The Partners Section is Broki’s referral relationship management system.

Learn how to use the partners section more efficiently.

It allows you to:

  • Manage real estate agents, lawyers, gifting services, and other partners

  • Track referral volume and file count

  • Provide partners with a branded Partner Portal

  • Send automated file updates

  • Generate co-branded feature sheets for listings

This section is your relationship growth engine inside Broki.


1. Partner Categories

At the top of the Partners page, you’ll see category tabs.

Default Categories

  • Real Estate Agents

  • Lawyers

  • Gifting Services

You can create unlimited custom categories.

Add a New Category

  1. Click the Gear Icon (top left near search)

  2. Open Manage Partner Categories

  3. Click Add New Category

  4. Enter the category name

  5. Click Save

Examples:

  • Inspectors

  • Appraisers

  • Accountants

  • Builders

  • Financial Planners


2. Adding a Partner

To add a new partner:

  1. Click the Plus (+) Button

  2. Select their category

  3. Enter the following details:

    • Photo

    • Full Name

    • Email

    • Phone

    • Fax

    • Company / Brokerage

    • Department / Team

    • Company Address

  4. Click Save

This creates the partner profile.


3. Partner Table Overview

The main partner table displays:

  • Name

  • Owner (if using multi-user system)

  • Email

  • Company phone

  • Address

  • Number of files

  • Total volume

  • Quick actions (Email / Preview / Edit / Delete)

This table gives you a high-level view of referral performance.


4. Partner Performance Metrics

When you open a partner profile, you’ll see:

  • Total files

  • Files in progress

  • Completed files

  • Total volume

  • Average file size

This gives you clear business intelligence on your referral relationships.


File Attribution Control

On each associated file card, you can toggle:

  • Whether the file was sent to them

  • Or they sent it to you

This allows you to:

  • Exclude certain files from volume tracking

  • Track inbound vs outbound referral flow accurately


5. Partner Portal

The Partner Portal provides real-time transparency to referral partners.

How to Access

From the partner page, you can:

  • Copy portal link

  • Open portal

  • Send portal access email


What the Portal Displays

The portal:

  • Does NOT show sensitive financial data

  • Shows active files

  • Shows client names

  • Shows property addresses

  • Displays pipeline stage progress

  • Displays key dates

  • Shows mortgage team members

  • Displays client contact info

  • Shows full pipeline format

Hidden stages in your pipeline are also hidden from partners.


File Detail View

When a realtor clicks into a file, they can see:

  • Full stage progression

  • Current status

  • Key dates

  • Assigned team members


Realtor Document Upload

Partners can upload documents directly through the portal, including:

  • Accepted offers

  • Property disclosure statements

  • MLS Form B

  • Other real estate documentation

Uploaded documents automatically appear in the file’s Documents Tab.

This is optional but provides strong added value.


6. Sending Partner Updates

To send a status update:

  1. Open the client file

  2. Click Send Update

This opens the Realtor Update Module.

You can:

  • Edit subject line

  • Add custom message

  • CC / BCC recipients

  • Choose signature

  • Select sending team member

The system automatically inserts:

  • Client name

  • Current stage

  • Partner portal link

This ensures structured and consistent communication.


7. Partner Details Page Tabs

When viewing a partner profile, you’ll see multiple tabs.


Files Tab

Displays all associated files.

Shows:

  • File name

  • Status

  • Volume

  • Progress


Contacts Tab

Displays all contacts linked to that partner.


Associates Tab

Add secondary contacts such as:

  • Admin staff

  • Transaction coordinators

  • Team assistants

Associates are connected under the primary partner.


Notes Tab

Internal-only note system.

You can:

  • Add notes

  • Mention team members

  • Use rich text editor

  • Create threaded conversations

  • Color code notes

  • Attach files

Not visible to the partner.


To-Dos Tab

Create partner-specific tasks:

  • Assign to team members

  • Set due dates

  • Filter by status

  • Use templates

Ideal for relationship management follow-ups.


8. Feature Sheet Generator

The Feature Sheet tool creates co-branded listing sheets for realtors.


Setup Process

Inside the Feature Sheet tab:

  1. Select team member to feature

  2. System fetches company logo automatically

  3. Realtor contact info auto-populates

  4. Select realtor type (Realtor / PREC)

  5. Select province (for closing cost calculations)

  6. Upload realtor headshot

  7. Choose brokerage logo

  8. Choose accent color

  9. Add disclaimer

  10. Add bottom heading / tagline

  11. Add QR code (application link, calculator, etc.)


Output Includes

The generated feature sheet displays:

  • Property address

  • Price

  • Beds & baths

  • Square footage

  • Payment breakdowns:

    • 25-year amortization options

    • 30-year amortization options

  • Estimated closing costs

  • Estimated income requirements

  • Your contact card

  • Realtor’s contact card

Fully branded and customizable.


Common Image Error

If images do not display properly:

  • Use perfectly square images

  • Recommended size: 1080x1080 or 800x800

  • PNG or JPEG format

  • Improper formatting can cause display issues


9. Importing & Exporting Partners

From the main partner table, you can:

  • Import partners (CSV)

  • Export partners

  • Paginate results

Useful for CRM migration and bulk updates.
