Overview
Booking calendars let clients pick a time with you from a public booking page. Broki then confirms the appointment, sends reminders, and adds the client as a lead. Each booking calendar has its own length, location, weekly hours, buffers, invitee questions, and notifications. You can also create single-use links that offer a few hand-picked times and stop working after one booking.
Also called: event type.
Every booking adds a meeting to the host's Calendar. It also creates or updates the client's contact, puts them in the lead pipeline, and adds a task and a note with their answers.
At a glance
Public booking is the page clients use to pick a time with you, and the place you manage those booking calendars.
Clients book a time on your public page. Broki confirms it, sends email reminders, and adds them as a lead.
Each booking calendar is an event type with its own length, hours, questions, and notifications.
A booking also adds a Client Call on the host's Calendar, a task, and a note.
Single-use links offer up to 10 times you pick and stop after one booking.
Before you begin
Set up booking permission, your Application Link, and optional calendar sync before you share a booking page.
Your workspace needs an active subscription.
You need the Manage Team Bookings permission to create or edit booking calendars. Admins always have it. Without it, the booking page sends you back to the Calendar.
To use View booking page, set up your Application Link first in Settings > Client Experience > Applications. Your booking page uses the same public address.
Optional but recommended: connect Google Calendar or Outlook Calendar in Settings > Integrations > Connections, so times you're already busy there are hidden from clients.
To place new bookings in a specific lead stage, create your lead stages in the Lead Pipeline first.
Step-by-step instructions
These steps cover creating a booking calendar, sharing it, and reviewing what the client does on the public page.
Open Calendar Booking
Open Calendar Booking from the Calendar side panel to manage event types and single-use links.
In the sidebar, click Calendar.
In the side panel, next to Booking calendars, click +.
The Calendar Booking page opens with two tabs: Event Types and Single-Use Links.
Create a booking calendar
Create a booking calendar as a one-on-one event type and finish all nine editor steps.
Click + Create > One-on-One Event.
Work through the nine steps, using Continue and Back. The header shows "Step N of 9".
The nine steps are:
Basic info. Set Event name (up to 80 characters), duration (15 min, 30 min, 45 min, 1 hr, or Custom from 1–480 minutes), a description, and a colour. Active hides the type from your public booking page when it is off. You can also set Auto-assign to lead stage and Host.
Location. For Virtual, paste a Meeting link. For Phone, choose "Require invitee's phone number" or "I will call the invitee". For In-Person, enter the Address. Add Additional instructions if needed.
Availability. Set How far in advance can people book? to a rolling window (60 days by default), a fixed date range, or indefinitely (up to 12 months ahead). Set your timezone and Weekly hours. Use the presets or set each day, and add a Lunch break if you want.
Limits & buffers. Set Buffer time before and after (15 and 10 minutes by default), Minimum booking notice (2 hours by default), Max bookings per day, Quick-book slots, and Slot increment. Under Cancellation & rescheduling, choose whether clients can reschedule or cancel, and the Minimum notice (24 hours by default).
Invitee form. Name and Email are always required. Set Phone number as required or optional. Add up to 20 Custom questions.
Notifications. Turn each one on or off: Calendar invitation, Booking confirmation email, Email reminder — 1 day before, and Email reminder — 1 hour before. All are on by default.
Confirmation. Show a confirmation message, or redirect clients to your own web page.
Booking page. Set the Link name, which is the readable end of the booking link. Choose the Displayed timezone: the invitee's, yours, or a fixed one.
Permissions. Choose which team members Can use or Can edit this event type.
Before you continue: if Active is on, clients can book as soon as you share the link. Notifications go to them automatically.
Click Create event type.
Share a booking calendar
Share a booking calendar by copying its link, sending a test link, or copying embed code.
On the Event Types tab, find the event type.
Click Copy link to copy its booking link, or open the row menu and click Share.
In Share Booking Calendar, use Copy link or Test link for the direct link, or Copy embed code to put the booking widget on your website.
Click Done.
To share your full booking page with all your active event types, click View booking page and copy that address.
Create a single-use link
Create a single-use link when you want to offer a few specific times that work for exactly one booking.
Open the Single-Use Links tab and click Create single-use link.
Pick the Event type.
Under Time slots, add up to 10 times with Add slot. Times must be in the future and on a 15-minute step.
Optional: add a Note, which only your team sees, and choose when the link Expires after (7, 14, 30, 60, or 90 days; 30 by default).
Click Create link, then share the link with your client. It works for exactly one booking.
Review bookings and export them
Review bookings for one event type on Booking Statistics, then export the list if you need it.
On the Event Types tab, open the row menu and click Bookings.
Booking Statistics shows Total, This month, Upcoming, and Avg/wk.
Filter by time or by status: Confirmed, Completed, Cancelled, or No show.
Export to CSV if you need a list. The file includes date, time, client name, email, phone, status, and notes.
Edit or duplicate an event type
Edit or duplicate an event type from its row menu. Save changes when you are done.
Open the row menu and choose Edit, Duplicate, or Edit Permissions. Only the owner or an admin sees Duplicate and Edit Permissions.
Click Save changes when you finish an edit.
Delete an event type
Delete an event type from its row menu. Only the owner or an admin sees Delete.
Open the row menu and choose Delete.
Before you continue: deleting an event type cancels its upcoming bookings and turns off its unused single-use links. The confirmation tells you how many of each will be affected.

Review what your client sees
Review the public booking page your client uses, from picking a time through the confirmation.
The client opens your link and sees Select a Date & Time. They can change the Time zone, and switch the page to French with the Language selector.
They pick a time and complete Enter Details: name, email, phone if you asked for it, up to 10 guests, your custom questions, and an optional note.
They click Schedule Event and see "You're booked!", with Add to calendar (.ics) and Need to make a change? links to reschedule or cancel.
If you allowed it, they can cancel (with an optional reason) or reschedule from the links in their emails, within your notice window.
After the client books, Broki adds a Client Call on the host's Calendar, creates or updates the contact, and adds a task and a note with their answers.
Practical examples and other ways to use it
These examples are ways to set up event types, single-use links, and an embedded booking form.
Discovery call. A 30-minute Virtual event type with your meeting link, auto-assigned to a "New inquiry" lead stage. Put the link on your website and in your email signature.
Renewal review. A 45-minute Phone event type set to "I will call the invitee", with a custom question asking for the current lender.
Busy week. Instead of opening your whole calendar, send a single-use link with three times that suit you.
Website widget. Use Share > Copy embed code to put the booking form directly on a page of your site.
Partner referrals. Give a realtor a dedicated event type, so their clients' bookings are easy to spot in Bookings.
Common mistakes and how to avoid them
These mistakes hide your booking page, double-book you, or cancel appointments you meant to keep.
Leaving the event type inactive. Its link shows an error and it's hidden from your booking page. Turn Active on in Basic info, and check for the Inactive badge before you share.
Not connecting your outside calendar. Clients can book over meetings that only exist in Google or Outlook. Connect your calendar in Settings > Integrations > Connections before you share links.
Expecting a single-use link to check your calendar. Single-use links offer exactly the times you picked and don't check for conflicts. Re-check your calendar when you create one.
Deleting an event type with upcoming bookings. Those bookings are cancelled. If you only want to stop new bookings, turn Active off instead.
No lead stage set. If you don't choose Auto-assign to lead stage, Broki uses a stage named "Appointment Scheduled" if your workspace has one. Pick a stage explicitly so bookings land where you expect.
Troubleshooting
Use this section when a booking link, booking page, or time slot does not open the way you expect.
"Booking Calendar Not Found" or "Booking page not found"
This message appears when the booking link does not match a current booking calendar.
Possible causes
The link was mistyped or cut off.
The event type was deleted.
Check first
On the Event Types tab, click Copy link and compare it with the link the client used.
To fix
Copy a fresh link from Copy link or Share.
Send it to the client again.
Confirm it worked
Test link opens the booking page.
Contact support if
A freshly copied link doesn't open. Send the event type name, the time, and a screenshot.
"No event types are open for booking right now."
This message appears on your booking page when no event type is active.
Possible causes
All your event types are inactive.
You don't have any event types yet.
To fix
Open each event type with Edit and turn Active on in Basic info.
Click Save changes.
Confirm it worked
View booking page lists your event types.
Contact support if
Active event types still don't appear.
"No times available on this day."
This message appears when that day has no bookable times left.
Possible causes
No weekly hours are set for that day.
The day is outside the booking window.
Minimum booking notice, buffers, or Max bookings per day remove every slot.
Busy times on your Broki calendar or connected calendar fill the day.
Check first
Open the event type and review Availability and Limits & buffers.
To fix
Add hours for that weekday in Weekly hours.
Lower the notice or buffer times if they're too strict.
Click Save changes.
Confirm it worked
Open the booking page with Test link and check that day.
Contact support if
Hours are set, the calendar is free, and no slots show. Send the event type name, the date, your timezone, and a screenshot.
"This Link Has Expired" or "This link has already been used."
This message appears when a single-use link is past its expiry or has already been booked.
Possible causes
A single-use link passed its expiry date, or was already booked.
To fix
Open Single-Use Links and click Create single-use link.
Send the new link.
Confirm it worked
The client sees your offered times.
Contact support if
A new link shows this message before anyone books.
View booking page is greyed out
View booking page stays greyed out until your Application Link is set up.
Possible causes
Your Application Link isn't set up. The tooltip reads "Set up your Application Link first — your booking page shares that public address."
To fix
Go to Settings > Client Experience > Applications and set up your Application Link.
Come back to Calendar Booking.
Confirm it worked
View booking page opens your page.
Contact support if
The link is set up and the button stays disabled.
"Event type created, but weekly hours or sharing did not save. Open it to finish them."
This message appears when the event type was created but weekly hours or sharing did not save with it.
Possible causes
The event type saved, but a later part of the save failed.
To fix
Open the event type with Edit.
Re-enter Weekly hours and Permissions.
Click Save changes.
Confirm it worked
The row shows your availability summary.
Contact support if
Hours still don't save. You can also see "Could not load working hours" if they fail to load. Send the event type name, the time, and a screenshot.
Tips and best practices
These tips help you check a new booking page before clients use it.
Click Test link and book a test appointment before you share a new event type.
Keep Minimum notice for cancellations realistic, so clients aren't blocked from fixing a mistake.
Use custom questions to collect what you need before the call, such as purchase timeline or current lender.
Name each event type by what it's for, such as "Pre-approval call", so clients know what they're booking.
Use Bookings > CSV export to review no-shows each month.
Limitations and important behavior
These limits cover which event types exist, which reminders send, and what each booking creates.
Only One-on-One event types are available. Group Event is marked Coming soon.
Virtual event types use the meeting link you paste. Auto-generated Google Meet, Teams, or Zoom links for bookings are turned off. You'll see: "Auto-generated links are currently turned off for this workspace. Paste a link or choose Phone / In-Person."
Notifications are email and calendar invitations only. There are no SMS booking reminders.
The host gets a copy of the confirmation, and of any cancellation with the client's reason.
Busy times from Google or Outlook are hidden when Broki can reach them. If the provider can't be reached, those times may still show as available.
Single-use links allow up to 10 times, on 15-minute steps, and skip the busy-time check.
Changing the Link name doesn't break links you've already shared.
Each booking creates or updates a contact matched by email, with lead source "Website - Booking Widget". It also creates a "Client Call" event on the host's calendar, a task "Appointment: (client name)", and a note with the client's answers.
Frequently asked questions
These are questions people ask about rescheduling, duplicate contacts, and who can use a booking calendar.
Can clients reschedule or cancel on their own? Yes, if you allow it in Limits & buffers > Cancellation & rescheduling, and only within your minimum notice. Outside that window they see a message telling them how much notice is required.
Will a booking create a duplicate contact? No, if the email matches an existing contact. Broki updates that contact instead.
Can teammates use my booking calendar? Yes. In the Permissions step, give them Can use or Can edit.
Can the booking page be in French? Yes. Clients can pick French with the Language selector on the public page.
Can I take bookings for a team round-robin? No. Group and round-robin event types aren't available. Each event type has one host.
