Overview
The Logs tab shows a searchable history of activity on a mortgage file: who did what and when, such as stage changes, document uploads, offers, reminders, and team actions. Use it to answer "who changed this?" or to export a record of file activity.
Also called: Activity logs.
Brokers, processors, and admins use it when reviewing a file, handing it over, or checking what happened while they were away. Logs is hidden by default, so you need to turn it on in your tab preferences first.
At a glance
The Logs tab is the activity history for a mortgage file.
The tab is hidden until you turn it on in Settings > Preferences > Mortgage file tabs. Collaborators cannot see it.
Filter by All, Team, Documents, Offers, or Reminders, then search or use the severity filter.
Export downloads a CSV of the entries that are currently filtered.
The log is read-only. A file with no recorded activity can show example rows that are not real events.
Before you begin
Check these requirements before you open the Logs tab.
Turn on the tab: go to Settings > Preferences > Mortgage file tabs, select the eye icon next to Logs, and select Save changes. You see "Tab preferences saved! Backed up to database." See Sidebar and display preferences.
Collaborators from another organization cannot see the Logs tab.
Step-by-step instructions
Use these steps to review activity and export it from the Logs tab.
Review activity on a file
Review activity on a file when you need to see who did what and when.
Open the mortgage file and select Logs in the file sidebar. The page is titled Activity logs ("Track all file activities and changes").
Select a category: All, Team, Documents, Offers, or Reminders.
Type in the search box ("Search activities, users, or descriptions..."). You can search by activity, user name, or a date such as "Sep 3, 2026".
Optional: select Filters and use Severity filter to show only info, success, warning, or error entries.
Read the table: Activity, User, Date, Time, and Status. Actions taken by a collaborator show a Collaborator badge.
Use the page arrows to move through results. Each page shows 13 entries, and the footer reads "Showing X–Y of N entries".
Select Refresh to load the latest activity.
Export the log
Export the log when you want a spreadsheet of the activity you are looking at.
Apply any category, search, or severity filters you want.
Select Export.
A CSV file downloads with the filtered entries. Columns are Date, Time, User, Type, Action, Description, and Severity.
Practical examples and other ways to use it
These examples show ways to search and export the Logs tab.
Find who moved the stage. Select All, search "stage", and check the User column.
Check document activity before a lender submission. Select Documents to see uploads and status changes in one list.
Keep a file record. One way to use this: when a file funds, export the log and save the CSV with your file records.
Common mistakes and how to avoid them
If one of these happens on the Logs tab, use the fix under that mistake.
Looking for the tab on a new file. Logs is hidden by default. Turn it on in Settings > Preferences > Mortgage file tabs.
Exporting with a filter still on. Export includes only what is currently filtered. Select All and clear the search before exporting the full list.
Relying on categories alone. Categories are assigned from words in the activity, so some entries may land in All only. Use search if a category looks incomplete.
Troubleshooting
Use this section when the Logs tab will not load or your search shows nothing.
"Failed to Load Activity Logs"
You see "Failed to Load Activity Logs" when the activity list did not load.
Possible causes: a temporary connection problem.
To fix:
Select Retry.
If it fails again, reload the page.
Confirm it worked: the activity table appears.
Contact support if it keeps failing. Include the file's loan code and the time you tried.
"Some logs may be incomplete due to a temporary data source issue."
You see "Some logs may be incomplete due to a temporary data source issue." when one activity source did not load.
Possible causes: one of the activity sources did not load.
To fix:
Select Refresh.
Confirm it worked: the message is gone.
"No matching activity entries found."
You see "No matching activity entries found." when the current filters exclude every entry.
Possible causes: your search, category, or severity filter excludes everything.
To fix:
Select All.
Clear the search box.
Reset the severity filter.
Tips and best practices
Use these practices when you search the Logs tab.
Search by date text, such as "Sep 3", to see everything that happened on one day.
Use the severity filter for warnings and errors when something went wrong on a file. It narrows a long list quickly.
Limitations and important behavior
These limits apply to what the Logs tab shows.
The tab loads the most recent activity (up to about 100 entries from each activity source). Older activity on very busy files may not appear.
Only five page numbers show at once. Use the arrows to go further.
On a file with no recorded activity, you may see a few placeholder rows such as "Mortgage file created", "File stage updated", and "Document uploaded" by "System" or "User". These are examples, not real activity.
The log is read-only. You cannot edit or delete entries.
