Getting Started With Broki

Welcome to Broki. This guide walks you through the essential setup steps so you can go from zero to fully operational quickly and correctly.

We recommend completing these steps in order.

Step 1: Connect Velocity or Finmo (LOS Integration)

This is the most important technical setup step.

Connecting your LOS allows:

• Automatic file creation when applications are submitted
• One-click data pulls to fetch updated mortgage details
• Reduced duplicate data entry
• Workflow automation inside Broki

You must configure BOTH:

Webhook → Creates files automatically
API Key → Pulls updated deal data

If one is missing, the integration will not work properly.

Velocity Setup:
• Request API under the domain preview.broki.ca
• Paste API key into Broki
• Copy webhook URL from Broki into Velocity
• Ensure webhook triggers are enabled

Finmo Setup:
• Enter API key
• Enter Team ID
• Configure webhook exactly as shown in Broki

If files are not auto-creating, it is almost always a webhook configuration issue.

Step 2: Configure Your Client Journey (Pipeline Setup)

Your pipeline is your operational backbone.

You will configure three areas:

Lead Stages
Tracks how hot or cold a lead is.

Active Pipeline
Tracks deal progress from application to funding.

Completed Pipeline
Tracks renewals and post-funding portfolio.

Go to:
Settings → Pipeline

You can:
• Create multiple pipelines (purchase vs refinance)
• Customize stage names
• Hide stages from client portal
• Set renewal timelines

The better your pipeline setup, the smoother your automation will run.


Step 3: Connect Your Email (Gmail or Outlook)

Connecting your email allows:

• Document reminders to send from your email
• Pre-approval scenarios to send professionally
• Offer updates to send automatically
• Communication to log inside files

Go to:
Settings → Integrations → Email

Connect Gmail or Outlook and approve ALL permissions.

If emails fail to send:
Disconnect and reconnect your email.

Without email connected:
Stage updates and document reminders will not send properly.


Step 4: Import Mortgage Files

If you are transitioning from Velocity or Finmo, you can mass import files.

Process:

  1. Export a report from Velocity or Finmo

  2. Include Loan Code, Client Name, Email

  3. Upload CSV into Broki importer

  4. Create files

  5. Select all and use Mass Pull

This fetches:
• Mortgage details
• Contacts
• Deal data

You can also import historical notes by mapping:
• Note Title
• Note Content


Step 5: Configure Company Branding

Branding ensures all client-facing materials look professional.

Go to:
Settings → Company Settings

Set:
• Company logo
• Brand colors
• Contact details
• Signature details

These apply to:
• Document reminders
• Pre-approval scenarios
• Offer updates
• Client portal


Step 6: Add Team Members

Invite your team so you can collaborate efficiently.

Go to:
Settings → Team → Invite Member

Team members can:
• Manage files
• Move pipeline stages
• Review documents
• Use automations
• Send emails

Ensure permissions are configured correctly.

You remain responsible for team member activity under your account.


Step 7: Send a Document Request

This is where the real workflow begins.

Go to:
Pipeline → Open Mortgage File → Documents Tab

Click:
Create Document Request

Add:
• Individual templates
• Document batches
• Custom questions

After creating requests, click:
Document Reminder

Important:
Creating a request does NOT send an email.
The Document Reminder sends the email.

Clients receive:
• Email notification
• Access to Client Portal
• Upload access

Recommended Setup Order Summary

  1. Connect LOS (Velocity or Finmo)

  2. Connect Email

  3. Configure Pipeline

  4. Import Files

  5. Set Branding

  6. Add Team

  7. Send First Document Request
