Overview
The application signing flow is how each borrower signs the Client Consent Form and PEP Declaration (and, on British Columbia links, the Disclosure of Representation, BC Form 1A) as part of the Broki application, either inside the application or later from an emailed signing link. One signature per person is placed on all of that person's documents, and the signed copies are stored on the mortgage file automatically.
Clients use it in the Signatures step of the Broki application and on the signing page they open from an email. Brokers and processors use the Application documents card on the mortgage file's Compliance tab to see who has signed, copy or email a signing link, record a refusal, or issue documents for a borrower who has none.

These are the facts you need before you sign or send a signing link.
One signature per person goes on the Client Consent Form, the PEP Declaration, and Form 1A on BC links.
A co-borrower can use Not here — email a signing link. They get one email with Review & sign, and the link expires in 30 days.
Brokers follow up on Application documents with Copy signing link, Send signing link, Refused, or by issuing documents for a borrower who has none.
Before you begin
These are the requirements before a client can sign or a broker can send a signing link.
The client must be filling out a Broki application from an application link. The signing step is part of that application. It is not available on other application links your brokerage may use.
Form 1A is only included when the client opened one of the BC links (BC · Designated agency or BC · Brokerage agency). On a standard link, only the Client Consent Form and PEP Declaration are signed.
The Consent & Compliance step (CASL, credit check and PEP) must be completed before the application can be submitted.
For a co-borrower to receive a signing email, an email address must be entered for them in the application. Without one, the broker sends the link instead.
To create or resend signing links, you must be an active team member of the organization that owns the mortgage file.
Step-by-step instructions
The steps below cover signing in the application, signing from email, and the broker follow-up on the Compliance tab.
Sign inside the application (client)
Signing inside the application happens on the Signatures step, before Review & Submit.
Complete the application up to the Signatures step (shown as Sign on small screens). The step title is Sign your documents for one borrower, or Everyone on the application signs when there are several.
Read the list of documents under the title. It names what your signature goes on: the Client Consent Form and PEP Declaration, plus the Disclosure of Representation (BC Form 1A) on BC links.
On a BC link, review the Disclosure of Representation to Borrower (Form 1A) card. It shows the brokerage, the Mortgage broker(s) and Who acts for you (designated agency or brokerage agency). If there are several borrowers, use Preview copy for to switch between their copies. Select Download PDF to keep a copy.
On a BC link, tick "I, [your name], have read the Disclosure of Representation above and understand who is acting for me in this mortgage transaction."
In Full legal name as it should appear, type your full legal name.
Sign in the box. Use Draw to sign with a mouse or finger, or Type to type your name as a signature. Select Clear to start over.
When a borrower card shows Signed, continue to Review & Submit and select Submit Application.
What happens: your signature, with today's date, is placed on your documents when the application is submitted. On BC links it goes in the "Borrower Signature" box of the official Form 1A as well.
Let a co-borrower sign later by email (client)
A co-borrower can be marked Not here — email a signing link, and the primary applicant must still sign in the application.
In the Signatures step, find the co-borrower's card (labelled Co-borrower).
Select Not here — email a signing link. The card shows the Signing link by email badge and says where the email will go.
Before you continue: after you submit, the co-borrower receives one email at the address entered for them in the application. Check that the address is correct before submitting.
Submit the application as usual.
The primary applicant cannot defer. They must sign in the application. If a co-borrower has no email address on the application, the card says the broker will send them the signing link.
Sign from an emailed signing link (co-borrower or client)
The emailed signing page is where a co-borrower, or a client sent a link by the broker, signs every document still waiting for them.
Open the email titled "Please sign your mortgage application documents" (or "Please sign your …" for a single document) and select Review & sign.
The signing page opens with "Loading your documents…" and then shows how many documents need your signature.
In Your full legal name, type your full legal name.
Open each document tab, read it, and select Download PDF if you want a copy.
Tick the confirmation on each document. Form 1A uses "I have read the Disclosure of Representation and understand who is acting for me." The Client Consent Form uses "I have read the Client Consent Form and agree to a credit check and electronic communication." The PEP Declaration uses "I have read the Politically Exposed Person Declaration and confirm my answer is accurate."
Under Your signature, draw or type your signature. One signature is applied to all the documents.
Select Sign N documents (or Sign Form 1A / Sign document when there is only one). The button stays disabled until every document is confirmed, your name is entered and a signature is drawn or typed.
You see "Thank you — your documents are signed". Your broker has the signed copies on file, and you can close the page.
Decline to sign (client)
I decline to sign records a refusal on the file, and that same link cannot be used to sign afterwards.
Before you continue: declining is recorded on your file. You cannot sign that link afterwards.
On the signing page, select I decline to sign.
Confirm the prompt.
You see "Your response has been recorded". Contact your broker if you change your mind. They can issue a new signing link.
Check signing status and follow up (broker)
The Application documents card on the Compliance tab shows who has signed, who is waiting, and who refused.
Open the mortgage file and select the Compliance tab.
Find the Application documents card. It shows "{signed}/{total} signed" and one group per borrower. It always appears on BC files, and on other files once application documents exist.
Each document shows Signed, Awaiting signature or Refused, and a line like "Issued 2026-05-04 · link expires 2026-06-03".
Select View to open a document.
Copy or email a signing link (broker)
Copy signing link copies a link you send yourself, and Send signing link emails it from Broki.
In the borrower's group on the Application documents card, select Copy signing link next to an unsigned document. If the document has no active link (for example, it expired), the button reads New signing link and creates one.
The toast confirms "Signing link copied — it signs every document still waiting for this borrower. You send it." Nothing is sent automatically. Paste the link into your own message.
To email it from Broki instead:
Select Send signing link in the borrower's group header.
In the Send signing link window, check To, Subject and Message. The default subject is "Documents needed signed before we can review your file".
Before you continue: selecting Send emails the borrower a link that signs every document still waiting for them.
Select Send. You see "Signing link emailed to {email}". The email's button reads Open and sign.
Record a refusal (broker)
Refused records that the borrower will not sign the current document, and that link will not collect a signature.
Before you continue: marking a document refused stops it from being signed with its current link.
Next to an unsigned document, select Refused.
Confirm the prompt ("Record that … refused to sign …? No signature will be drawn."). You see "Refusal recorded".
Issue documents for a borrower who has none (broker)
Issue Form 1A + Consent for signature and Issue Consent for signature create documents, and a signing link, for a borrower who has nothing on file.
On the Application documents card, find Borrowers with nothing on file:, then pick the borrower.
Select Issue Form 1A + Consent for signature or Issue Consent for signature. Form 1A can only be issued on a BC file that has a confirmed BC application link behind it.
The toast confirms what was issued, for example "Form 1A + Consent issued for Jordan Example — signing link copied". Send the copied link, or use Send signing link.
The PEP Declaration needs the borrower's own Yes or No answer. To issue one separately, use Prepare compliance documents on the Compliance tab and choose the PEP Declaration (see Compliance tab).
Practical examples and other ways to use it
These examples show a co-borrower signing by email, a copied link, a resend, and a replacement after expiry.
Two borrowers, one at the desk. Alex Sample fills out the application with Jordan Example listed as co-borrower. Jordan is travelling, so Alex selects Not here — email a signing link on Jordan's card and submits. Jordan gets one email at [email protected] and signs Form 1A, the Client Consent Form and the PEP Declaration together.
Co-borrower with no email. If the application has no email for the co-borrower, open the Compliance tab after submission, select Copy signing link in their group, and text or email it from your own account.
Client lost the email. Use Send signing link to resend. The new email covers every document still waiting for that borrower.
Link expired. Select New signing link and send the new link to the client.
Common mistakes and how to avoid them
These mistakes cover the co-borrower email, a copied link that is not sent, and a cleared BC signature.
Mistake: deferring a co-borrower without checking their email. The signing email goes to whatever address was typed in the application. If it is wrong, the co-borrower never gets it. Fix: send a new link from Send signing link with the right address. Prevent: confirm the co-borrower's email in the application before submitting.
Mistake: assuming Broki sends a copied link. Copy signing link only copies the link. Fix: paste it into an email or text, or use Send signing link. Prevent: use Send signing link when you want Broki to send it.
Mistake: signing an old BC link after the broker changed the disclosure. If the disclosure behind a BC link has changed, a signature captured earlier in the application is cleared and must be redone. Prevent: always use the most recent link from your broker.
Troubleshooting
Each heading below is a message from the signing page, the Signatures step, or Send signing link, with the fix under it.
"This signing link has expired. Ask your mortgage broker to send a new one."
This message means the signing link is past its 30-day limit.
Possible causes
Signing links expire 30 days after they are issued.
Check first
On the Application documents card, the document line shows when its link expires.
To fix
Broker: select New signing link next to the document, or Send signing link for the borrower.
Send the new link to the client.
Confirm it worked
The client opens the new link and sees the documents to sign.
"A newer version has been issued. Ask your mortgage broker for the new link."
This message means the link the client opened was retired because a replacement copy was issued.
Possible causes
The broker issued a replacement copy, so the older link was retired.
To fix
Broker: send the current link with Copy signing link or Send signing link.
Confirm it worked
The new link opens the signing page.
"These documents have already been signed. Nothing more to do."
This message means this person has already signed, in the application or from this link.
Possible causes
The person already signed from this link or in the application.
Check first
On the Compliance tab, the documents show Signed.
To fix
Nothing needed. The broker already has the signed copies.
"You previously declined to sign. Contact your mortgage broker if that has changed."
This message means a refusal was already recorded for this link.
Possible causes
I decline to sign was used on this link, or the broker recorded a refusal.
To fix
Client: contact your broker.
Broker: issue fresh documents for the borrower (see "Issue documents for a borrower who has none" above), then send the new link.
"This signing link is not valid."
This message means the link was changed or cut off before it was opened.
Possible causes
The link was cut off or changed when it was copied or forwarded.
To fix
Open the link directly from the original email, or ask the broker to send it again.
Contact support if
A link copied straight from Copy signing link shows this message. Include the borrower name, the time you opened it, and a screenshot with personal data hidden.
"We could not load these documents right now. Please try again shortly or contact your mortgage broker."
This message means the signing page could not load the documents.
Possible causes
The signing page could not load the documents.
To fix
Reload the page once.
If it still fails, contact your broker.
Contact support if
The broker sees the same thing when opening the link. Include the borrower name, the approximate time, and a screenshot.
Can't continue past Signatures: "Each co-borrower needs to sign now or be marked to sign by email link."
This message means a co-borrower card has neither a signature nor an email signing choice.
Possible causes
A co-borrower card has neither a signature nor Not here — email a signing link selected.
To fix
On each co-borrower card, either sign or select Not here — email a signing link.
Confirm it worked
Each card shows Signed or Signing link by email, and Continue moves on.
"Please confirm you read the Disclosure of Representation and sign before continuing."
This message means a BC Form 1A confirmation is unticked or the signature box is empty.
Possible causes
On a BC link, the Form 1A confirmation is not ticked or the signature box is empty.
To fix
Tick the Form 1A confirmation on each signer's card.
Draw or type a signature.
"Send signing link" shows "The email could not be sent"
This message means Broki could not send the signing email.
Possible causes
The email could not go out from your account.
Check first
The To address is valid. An invalid address shows "Enter a valid email address".
Your mailbox is connected under Settings > Connections (in the Integrations group).
To fix
Correct the address, or reconnect your mailbox, and select Send again.
As a fallback, use Copy signing link and send it from your own email.
Contact support if
It still fails with a valid address. Include the loan code, the exact message, and the time.
Tips and best practices
These tips keep signing in the application when you can, and make the follow-up email easy to spot.
Have every borrower present when you can. Signing in the application avoids a follow-up email and a 30-day clock.
After submission, check the Application documents card the same day so you can follow up on any Awaiting signature items quickly.
Use Send signing link rather than copying when you want Broki to send the email, so the borrower gets a message with an Open and sign button.
Limitations and important behavior
These limits cover one signature per person, the 30-day link, and what is stored after submit.
One signature per person is reused across all of that person's documents, with the date of signing.
A signing link signs every document still waiting for that person, not just the one you clicked.
Signing links expire after 30 days.
The automatic co-borrower email is sent only when Not here — email a signing link was chosen and the co-borrower has an email address on the application.
If the primary applicant's signature is missing at submission, the documents are issued unsigned and need a signing link.
Signature images are not kept in the stored application answers. They live only on the signed documents.
Signed application documents appear on the Compliance tab and in the file's documents.
Frequently asked questions
These questions cover separate co-borrower links, downloads, the broker's mark, and decline.
Does each co-borrower get their own signing link? Yes. Each deferred co-borrower gets their own email and link, covering only their documents.
Can I download the documents before I sign? Yes. Each document has Download PDF, both in the application (Form 1A preview) and on the signing page.
Is my broker's signature already on the documents? Yes. The broker's mark is applied when the documents are generated, using the signature drawn when the link was sent, then the broker's saved signature, then their typed name.
Will my broker get an email if I decline to sign? The refusal is recorded and shows as Refused on the Compliance tab. Check that card rather than waiting for an email.
