3. How to Access & Share the Portal

For Advisors

Quick Access

  1. Open any Mortgage File

  2. Click View Portal (green button in header)

  3. Or click Copy Link (blue button)

Share the copied link via:

  • Email

  • SMS

  • WhatsApp

  • Any messaging platform

Link format:
yourdomain.com/portal/[encrypted-file-id]


Email Template Method

  1. Open file → Communications Tab

  2. Click Compose Email or Send Document Reminder

  3. Use a template with {{portal_link}}

  4. Send


From Leads

  1. Go to Leads Page

  2. Click Send Application Link

  3. Email includes application + portal access


For Clients

  • Click the link

  • No login required

  • Works on Chrome, Safari, Edge, Firefox

  • Fully mobile-optimized


Availability

  • Included in all plans

4. Security Model

  • Encrypted file ID in URL

  • No personal data exposed in URL

  • No login friction

  • Optional password (Code Word) protection

  • Session expiration after inactivity

  • Audit logs for uploads and activity

Portal links remain active unless the file is archived or deleted.


5. What Happens Automatically

  • Document uploads notify you instantly

  • Upload progress shows in real time

  • Submitted docs marked “Pending Review”

6. What the Portal Does NOT Do

  • Clients cannot edit file details

  • Rejected documents are not visible to clients

  • Portal link does not expire automatically

  • Does not function if file is archived or deleted


7. Configuring the Client Portal


A. Code Word Protection (Optional)

File-Specific Code Word

  1. Open file → Vault

  2. Click Set Code Word

  3. Enter password (min 8 characters)

  4. Save

  5. Share password verbally (never by email)

Organization-Wide Code Word

Vault → Settings → Master Code Word

All portals require password.


B. Tab Visibility Settings

Go to:

Settings → Client Portal Settings

Toggle visibility for:

  • Documents (always visible)

  • Status

  • Qualification

  • My Qualification

  • Offers

  • Team

  • Resources

Click Save.


C. Tab Colors (Branding)

Settings → Client Portal → Tab Colors

Customize gradient button colors.


8. Resources Tab Navigation Option (NEW – Feb 2026)

You can now control where the Resources section appears in the portal.

Go to:

Settings → Portal Settings → Client Resources

Choose:

  • Resources at bottom (default)

  • Resources in top navigation bar

This significantly changes the client experience and visibility of educational materials.


9. Document Requests

Create Document Request

  1. File → Documents Tab

  2. Click Request Documents

  3. Select contact

  4. Enter document title

  5. Add description (optional)

  6. Set priority

  7. Set due date (optional)

  8. Click Create Request

Appears instantly in portal.


Question Request (No Upload Required)

  • Choose “Question” type

  • Client answers in text field

  • Approve or reject in Documents tab


10. Simple Application Form

Go to:

Settings → Simple Application

  • Enable or disable

  • Customize fields

  • Customize branding

  • Copy shareable link

Link format:
yourdomain.com/apply/[org-slug]


11. Universal Referral Form

No setup required.

Share:

yourdomain.com/refer/[company-slug]

Submissions auto-create leads in CRM.


12. Qualification Scenarios

Publish to Portal

  1. File → Qualification Tab

  2. Create scenario

  3. Click Publish to Portal

Clients see it instantly.

To remove: Unpublish


My Qualification Tool

Clients can test income, debts, and down payment in real time using calculator tools.


13. Offers Flow

  1. File → Offers Tab

  2. Create multiple offers

  3. Add pros and cons

  4. Click Email Offers

Client compares inside portal and selects preferred option.

15. Common Issues & Fixes


Portal Link Not Working

  • Check link was copied fully

  • Ensure file not archived

  • Refresh browser

  • Regenerate link


Client Can’t Upload

  • Ensure document request exists

  • Confirm assigned to correct contact

  • Check file size (<50MB)

  • Try Chrome browser


Status Not Updating

  • Move file to correct pipeline stage

  • Ensure stage is active


Qualification Not Visible

  • Publish scenario to portal


Offers Not Showing

  • Confirm correct email

  • Resend

  • Send portal link via SMS


File Not Found

  • File may be deleted

  • Regenerate portal link

  • Contact support if encryption issue


Missing Tabs

  • Check Settings → Client Portal → Tab Visibility


Resources Tab Empty

  • Upload content in Settings → Client Resources

Suggested uploads:

  • Send portal link immediately after file creation

  • Always create document requests instead of asking by email
