This document covers the Leads page in Broki — your tool for managing contacts before they become mortgage files. It covers lead stages, creating contacts, sending applications, filtering, mass actions, associating leads with mortgage files, and what is coming next for the leads section.

1. What the Leads Page Is
The Leads page is where you manage your contacts before they become active mortgage files. Think of it as your pre-pipeline — a place to track everyone who is in your funnel, nurture them through your process, and send them an application when they are ready.
Before the pipeline | The Leads page handles everyone who is not yet in your pipeline — prospects, referrals, pre-application contacts, and people you are nurturing toward filling out an application. |
After the pipeline | Once a lead fills out an application, they should automatically move to the In Deal tab and associate with their mortgage file in your pipeline — leaving the Leads page clean and focused on pre-application contacts only. |
2. The Four Lead Stage Types
The Leads page has four categories of stages. Two are system-controlled and cannot be removed. Two are fully customizable.
All Contacts (system) | Shows every contact regardless of stage. This is the default view and cannot be removed. |
In Deal (system) | Contacts who have filled out an application and have been associated with a mortgage file are automatically moved here. This stage cannot be removed — it is how the system signals that a lead has progressed to a file. |
Archived (system) | Contacts you have archived. Cannot be removed. |
Custom stages (fully yours) | Everything else — the stages you create to match your own pre-application process. Examples: Booked Call, Not Ready, Application Sent (Not Urgent), Application Sent (Urgent). You create these in Settings and can have as many as you need. |
3. Setting Up Custom Contact Stages
By default, the only stages available are All Contacts, In Deal, and Archived. All other stages must be created manually in Settings before they appear on the Leads page.

How to add a custom stage
1 | Go to Settings → Pipelines → Contact Stages Navigate to the Contact Stages section in your pipeline settings. |
2 | Click Add Stage Click the Add Stage button to create a new stage. |
3 | Give it a name Enter a name that describes where the lead is in your pre-application process (e.g. 'Booked Call', 'Not Ready', 'Application Sent — Urgent'). |
4 | Add a description (optional) Add an internal description for your team's reference if needed. |
5 | Click Add The stage is created and appears on your Leads page. |
6 | Reorder stages Drag the stages using the handles on the side to put them in the order that matches your process. |
Best practice: Design your stages to reflect the actual steps you take before sending someone an application. Common examples: Booked Call → Not Ready → Application Sent (Not Urgent) → Application Sent (Urgent). Keep it simple — too many stages creates friction.
4. Creating a New Lead
When you want to add a new contact to your leads pipeline, you create them directly from the Leads page.
How to create a lead
Click the + (plus) button at the top of the Leads page.
Enter the contact's first name and last name.
Add at least one of the following: email address or Instagram handle. A name plus one contact method is the minimum requirement.
Optionally select or type a lead source (e.g. Instagram, Referral, Facebook, Google) to track where this contact came from.
Optionally add a note directly in the creation form — useful for capturing the context of how you met them or what they are looking for, without having to go into the contact afterward.
Click Add Contact. The lead appears in the All Contacts view.
You only need a name and one piece of contact info (email or Instagram) to create a lead. You can fill in additional details by clicking into the contact after it is created.
5. Moving Leads Through Stages
Just like the pipeline, you manage lead progression by dragging and dropping contacts between stage columns.
Find the contact card in the Leads page.
Drag the card and drop it into the destination stage column.
The lead now shows in that stage.
The Leads page uses the same drag-and-drop mechanic as the main pipeline board. If you are comfortable with the pipeline, this will feel identical.
6. Setting Up Your Application Link (Required Before Sending)
Before you can send an application to a lead, you must have your application link saved in Broki. This is a one-time setup. Without it, the Send Application button will not include a working link.
📍 Settings → Application Settings
Go to Settings → Application Settings.
Find the Velocity Application Link field.
Paste your full Velocity application URL into the field.
Click Save Settings.
Once saved, every application email sent from the Leads page will include a button at the bottom linking the client directly to your Velocity application.
Your Broki application link is also visible on this page. However, as of the time this document was written, pushing Broki application submissions back into Velocity is not yet live. Use your Velocity link for now.
⚠ If you skip this step, the Complete the Mortgage Application button in your application emails will not have a working destination URL. Always configure your application link before sending applications to leads.
7. Sending an Application to a Lead
When a lead is ready to fill out a mortgage application, you can send it directly from the Leads page — no need to navigate away or copy links manually.
How to send an application
1 | Click Send Application Click the Send Application button at the top of the Leads page. |
2 | Search for the contact In the send module, search for the lead you want to send to by name. |
3 | Review or select a message template A default template is pre-loaded. It thanks the client for trusting you with their mortgage and sets expectations about the process. You can use this default or select any of your saved email templates from the template selector. |
4 | Confirm the application link is working The email will include a Complete the Mortgage Application button that links to your saved Velocity application URL. Make sure Step 6 (Application Settings) has been completed first. |
5 | Send Review and click Send. The application email is sent to the lead. |
Best practice: Create a custom email template for your application send. Include your intro, what to expect, how long it takes to complete, and any other context that helps the client feel prepared. Load it from your templates instead of using the default every time.
8. Filters — Basic and Advanced
The Leads page has filtering options to help you focus on specific subsets of your contacts.
Basic filters
Basic filter buttons appear at the top of the Leads page for quick one-click filtering.
Advanced filters
Click the Filters button to open the full filter sidebar.
All available filter options slide out on the side.
Filter by lead source, stage, date added, assigned owner, tags, and more.
Combine multiple filters to narrow down to exactly the contacts you need.
9. Mass Actions
You can select multiple leads and perform bulk operations on all of them at once — useful for reorganizing, assigning, or tagging large groups of contacts efficiently.
How to use mass actions
Click the checkbox on any lead card to select it.
Select additional cards as needed, or use Select All to select all visible contacts.
The mass actions bar appears at the top of the page.
Available mass actions
Change stage | Move all selected leads to a different contact stage at once. |
Mark as in progress | Flag selected leads as actively being worked on. |
Send an email to all selected leads simultaneously. | |
Add tag | Apply a tag to all selected leads for filtering and organization. |
Remove tag | Remove a tag from all selected leads. |
Assign owner | Assign all selected leads to a specific team member. |
10. Importing and Exporting Contacts
Import contacts | Use the Import button to bulk upload a list of contacts from a CSV file. Useful when migrating from another CRM or importing a list of prospects. |
Export contacts | Use the Export button to download your current leads list as a CSV file for reporting, backups, or use in another tool. |
Both import and export buttons are located at the top of the Leads page near the filter controls.
11. Associating a Lead With a Mortgage File
When a lead fills out an application, Broki should automatically detect the match and move that contact to the In Deal tab — linking them to their mortgage file in your pipeline. This is the expected automatic flow.
When automatic association works
The client fills out the Velocity or FINMO application using the link you sent from the Leads page.
Their application creates a file in the pipeline via webhook.
Broki recognizes the matching contact and automatically moves the lead to the In Deal tab.
The lead is now associated with the mortgage file.
When to associate manually
If the automatic association does not happen — for example, if the client filled out the application through a different channel — you can manually link the lead to their file.

Once a lead is in the In Deal tab, the Leads page is clean and only shows contacts who still need to progress to an application. This keeps your leads view focused on actual prospects, not clients already in your pipeline.
12. Upcoming Features
🔜 COMING SOON: Facebook and Instagram lead integration — incoming leads from your Facebook and Instagram ads will be able to funnel directly into the Leads page automatically, without any manual data entry. Stay tuned for updates on this feature.
🔜 COMING SOON: Additional automations for the leads section — more automation options specific to the pre-application stage of your workflow will be added to give you more control over how leads are nurtured and progressed.
