Access returns when the subscription is active.

Before you begin

Before you open Billing, confirm your role can see it and that your browser allows the Stripe tab.

  • You need billing access. By default every role has the Billing Settings permission, and admins always have it. An admin can turn it off for a role in Settings > Roles & Permissions (see Roles and permissions).

  • If billing access is off for your role, the Billing section doesn't appear under Account, and the profile panel shows "Billing is visible to admins."

  • Payment details are entered on Stripe's own pages, never inside Broki. Broki support will never ask you for your card number.

  • Allow pop-ups for Broki in your browser. Manage billing opens the billing portal in a new tab.

Step-by-step instructions

These steps cover viewing your plan, opening Stripe, syncing seats, subscribing, fixing a failed payment, and resubscribing.

View your subscription

To view your subscription, open Billing and check team size, monthly cost, next payment, and the current plan.

  1. Open Settings.

  2. Under My Account, select Account, then select Billing in the left column.

  3. Review the three cards at the top. Team size shows your active team members, with Active when the subscription is active, and "Stripe billed for … users" underneath. Monthly cost is what you pay Per billing cycle. Next payment is the date of the next charge. The subscription Auto-renews monthly.

  4. Under Current plan, check Team members, Billed quantity, Monthly cost, Billing email and, during a trial, Trial ends.

  5. Under Billing notifications, read recent billing events such as payments and failed payments. Select Mark all as read to clear unread items.

You can also see a short Subscription summary, with a Manage billing button, in the profile panel that opens when you select your name in the sidebar.

Update your payment method, see invoices, or change the subscription

To update your payment method, see invoices, or change the subscription, open Stripe with Manage billing and then refresh Broki.

  1. In Settings > Account > Billing, select Manage billing.

  2. Stripe's billing portal opens in a new tab. Broki shows "Billing portal opened in a new tab. You can manage payments, view invoices, and update your subscription there."

  3. Make your changes in the Stripe portal.

  4. Return to Broki and select Refresh to load the latest details.

Confirm it worked: the Current plan details and Next payment date reflect your change after Refresh.

Fix a seat count that is out of sync

To fix a seat count that is out of sync, refresh first, then sync so Stripe matches your active team members.

Broki bills one seat per active team member. The seat count updates automatically when someone accepts a team invite and when a member is removed from Settings > Members. If the two numbers ever disagree, you'll see Billing out of sync.

Before you continue: syncing changes the quantity on your Stripe subscription, which changes what your organization is charged.

  1. Read the banner. It says how many active members you have and how many users Stripe is billing for.

  2. Select Refresh first, in case the numbers have already caught up.

  3. If the banner is still there, select Sync now.

If Billing out of sync is still showing after Refresh, Sync now updates Stripe. Broki then shows Billing in sync.

What happens: Broki updates the Stripe quantity to match your active members and shows "Subscription synced successfully!"

Confirm it worked: the green Billing in sync banner appears, showing "Your Stripe subscription matches your team size".

Set up billing for the first time

To set up billing for the first time, enter a billing email and subscribe on Stripe.

If your organization has no subscription yet, Billing shows No billing information with a Set up billing button, and most of Broki shows Complete Your Subscription.

  1. Select Set up billing (or use the Complete Your Subscription page if it's already showing).

  2. Enter the Billing Email. Invoices and billing notifications go to this address.

  3. Select Subscribe Now. You are taken to Stripe Checkout to enter payment details.

  4. After payment, Broki confirms with "Subscription activated successfully!" Select Get Started.

Restore access after a failed payment

To restore access after a failed payment, update the card from Payment Issue — Update Required.

If a payment fails, Broki shows Payment Issue — Update Required in place of most pages.

  1. On that page, select Update Payment Method.

  2. Update your card in the Stripe billing portal.

  3. Return to Broki. Once Stripe confirms the payment, access is restored.

Resubscribe after cancelling

To resubscribe after cancelling, use Your Subscription Has Ended and Resubscribe Now. Your data is kept.

If the subscription has been cancelled, Broki shows Your Subscription Has Ended. Your data is kept: the page says "All your data is still here — resubscribe to pick up right where you left off."

  1. Check the Billing Email.

  2. Select Resubscribe Now and complete payment on Stripe's page.

Practical examples and other ways to use it

These examples show hiring, removing a member, giving a bookkeeper invoices, and hiding costs by role.

  • You hired a new broker. Invite them from Settings > Members. When they accept, the seat count goes up automatically, and you'll see the new Billed quantity on the next Refresh.

  • Someone left the brokerage. Remove them from Settings > Members. The seat count drops automatically. If the banner shows Billing out of sync afterwards, select Sync now.

  • Your bookkeeper needs invoices. One way to handle this: have someone with billing access open Manage billing and download the invoices from the Stripe portal. Set Billing Email to the bookkeeper's address when you subscribe so they receive invoices directly.

  • Only owners should see costs. An admin can turn off Billing Settings for other roles in Settings > Roles & Permissions.

Common mistakes and how to avoid them

These mistakes cover who can open billing, syncing too quickly, looking for a seat purchase screen, and looking for card details inside Broki.

  • Leaving billing open to every role. Every role has Billing Settings by default, so any team member can open Manage billing. If that isn't what you want, turn the permission off for non-admin roles.

  • Selecting Sync now without checking the numbers. Sync changes what you're charged. Read the banner and select Refresh first.

  • Expecting a seat purchase screen. There isn't one. Seats follow your active team members, so add or remove people in Settings > Members.

  • Looking for payment details inside Broki. Cards and invoices live in the Stripe portal opened by Manage billing.

Troubleshooting

Use this section when the billing portal will not open, seats stay out of sync, or a subscription page blocks the rest of Broki.

"Popup blocked. Please allow popups for this site or use the link from your email."

"Popup blocked. Please allow popups for this site or use the link from your email." means the browser blocked the Stripe tab.

Possible causes

  • Your browser blocked the new tab that Manage billing opens.

To fix

  1. Allow pop-ups for Broki in your browser's address bar or settings.

  2. Select Manage billing again.

Confirm it worked: the Stripe billing portal opens in a new tab.

"Unable to open billing portal. Please contact support."

"Unable to open billing portal. Please contact support." means Broki could not open Stripe for this organization.

Possible causes

  • Your organization doesn't have a completed Stripe subscription yet.

  • The billing record couldn't be found for your organization.

Check first

  • Whether Billing shows No billing information. If it does, use Set up billing instead.

To fix

  1. Select Refresh and try Manage billing again.

  2. If it still fails, contact support.

Contact support if the error repeats. Include your organization name, the exact message and the time. Don't send card details.

"Billing out of sync" keeps coming back

Use this section when Billing out of sync keeps coming back after you sync.

Possible causes

  • Someone joined or left and the automatic update didn't complete.

  • An invite is still pending. Pending invites aren't billed until accepted.

Check first

  • The member list in Settings > Members against the numbers in the banner.

To fix

  1. Select Refresh.

  2. Select Sync now.

Confirm it worked: Billing in sync appears.

Contact support if the banner returns after a successful sync. Include the two numbers shown in the banner.

"You don't have permission to access billing settings."

"You don't have permission to access billing settings." means Billing Settings is off for your role.

Possible causes

  • Billing Settings is turned off for your role.

To fix

  1. Ask an admin to turn on Billing Settings for your role, or to make the change for you.

Everything except Settings shows "Complete Your Subscription"

Use this section when everything except Settings shows Complete Your Subscription.

Possible causes

  • Your organization has no active subscription or trial.

To fix

  1. Enter the Billing Email and select Subscribe Now.

  2. If you already paid, wait a moment and reload the page. Broki checks the subscription status again.

Contact support if you completed payment and still see the page. Include the time of payment and your billing email.

Tips and best practices

These tips help invoices keep arriving, seats stay accurate, and failed payments show up early.

  • Use a shared billing inbox for Billing Email. Invoices and failed-payment notices keep arriving even if one person leaves.

  • Remove departed team members promptly. Seats are billed per active member, so removing them stops the charge for that seat.

  • Check Billing notifications after a card change. A failed payment shows up there, so you can act before access is affected.

Limitations and important behavior

These limits describe how seats are counted, which pages stay open without a subscription, and where payment details live.

  • Billing is per active team member, monthly, with a minimum of one seat. Pending invites aren't billed.

  • There's no seat purchase or downgrade screen in Broki. The seat count follows your team.

  • Access requires an active or trial subscription. When payment fails or the subscription ends, most pages are replaced by the subscription page. Settings stays reachable, except Members and Collaborators, which also need an active subscription.

  • Payment methods, invoices and plan changes are handled in Stripe's billing portal. What you can change there depends on how the portal is set up for your account.

  • The Billing Email is separate from your login email. Changing your login email doesn't change where invoices go.

Frequently asked questions

How do I cancel my subscription? Open Manage billing and look for the cancellation option in the Stripe portal. If you don't see one, contact support.

What happens to my data if the subscription ends? It's kept. Resubscribing restores access to your existing data.

Does a collaborator from another organization use one of my seats? Seats follow the active team members of your organization. Collaborators are managed separately in Settings > Collaborators.
