1. What the E-Signing Feature Is
Broki includes a fully built-in e-signing tool — no third-party subscription required and no per-envelope charges. You can send signing packages directly from within a mortgage file, get fully signed documents back, and generate a verified certificate that lenders can validate.
Cost | Included in Broki at no additional charge. Unlimited use — no per-envelope fees. |
Certificate validation | Every completed signing package generates a certificate with a unique ID that can be verified directly on the Broki website. Lenders can click the link to validate. |

Most lenders we have tested with accept the Broki e-signing certificate without issue. If a lender pushes back, simply generate the certificate and share the validation link — it shows the full verified breakdown.
2. Where to Find E-Signing
E-signing exists in two places within Broki:
Within a mortgage file | Open a mortgage file from the pipeline → click the E-Signing tab on the left sidebar. This is where you create and manage packages for that specific file. |
Global e-signing page | On the main sidebar of the platform (outside of any file), there is a dedicated E-Signing page. This gives you an overview of all packages across all files — sent, draft, completed, voided, templates, and certificates. |
3. Creating a Signing Package
📍 Pipeline → open file → E-Signing tab → Create Package
Click Create Package (or the equivalent create button).
Give the package a title (e.g. 'TD Approval Package', 'Credit Consent', 'Commitment Letter').
Optionally add an email description — a short message that appears in the email the client receives (e.g. 'Please sign these documents at your earliest convenience').
Upload your documents or select from documents already in the file's Documents tab (see Section 4).
Add the signers (see Section 5).
Proceed to configure field positions (see Section 6).
4. Uploading Documents
You can upload documents directly into the signing package from your computer.
You can also select documents that have already been uploaded to the file's Documents tab — no need to re-upload them.
Add as many documents as needed for the package.
If multiple documents are added, they can be toggled between in the field configuration view using the page/document selector.
5. Adding Signers
Click the signer selector to add recipients.
Anyone already linked to the mortgage file (clients, co-borrowers, contacts) will appear in the dropdown for easy selection.
You can also add new signers by entering their details manually.
Add as many signers as required — each signer gets their own set of fields assigned to them.
Optionally add a note for any signer.
6. Configuring Field Positions
After adding documents and signers, you enter the field configuration view where you drag and drop signing fields onto the document.
Available field types
Signature | A full signature field — clients draw or type their signature. |
Initial | An initials field for shorter confirmations. |
Date | Auto-populated with the date signed. |
Checkbox | A tickbox for confirmations or acknowledgements. |
Text field | A free-form text entry field for any custom input. |
How to place fields
Select the signer you are placing fields for using the signer tabs at the top of the configuration view.
Drag the field type from the sidebar and drop it onto the document in the correct position.
Click any placed field to see formatting options on the side panel — including field type, required/not required toggle, and sizing.
Switch between document pages using the page toggle if the package has multiple pages.
Repeat for each signer.
Each field is assigned to a specific signer. Make sure you have the correct signer selected before placing each field — the signer assignment is visible on the field itself.
7. Saving as Draft
Click Save as Draft to save your work in progress without sending.
To return to a draft, click the History tab at the top of the E-Signing tab.
The History tab shows all packages including those with a Draft status.
Click on a draft and select Continue Placing Fields to pick up exactly where you left off.
Best practice: Have a team member or VA create the draft and place the fields, then you do a final review before sending. The draft workflow makes this easy — they save it, you open it from History and send.
8. Saving Templates — Positions Only vs. Document + Positions
Templates save you from placing fields from scratch every time. There are two types of templates, and understanding the difference is important for using them correctly.
Positions only | Saves only the field positions and configurations (not the document itself). Use this for packages where the document changes each time (e.g. a new approval letter for each client) but the signing positions stay the same. You load the template to place fields instantly, then swap in the new document. |
Document + positions | Saves both the document AND the field positions. Use this for packages where both the document and the signing spots are always the same (e.g. a standard credit consent form). When you load this template, the document and all fields are already in place — just add the recipient and send. |
How to save a template
After placing all fields, click Save as Template.
Give the template a name (e.g. 'TD Approval Package', 'Credit Consent Form', 'Commitment + Schedule A').
Select Positions Only or Document + Positions depending on the type (see table above).
Click Save Template.
How to load a template
In the field configuration view, click Choose From Templates.
Select the template you want.
The fields (and document, if Document + Positions) are placed automatically in the correct positions.
Best practice: Save a template for every recurring signing package. For approvals (where the document changes but positions stay the same), use Positions Only. For standard forms like credit consent that never change, use Document + Positions. You only need to set it up once.
9. Sending the Package
Once fields are placed and you are ready to send, click Send Package.
The package is sent to all signers via email.
Each signer receives an email with the package title, the email description you added, and a Review and Sign button.
10. What the Client Experiences
The client-facing signing experience is clean, mobile-optimized, and straightforward.
The client receives an email with a Review and Sign button.
Clicking the button loads their signing session.
A signing lobby appears showing how many fields are required, when the package expires, and a link to Broki's e-signing terms and conditions.
They click Next or I Agree to proceed to the document.
They click each field to sign, initial, date, or check as required.
Clicking Next Field auto-scrolls them to the next required item — they never have to search for what to fill in.
Once all fields are complete, they click the completion checkbox and then Complete and Finish.
The signing session closes and the package status updates on your side.
11. Tracking Signing Status
After sending, you can monitor the signing status directly from the E-Signing tab within the file.
Each signer is shown with their current status — Signed or Awaiting Signature.
The overall package status updates as signers complete their fields.
Once all signers have signed, the package moves to Completed status.
You can also view all package statuses from the global E-Signing page (Sent, Draft, Completed, Void).
12. Resending to a Signer
If a signer has not yet signed and you want to send them a reminder, find their name in the signing status view.
Click the Resend button next to their name.
They receive a fresh email with the signing link.
13. The E-Signing Certificate & Verification
Every completed signing package automatically generates a certificate. This certificate serves as the legal verification record for the signing session.
What the certificate contains
The number of signatures completed.
The dates each item was signed.
A unique certificate ID.
A verification link that takes anyone directly to the Broki validation page.
How verification works
The certificate includes a link formatted as: https://preview.broki.ca/[certificate-ID]
When a lender or any party clicks that link, they are taken directly to the Broki certificate validation page.
The page displays: Valid Certificate, the number of signers, the types of fields completed (signatures, initials, date boxes, checkboxes), and the date signed.
They can also download the certificate PDF from that page.
If a lender questions the validity of a Broki e-signed package, generate the certificate from the global E-Signing page and share the link. The validation page provides full third-party verifiable proof of the signing session.

The global E-Signing page gives you a complete overview of all signing packages across all files — not just one file at a time.
Sent | All packages that have been sent and are awaiting completion. |
Draft | All packages saved as drafts — not yet sent. |
Completed | All fully signed packages. |
Void | Packages that have been voided/cancelled. |
Templates | All saved e-signing templates (both Positions Only and Document + Positions). |
