Ready-made automations are not available yet. Build birthday and renewal touchpoints yourself in Automations.

Overview

Prebuilt automations — ready-made client touchpoints such as birthday or renewal emails that you switch on instead of building — aren't available in Broki yet. There's no prebuilt automations page in Automations or Settings.

Until they're released, you can build the same touchpoints yourself in Automations using date-based triggers such as Contact Birthday, Closing Date, and Maturity Date.

Before you begin

You need permission, a template, and the dates on the contact or file before a date trigger can send.

  • Your role needs the Manage Automations permission (Settings > Roles & Permissions).

  • Create the email templates you want to send in Templates first.

  • Make sure contacts and files have the dates filled in (date of birth, closing date, maturity date). Date triggers skip records without them.

Step-by-step instructions

Until prebuilt automations exist, this is how you build the same touchpoint yourself.

Build a date-based touchpoint yourself

A date-based touchpoint is a workflow you create with a birthday, closing, or maturity trigger.

  1. In the left sidebar, select Automations.

  2. Select Create workflow and enter a Workflow name, such as "Birthday email".

  3. Add one date trigger from the Step library. Use Contact Birthday for birthday emails. Use Closing Date with a positive Days Offset (for example 365) for a closing anniversary. Use Maturity Date with a negative Days Offset (for example -120) for renewal outreach.

  4. Add Send Email, choose your template and Send To, and turn on Require approval before sending while you test.

  5. Select Save workflow.

Before you continue: New workflows are Active when saved. Without Require approval before sending, the email goes to clients automatically when the date arrives.

Practical examples and other ways to use it

These examples are a birthday email, a renewal task, and a post-closing check-in.

  • Birthday. Contact Birthday, Days Offset 0 → Send Email to Birthday Contact.

  • Renewal heads-up. Maturity Date, Days Offset -120 → Create Task "Start renewal with Jordan Example" for the File Owner, then Send Email to Client with approval on.

  • Post-closing check-in. Closing Date, Days Offset 30 → Send Email to Client asking how the move went.

Common mistakes and how to avoid them

These mistakes come from looking for a page that isn't released, or sending the first emails without approval.

  • Looking for a Prebuilt tab. It isn't released. Build the workflow in Automations.

  • Sending without approval on day one. Turn on Require approval before sending until you've checked a few emails in Communications requiring approval on the Dashboard.

Prebuilt automations aren't in Automations or Settings because they aren't released yet.

  • You need a specific touchpoint that the available triggers can't handle. Describe what you want sent and when.

Tips and best practices

These habits let you pause one touchpoint at a time and send during the workday.

  • Create one workflow per touchpoint so each can be paused separately.

  • Use Next Business Hours on a Wait / Delay step before the email so it lands during the workday.

Limitations and important behavior

Prebuilt automations stay unavailable, and workflows you build are shared by the company.

  • Prebuilt automations aren't available.

  • Workflows you build in Automations are shared across your company, not personal to each broker.
