Templates Section

The Templates section (Sidebar → Templates) is Broki’s central library for reusable content.

Templates power automation and consistency across the platform by allowing brokers to create, save, and reuse:

  • Document request templates

  • Document batches

  • Question templates

  • Task templates

  • Email templates (Simple + Build From Scratch)

  • Notes templates (may be phased out)

  • Message templates (may be phased out)

Most template types are global, meaning once created, they can be used across:

  • Mortgage Files

  • Contacts

  • Partners

  • Document reminders

  • Scenario updates

  • Offer updates

  • Email composer modules

Templates are the content engine behind Broki workflows.


Why Templates Exist

Templates are designed to:

  • Save time

  • Standardize client experience

  • Improve team consistency

  • Increase workflow speed

  • Reduce human error

They are especially valuable for:

  • High-volume brokers

  • Team environments

  • Standardized underwriting processes

  • Recurring email follow-ups


Template Types

At the top of the Templates section, you’ll see tabs for each template type.


1. Document Templates

Purpose

Document Templates power the Document Request system inside mortgage files.

When you go to:

Mortgage File → Documents → Request Document

The selectable list pulls directly from Document Templates.


Create a Document Template

  1. Go to Templates

  2. Default tab: Document Templates

  3. Click Add Template

  4. Enter:

    • Title

    • Description

    • Optional sample document

    • Category

    • Priority level

  5. Click Save

You can edit or delete templates anytime.


Alternate Creation Method

From inside a file:

Mortgage File → Documents → Request Document → Custom Request

Create the request and toggle Save for future use.

This creates the request and stores it as a reusable template.


NEW – Organizing Templates with Folders (Feb 2026)

You can now organize templates using folders.

How to Create Folders

  1. Go to Templates

  2. Click the + button on the left sidebar

  3. Name the folder

  4. Drag or assign templates into the folder

This is essential for large template libraries.


Document Request Module Update

Inside:

Mortgage File → Documents → Request Document

You now have a dropdown to select:

  • Category
    OR

  • Folder

Selecting a folder automatically pulls all document templates inside that folder.

This significantly improves batch document workflows.


2. Document Batches

Purpose

Document Batches group multiple document templates into one selectable bundle.

Example:

Employee Documents Batch

  • Letter of Employment

  • Pay Stubs

  • T4

  • Notice of Assessment


Create a Document Batch

  1. Go to Templates

  2. Click Document Batches tab

  3. Click Create Document Batch

  4. Enter:

    • Batch name

    • Description

    • Select included document templates

  5. Click Save

You can preview, duplicate, edit, or delete batches.


3. Question Templates

Purpose

Broki supports two request types:

  • Document (file upload required)

  • Question (text response required)

Question templates allow clients to submit answers instead of files.

Examples:

  • “Who is your preferred solicitor?”

  • “Do you have a gifted down payment?”

  • “What is your planned closing date?”


Create a Question Template

  1. Go to Templates

  2. Open Question Templates

  3. Click Add Question Template

  4. Enter:

    • Title / Question

    • Description

Category is locked to Questions and cannot be changed.


4. Task Templates

Purpose

Task templates standardize repetitive operational tasks.

They can be used inside:

  • Mortgage File → To-Dos

  • Contact → To-Dos

  • Partner → To-Dos

  • Global To-Dos page


How They Work

When creating a task:

  • Select a template

  • Title and description auto-fill

  • Adjust and assign

This supports team efficiency and consistency.


5. Email Templates

Email templates are the most important template system in Broki.

They are used in:

  • Document reminders

  • Offer updates

  • Scenario updates

  • Partner updates

  • General email composer modules

  • Marketing campaigns

Broki supports two builders:

  • Simple Email Builder (recommended for daily operations)

  • Build From Scratch Builder (newsletter/marketing)


5.1 Simple Email Builder (Recommended)

Purpose

Creates emails that look like normal Gmail or Outlook emails.

Feels:

  • Personal

  • Professional

  • Less automated


Create a Simple Email Template

  1. Go to Templates

  2. Open Email Templates

  3. Click Add Template

  4. Select Simple Email Builder

  5. Enter:

    • Template name

    • Subject line

    • Email body

  6. Save


Simple Builder Tools

You can:

  • Change fonts

  • Bold / italic / underline

  • Align text

  • Add lists

  • Insert tables

  • Highlight text

  • Insert links

  • Embed video links (Loom, BombBomb, etc.)


Email Variables

Insert dynamic variables such as:

  • Client first name

  • Last name

  • Email

  • Phone

  • Other supported file/contact fields

Variables auto-populate when sending.


Where Simple Templates Are Used

Available in:

  • Document reminders

  • Offer updates

  • Scenario updates

  • Partner updates

  • Email Composer

  • Other messaging workflows


5.2 Build From Scratch Email Builder (Newsletter Builder)

Purpose

Designed for visually formatted emails such as:

  • Newsletters

  • Drip campaigns

  • Marketing announcements


Builder Blocks

Includes:

  • Headings

  • Text blocks

  • Images

  • Buttons

  • Dividers

  • Spacers

  • Columns

  • Social links

  • Video

  • Custom HTML


Major Builder Improvements (Updated Feb 2026)

The Build From Scratch builder now includes:

  • Video embedding support

  • Two-column layouts

  • Side-by-side sections

  • Move blocks up/down with arrow controls

  • Improved formatting stability

This significantly improves marketing email design flexibility.


Layout / Design / Settings Tabs

Inside the builder you’ll see:

  • Layouts

  • Design settings

  • Template Settings (name, subject, preview text)


Best Practice Recommendation

Use Build From Scratch for:

  • Marketing newsletters

  • Branded campaigns

  • Drip sequences

Use Simple Builder for:

  • Daily broker communication

  • Client updates

  • Document reminders

  • Underwriting follow-ups


Email Composer Update (Feb 2026)

Inside Email Composer → Click Templates, you now see:

  • Rich Text (Simple Email Templates)

  • Newsletter (Build From Scratch Templates)

Newsletter templates correspond to the Build From Scratch builder.

This update affects:

  • Templates Article

  • Email Builder documentation

  • Email Composer documentation


6. Notes Templates (May Be Phased Out)

Notes templates allow standardized note content inside:

  • Mortgage file notes

  • Contact notes

  • Partner notes

They may also populate scenario notes.

Product direction indicates notes templates may be replaced by Email Templates long-term.


7. Message Templates (Legacy – May Be Phased Out)

Message templates are legacy and may be removed.

The platform direction is toward:

Email Templates powering all messaging systems.

Most template tabs allow you to:

  • View templates

  • Edit

  • Delete

  • Duplicate

  • Preview


Best Practices for Building a Template Library

Document Templates

Group by:

  • Income documents

  • Down payment documents

  • Banking documents

  • ID documents

  • Property documents

  • Self-employed business documents


Document Batches

Create batches by borrower type:

  • Employee batch

  • Self-employed batch

  • Rental property batch

  • Purchase batch

  • Refinance batch


Email Templates

Organize by workflow:

  • Application sent

  • Document reminder

  • Conditional approval update

  • Offers comparison

  • Qualification update

  • Closing instructions

  • Post-funding homeowner kit

  • Review request


Common Mistakes

  • Creating manual document requests repeatedly

  • Not using document batches

  • Using Build From Scratch for daily client emails

  • Poor template naming

  • Relying heavily on notes/message templates if phasing out
