A properly configured Settings area ensures:
• Automations work correctly
• Emails send properly
• Client portal reflects your brand
• Pipeline matches your process
• Team permissions are controlled
This guide walks through every major Settings area and how to configure each one.
1. Company Settings
Location:
Settings → Company
This section controls your branding and business identity across the platform.
You can configure:
Company Name
Business Address
Phone Number
Email
Logo
Brand Colors
Why This Matters:
Your branding applies to:
• Document reminder emails
• Pre-approval scenarios
• Offer presentations
• Client portal
• Automated communications
If your branding is missing or incorrect, client-facing materials will look generic.
Best Practice:
Upload a high-resolution logo and match your brand colors for consistency.
2. Email Integration (Gmail / Outlook)
Location:
Settings → Integrations → Email
You must connect Gmail or Outlook to:
• Send document reminders
• Send stage update emails
• Send pre-approval scenarios
• Send offer presentations
• Log communications inside files
Important:
When connecting Gmail or Outlook, you must approve ALL permissions.
If emails are not sending:
Disconnect and reconnect your email.
Without email connected, Broki will default to noreply emails and some automations will not function properly.
3. LOS Integrations (Velocity & Finmo)
Location:
Settings → Integrations → Origination Platforms
This allows Broki to sync with Velocity or Finmo.
You must configure BOTH:
Webhook → Automatically creates files
API Key → Pulls updated deal data
Velocity Setup:
• Request API using domain preview.broki.ca
• Enter API key
• Paste webhook URL into Velocity
• Ensure webhook triggers are enabled
Finmo Setup:
• Enter API key
• Enter Team ID
• Configure webhook exactly as provided
If files are not auto-creating, it is almost always a webhook configuration issue.
If data is not updating, it is likely an API issue.
4. Pipeline Settings
Location:
Settings → Pipeline
This controls your deal tracking workflow.
You can:
Create multiple pipelines (Purchase, Refinance, HELOC, etc.)
Rename stages
Reorder stages
Add or remove stages
Configure client portal visibility
You also configure:
Lead Stages (Hot / Warm / Cold tracking)
Active Pipeline (Live deals)
Completed Pipeline (Renewals tracking)
Why This Matters:
Automations depend on stage names.
If you rename a stage, update your automations.
Best Practice:
Separate refinance and purchase pipelines to avoid process confusion.
5. Portal Settings
Location:
Settings → Portal
This controls what clients see inside their client portal.
You can:
Hide specific stages from client view
Control branding visibility
Adjust portal messaging
If a stage should not be visible to clients:
Toggle “Hide from Client Portal.”
This keeps internal workflow stages private.
6. Automations Settings
Location:
Settings → Automations
Automations are configured in their own section, but settings affect:
Workflow triggers
Stage mapping
Assigned team members
Best Practice:
Use ONE trigger per workflow.
Add delays and multiple actions under that single trigger.
Avoid multiple triggers in one workflow.
7. Template Settings
Location:
Settings → Templates
This includes:
Document Templates
Document Batches
Question Templates
Task Templates
Email Templates
Note Templates
You can create reusable components that power:
Document requests
Checklist tasks
Automated emails
Client communication
Best Practice:
Use the Simple Email Builder for operational emails.
Use Build From Scratch for newsletters.
8. Sidebar Customization
Location:
Settings → Profile → Sidebar Layout
You can:
Hide unused sidebar tabs
Reorder sidebar items
This allows you to simplify the interface for your workflow.
9. Mortgage File Tab Configuration
Location:
Settings → Mortgage File Tabs
You can:
Reorder tabs
Hide tabs
Customize layout
If your team does not use certain features, hide them to reduce clutter.
10. Team Management & Permissions
Location:
Settings → Team
You can:
Invite team members
Assign roles
Control access levels
Revoke access
Important:
You are responsible for actions taken by your team members.
Ensure:
• Team members use individual logins
• Permissions match responsibility level
Never share login credentials.
11. Commission Settings
Location:
Settings → Commission
This controls how commission is tracked across files.
You can:
Configure default commission splits
Adjust team allocation
Track total commission volume
Commission data flows into:
Portfolio
Referrer tracking
Contact lifetime value
12. Renewal Tracking Settings
Location:
Settings → Maturity & Renewal Settings
This controls:
How completed files enter renewal tracking
When files appear in maturity reports
If renewal tracking looks incorrect, check your maturity configuration.
13. Booking & Calendar Settings
Location:
Settings → Booking
You can:
Create booking calendars
Set buffer times
Set availability hours
Auto-assign lead stages
Configure cancellation rules
When someone books:
• Event is created
• Note is created
• Task is created
Currently:
Google & Outlook two-way sync is in roadmap.
14. Compliance Configuration
Location:
Settings → Compliance
Controls how documents are merged and prepared for compliance submission.
You can:
• Configure default export formatting
• Manage document organization
Remember:
Velocity has a 10MB file upload limit.
15. Custom Fields (When Available)
Location:
Settings → Custom Fields
Allows you to:
Add custom data fields to:
• Contacts
• Mortgage Files
• Partners
These fields can be mapped into:
• Email variables
• Automations
This is part of ongoing roadmap development.
16. Notifications & Preferences
Location:

• In-app notifications
• Email alerts
