Lawyers and notaries open one link to follow the mortgage files they are assigned to, without a login.

Overview

The lawyer portal is a web page where lawyers and notaries follow the mortgage files they're assigned to, including stage, clients, mortgage team, key dates, and property details, without a Broki login. The mortgage team shares one link per lawyer, and the same link shows every current and future file.

Also called: notary portal.

The portal has two tabs: My files and My referrals. It's view-only; lawyers can't upload documents or change file details from it.

Before you begin

Before a lawyer uses the portal, the mortgage team needs a lawyer record and a link to share.

For lawyers and notaries

  • You need the portal link from your mortgage team. It usually arrives in an email titled "Track Your {Company} Files".

  • You don't need an account or password.

For brokers

  • The lawyer must be saved as a partner with a lawyer or notary category.

  • Assign the lawyer on each mortgage file with the file's Lawyer selector, or with the Assign Lawyer/Notary bulk action on the Pipeline page.

  • Share the link from the lawyer's Shared clients tab with Copy Portal or Send Portal. See Partners page and portal.

Share the lawyer portal

Share the lawyer portal from the lawyer's Shared clients tab.

  1. In the left sidebar, select Partners and open the lawyer.

  2. Select the Shared clients tab and check that the right files are listed.

  3. Select Open Portal to preview what the lawyer will see.

Before you continue: Send email emails the lawyer right away.

  1. Select Send Portal, review the preview, choose Include my signature if you want it, and select Send email. Or select Copy Portal and send the link yourself.

Check a file in the lawyer portal

Check a file in the lawyer portal from My files. The file is view-only.

  1. Open the link from your mortgage team.

  2. On My files, review the summary: Active files, Total files, Funded this year, and Volume this year.

  3. Under Files, filter by All, Active, or Funded, then select a file.

  4. In the file, review Application status (percent complete, the current stage, and the list of stages), the clients and their contact details, Your mortgage team (team lead, mortgage advisor, and realtor), Key dates (subject removal, closing date with days remaining, days since application, and days in the current stage), and Property details (subject property and purchase price).

  5. Select All files to go back.

Track referrals in the lawyer portal

Track referrals in the lawyer portal on the My referrals tab.

  1. Select My referrals.

  2. Review Total referrals, Pre-deal, Active deals, and Completed, and the All referrals list.

  3. If your referral form is set up, you can refer a client from this tab.

Practical examples and other ways to use it

These examples show a notary checking dates and the same link picking up a new file.

  • Closing prep. A notary checks Key dates on Alex Sample's file at 123 Example Street to confirm the closing date and the realtor's details before booking the signing.

  • One link for every deal. The broker assigns the same lawyer to a new file; it appears in the lawyer's existing portal without sending a new link.

Common mistakes and how to avoid them

These mistakes come up when you share the lawyer portal or expect an upload area.

  • Saving the lawyer without a lawyer category. The partner gets the realtor-style portal instead. Set the Partner category to your lawyer or notary category before sharing.

  • Expecting lawyers to upload documents in the portal. The lawyer portal has no upload section, even though the portal email mentions uploads. Ask lawyers to email documents, or upload them to the file's Documents tab yourself.

  • Forwarding the link. Anyone with the link can view the lawyer's files. Send it only to the lawyer's own email.

Troubleshooting

Use this section when the lawyer portal link is denied or the file list is empty.

"Access denied"

You see "Access denied" when the lawyer portal link doesn't open. The screen may show "This portal link is invalid or has expired." or a technical message.

Possible causes

  • The link was cut off when copied or forwarded.

  • The lawyer's partner record was removed.

To fix

  1. Select Try Again.

  2. Lawyers: ask your mortgage team to send the link again.

  3. Brokers: copy a fresh link with Copy Portal and test it with Open Portal.

Contact support if

  • A fresh link still shows "Access denied". Include the lawyer's name, not the link.

"No files found"

You see "No files found" when My files has nothing to show for this lawyer.

Possible causes

  • The lawyer isn't assigned on any file, or the filter excludes the files.

To fix

  1. Select All under Files.

  2. Brokers: assign the lawyer with the file's Lawyer selector.

Tips and best practices

These tips keep dates visible in the lawyer portal.

  • Brokers: assign the lawyer as soon as the client chooses one, so key dates are visible early.

  • Brokers: keep the closing and subject removal dates current on the file; the portal shows whatever is saved.

Limitations and important behavior

These limits apply to what the lawyer portal shows and who can open the link.

  • No login and no expiry. Only deleting the lawyer's partner record stops the link.

  • View-only: no document uploads, no edits, no language switch, and no feature sheet.

  • Stages hidden from clients don't appear in the portal's stage list.
